Some forms are complete, but simple; others may have so much writing that tiny print makes them difficult to read. Basic principle: Keep It Simple Stupid. Key information should be easy to read and placed to catch the eye of the reader. Have you ever searched a race flyer just to find the date? Basic information (partially adapted from Egger) includes the following: 1. Name of race 2. Location (Include city and state. Good idea to have road map in relation to highway for outof-towners) 3. Remember if AT ANYTIME you throw your leg over your bike once you are on site, YOU MUST BE WEARING A STRAPED ON HELMET. This is a USAT and risk management non-negotiable and can result in a disqualification. You don’t want that. We don’t want that. Help a sister out if you see them (before someone else) and spread the Rocketchix love. Today’s super sprint course means that this race is going to fly by! The Award Ceremony will take place at the end of the race (or near end) as determined by our timing company and Race Director. No prizes will be mailed. You or a designated doppelgänger (friend) MUST be present at the Awards Presentation to claim your prize. Body marking volunteers are doing an excellent job. Athletes will be marked with their race number on both upper arms and their age on the back of their legs For those Chix wanting to warm up some in the pool, remember that the pool MUST be cleared at 6:45 As you set up your transition area, be kind to neighbors, check that your bike and helmet have a race number label. Also remember that your race number must be worn on your front during the run portion of the race. This is for the referee and safety. It’s also so we can place you with your photo. Transition and pool will be also be closing 6:45. There are restrooms in the Natatorium and we have 4 Port-APotties located in front of the Tennis Courts. After the swim ends, the restrooms in the Natatorium will be unavailable and your will need to use the handy dandy Port-A-Lets. Low value lost and found, aka flip-flops and spare tops, will be located on the steps of the Natatorium. In an effort to be green and pay it forward, unclaimed flip-flops and t-shirts will be donated following the event. High value lost and found can be brought to the stage area. Day before the race: Drive the course to identify any new issues/obstacles Procure signs from Pod. Mile Markers, Turns, Turnaround. Get aid station supplies and location from Pat The run course is a little different in that it heads out the usual way, o Go South to the Sidewalk by the field house. o Stays on sidewalk to N Stadium and goes up the hill to the traffic circle. o Crosses traffic circle to Locket hall side of Street. o Goes to .75 out total to Design center and turns around There are approximately 10 arrows that fit inside the hole on the pylons which can be used to guide the participants. Aid station will be at the Turnaround and Brent will take care of it. Race Day: 5:45 am – Volunteer to leave to put signs out on course 6:15 am - Run Coordinator meets with Run course volunteers 6:30 am – Truck leaves to deliver to Run course volunteers. 6:45 am – LSU PD to intesections 7:00 am – Run Course ready Run Course should be ready to go at 7 am to ensure it’s in place for the fastest ladies or to automatically handle any accommodations we make for weather/levee leaks/special athletes. Bike Course Marshals: This is the biggest need job. You will be stationed at one of the turns on the bike course. Your responsibility will be to guide athletes to “TURN HERE” by hand and voice signals (while also cheering them on). You are responsible for reporting any emergency issues that you see on the course. We will have transportation to take you to your spot and pick you up if needed or you may get your assignment and drive there yourself if you would like. You will be released from your post by a race marshal once all bikers have left the course. YOU ARE THE EYES AND EARS OF THE BIKE COURSE—WHICH STRETCHES OUR MANY MILES FROM “COMMAND CENTRAL.” I HIGHLY RECOMMEND YOU BRING A CHAIR AND SOME DRINKS ETC. Rocketkidz Foundation, Incorporated – Rocketchix Race Production Manual 43 Job Description: Swim Coordinator Week before the race: Verify Lifeguards—get names/contract numbers Verify Swim seed signs for use to bring groups in Day before the race: Get pool water conditions/report (RD or SC) Day of the race: 5:30 am—Open pool, lifeguards, monitor in-pool activity, coordinate with timers on swim start 6:30 am—Make sure pool exit is setup for race to start 6:45 am—Everyone out of water with lifeguards in place and EMS onsite 7:00 am—Coordinate volunteers to gather women into swim seed groupings outside pool 7:15 am—START!! When last swimmer is out of the pool, all items go on steps, clean up, and lock front doors. 44 Rocketkidz Foundation, Incorporated – Rocketchix Race Production Manual Job Description: Transition Coordinator The nerve center of the race. The transition area is the fenced in area containing all the bike racks. This area sees action the entire time. Here are the basic responsibilities for transition area volunteers: Before the Race: Volunteers will be asked to keep spectators out of the transition area. The transition area is for participants only. Participants know this and have been told repeatedly. In addition to this job, the volunteers will be answering basic questions from participants, such as: Where is registration? Where are the port-a-lets? Etc. During the Race: Volunteers will become traffic cops - directing participants out the appropriate exits of the transition area. They will continue to keep any wandering spectators out of the transition area. After the Race: Continuing to keep any non-participants out of the transition area - the most important task at this point is checking participants who are leaving to make sure that they are leaving with the appropriate bike. The bikes will have numbers on them and the participants will still have numbered wristbands on their wrists. Simply match up the numbers. Make sure everybody leaves with his or her own bike. Any problems or questions should be reported to the transition area coordinator. Body Marking Staff All participants can be easily identified via their body marking as they enter any portion of the race. This is done primarily for the benefit of our timing crew but it is also a safety precaution in the event we need to identify a participant who may require medical assistance. Mark participants with body marking stamps CLEARLY and LEGIBLY on both the upper arms and race age on back of left calf. Be prepared to be redeployed to other areas of work where manpower is lacking after the completion of your duties. Rocketkidz Foundation, Incorporated – Rocketchix Race Production Manual 45 Job Description: Finish Line Coordinator WEEK BEFORE RACE: Locate and verify medals and finisher prizes Assemble medals if needed * Night before – finish chute area will be set up RACE DAY: Inflate arch, Stage finish line water and ice Make sure volunteers are on hand to remove timing chips and handout medals and prizes Know where medical is located (near finish) Confirm that the finish line chute / timing volunteers know what they need to do. A big race without chip timing may need many finish volunteers: o volunteer at front of chute to guide runners into chute o volunteer along the chute telling runners to stay in line and move along o volunteer who will take the tags from the runners (runners may have torn it off themselves or volunteers will tear the tag off for runner) – VITAL to keep the tags in order of finish and keep them face down on top of one another to ensure results are accurate o volunteer who will have a spindle in which to put the torn off tags (note-if a runner does not have a tag then use a “turkey tag” (which is just a blank tag) will need to be used to keep the results accurate o Transfer tags intermittently to results volunteers for tabulation 46 Rocketkidz Foundation, Incorporated – Rocketchix Race Production Manual Job Description: Food & Beverage Coordinator WEEK BEFORE RACE: Verify post race food is setup and ordered Arrange transport of tents (corrinate with Race Director) Inventory cups / plates / napkins / utensils May solicit food Invite food vendors / food trucks / snowball vendors (must be self powered and no staking on LSU grounds) RACE DAY: Set up tables / post race foot Coordinate volunteers to secure race rood for racers Mix and ice down drinks Meet food delivery, if required Clean up Rocketkidz Foundation, Incorporated – Rocketchix Race Production Manual 47 Job Description: Clerk of Course BEFORE RACE: Verify police and barricades Walk through with course coordinators DAY BEFORE RACE: Transition set up. Transition space is 150’ x 75’ Set up finish chute flagging. The finish chute continues well beyond the finish line to assist in keeping the runners in the correct order of their finish. Set up barricades and snow fencing Set up flagging from Bike exit of transition to yellow driveway deals out by Nicholson Set up flagging/barricades from natatorium handicap ramp to transition (just have ready so you can move them over the next morning When transition is complete, layout (place) caution tape and wooden barricades across parking lot area by the field house so that there is room for them to run back. Place wooden barricade 100 yards south of the bike entrance so people don't park there. Coordinate with RD as to location of tents, BREC state RACE DAY: Coordinate with all course coordinators Verify courses and that police are ready for race Coordinate SAG support on course Coordinate EMS Coordinate racer transport for DNF’ing races Have somebody sweep the course. Tell volunteers on the course when their task is done; ask them to collect and return course markers and all aid station waste and leftovers to the finish line. If a runner is unable to continue, use a cell phone to arrange for pick up and transportation. 48 Rocketkidz Foundation, Incorporated – Rocketchix Race Production Manual POD Procedures Returning supplies to the storage unit Go over the equipment checkout sheet to be certain all items are accounted for; sign and date that you have returned all items Remove batteries from bullhorn Make sure equipment is dry when it is returned. If something has to be returned wet (such as the canopy) let the equipment manager know asap If urns were used, rinse them and leave them to dry out with the lids off Leave equipment bins and returned items in a neat organized fashion If any equipment was damaged or lost during the race please let the equipment manager know Report any shortages of items (such as tags, batteries, staples,…) to the equipment manager Do not leave jugs full of water in the storage unit (there have been several floods due to full water containers being left in storage shed) Do not leave leftover food and drink in the storage unit; pass them on to the next race director or donate them to the food bank Do not leave leftover prizes in the storage unit; take them home and save for the following year or pass them on to the director of the next race Do not leave any garbage from the race in the storage unit Rocketkidz Foundation, Incorporated – Rocketchix Race Production Manual 49
