Education Students’ Association 2016-2017 Executive Applications
Applications are now open for all positions on the 2016-2017 Education Students’ Association executive.
Those interested in applying should submit a cover letter stating their year in the program and the
position(s) they are interested in applying for as well as a copy of their resume. Copies of the job posting for
each executive position are listed below.
Applications must be received by December 11, 2015. All successful candidates will be contacted by
January 4, 2016. Interviews will run the week of January 11.
You can talk with the ESA Executives during office hours on Tuesdays through Fridays—specifics are
posted on our website at www.ucalgary.ca/esa. ESA fall office hours will end the week of November 5th as
second-year students head out onto practicum. If you have any questions regarding joining the ESA

President, Education Students’ Association
The President is the primary voice of Werklund undergraduates to the Werklund faculty and the Alberta
Teachers’ Association. Externally, they are the main advocate for the membership of the ESA and are
responsible for voicing the ESA membership’s interests to the Werklund administration, the wider U of C
campus community, and the ATA. Internally, it is their job to set the tone and direction for the ESA
Executive Council and ensure a healthy level of collaboration and vested interest between the other ESA
executives. It is the President’s responsibility to ensure the ESA is executing its constitutional mandate and
that all executive portfolios are being effectively fulfilled. This position requires, on average, four hours of
outside work per week throughout the entire executive term (not including time spent attending ESA
functions, running ESA office hours, or attending councils and committees).
This position includes:











Working over the summer months to design a strategic direction for the coming year, build
relationships within the Werklund faculty, and liaison with the ATA;
Chairing the monthly meetings of the Executive Council and the Annual General Meeting;
Representing the ESA on and delivering reports to the Werklund School of Education Council, the
Undergraduate Programs in Education Council, and the Calgary Area Field Experience Committee;
Delegating ESA representation for the remaining faculty and ATA committees;
Attending the ATA Annual Representative Assembly, Student Local Conference, and Political
Engagement Seminar;
Making regular ESA announcements to Year 1 and Year 2 plenary lectures;
Regularly meeting with the Dean of Education and the Associate Dean of Education, UPE;
Responding directly to outside inquiries concerning the Student Local or Club sanctions of the ESA;
Using the position of the ESA and relationship with the Werklund faculty to air and address significant
concerns of ESA members; and
Filling in for any other ESA Executive when they are unable to fulfill their responsibilities.

Vice President, Education Students’ Association
The Vice-President assists the President of the ESA with current and new initiatives. Maintains a respectable
work environment and assists in open communication among the council. The Vice-President works closely
with the President, VP of Activities, and VP of Volunteers to promote community building among
students. The time commitment for this position is around three hours per week (not including time spent
attending ESA functions, running ESA office hours, or attending councils and committees).
This position includes:











Attending monthly meetings
Assisting the President with implementing initiatives that the ESA wishes to take on
Organizing and planning at least two first aid sessions
Assisting with the Dean’s dialogue
Continuing with community building (Teachers Helping Teachers)
Assisting VP of Activities with Graduation
Checking and responding to emails
Promoting and selling memberships
Helping to organize orientation week
Getting passes for Teachers Convention from the ATA

VP Finance, Education Students’ Association
The VP finance is responsible for all financials related to the Education Students’ Association. The time
commitment for this position ranges from one to five extra hours per week (not including time spent
attending ESA functions, running ESA office hours, or attending councils and committees).
This position includes:



General financial oversight
Funding, fundraising, and sales
Financial planning and budgeting


Financial reporting
Banking, book-keeping, record-keeping

Member of table subcommittee, responsible for making urgent decisions when a full executive
committee cannot be called
Responsibilities:


Ensuring that appropriate financial processes and controls are in place
Overseeing financial implications of contracts and agreements that the ESA signs



Creating and presenting budgets, accounts, and financial statements to the executive committee
Ensuring effective monitoring and reporting
Preparing and presenting budgets

Advising on financial implications of club activities and future plans


Presenting revised financial forecasts based on actual spending
Provide regular reports on club's financial position



Preparing annual audits for the U of C Student Union and the ATA
Managing bank accounts
Managing credit card processing

Depositing cash and cheques to the bank at least once a week when cash on hand reaches $500 or
when cheques are received


Reimbursing executives for ESA expenses promptly
Setting up appropriate systems for book-keeping, payments, and petty cash



Ensuring cash handling procedures are followed and that records and documentation are kept
Ensuring proper records are kept
Ensuring the club is properly insured (through the Student Union)
VP Professional Development, Education Students’ Association
The VP Professional Development strives to provide quality professional development sessions for the
undergraduate students in the Werklund School of Education, and is responsible for arranging all
professional development events for the Education Students’ Association. In the 2015-2016 school year the
ESA hosted over 30 professional development events over a 12-week period. The VP Professional
Development also serves as director for the Annual Education Symposium, hosted by the ESA in January or
February of each academic year. This position requires, on average, three hours of outside work per
professional development session offered (not including time spent attending professional development
sessions, running ESA office hours, or coordinating the Annual Education Symposium).
This positions includes:
 Working over the summer months to arrange the professional development sessions with a variety of
organizations
 Coordinating speaker selection
 Booking all of the rooms and audio visual equipment through a variety of departments at the University
of Calgary
 Organizing the calendar of events and providing PD event descriptions
 Managing registration and attendance lists
 Creating professional development certificates
 Attending all professional development events as the ESA representative
 Responding to all email inquiries involving Professional Development sessions
 Coordinating and organizing the Annual Education Symposium
 Leading selection for research proposals for the Annual Education Symposium

VP Administration, Education Students’ Association
The VP Admin assists in many of the organizational practicalities of the executive council. The role includes
developing positive relationships with the committee liaisons. The position requires about three hours per
week (not including time spent attending ESA functions, running ESA office hours, or attending councils
and committees).
This position includes:











Reminding members and faculty of upcoming meetings
Preparing meeting agendas
Attending monthly meetings
Recording meeting minutes
Distributing minutes to meeting attendees
Compiling membership lists
Transferring records to the ATA
Reporting of executive council membership and student membership to the ATA
Holding weekly office hours
Collecting mail
Stocking office supplies
Skills and Qualifications:






Ability to work in a team environment

VP Activities, Education Students’ Association
VP Activities will work with the ESA team to help promote student events and activities on and off campus.
This includes all the planning, coordination and execution of events held by the ESA. Activities may
include: Orientation, First Year end-of-year celebration, Adult Night at the Science Centre (with scavenger
hunt), Christmas/Winter celebration, Fundraiser events, Graduation and all other faculty-sponsored events
that may occur. The goal of the VP Activities is to foster student engagement and opportunities to network
and socialize within the Werklund School of Education. Time commitment is an additional 2-3 hours per
week, depending on upcoming events (not including time spent attending ESA functions, running ESA
office hours, or attending councils and committees).
This position includes:








Preparing events budgets
Communicating with facilities
Informing students about events in class and by email
Marketing of events by creating and displaying posters and word-of-mouth
Attending monthly meetings (over the summer as well)
Attending all the events and activities
Promoting and selling memberships
Helping other ESA executives on other initiatives when required

VP Communications, Education Students’ Association
The VP Communications is primarily responsible for being the main resource on council for informing
Werklund undergraduates about ESA initiatives. They are relied upon to ensure all ESA members are up to
date with current initiatives, resources, and supports offered by the Association. They are also responsible
for maintaining and regularly updating the Association website. Beyond this executive portfolio the VP
Communications functions as a full member of the ESA Executive Council fully involved in all council
decisions and initiatives. The time commitment for this position is around four hours per week (not
including time spent attending ESA functions, running ESA office hours, or attending councils and
committees). This time is generally spent frequently responding to any email received, sending out
listservs, and updating the website and social media platforms.
This position includes:







Composing and distributing regular updates to all ESA Members;
Being the contact point for external associations that approach the ESA;
Providing marketing supports for ESA functions and initiatives;
Overseeing the ESA email account;
Regularly updating the ESA website;
Managing and regularly updating ESA social media accounts;
Maintaining and managing ESA mailing lists;

VP Volunteers
VP Volunteers is responsible for organizing any volunteers that may be needed for ESA events.
They will investigate any volunteer opportunities that might be available for the members of the
ESA. One of the main duties is organizing and running the mentorship program. Will be required
to attend monthly meetings and assist the other executive members in their duties. It is an
important position that allows connection with all of the students enrolled in the Education
program. The time commitment for this position is around two hours per week (not including time
spent attending ESA functions, running ESA office hours, or attending councils and committees).
This position includes:
 Attending monthly meetings
 Organizing the Mentorship Program
 Organizing volunteers for any ESA event
 Finding volunteer opportunities for students in the community
 Assisting in other executive positions
 Organizing and running mentorship program
 Weekly office hours
