Job Summary
This is a diverse, challenging and exciting role for an aspiring HR professional to develop their administration
skills, knowledge and experience within a growing organisation.
Reporting to the HR Manager, but working closely with the HR Advisor, you will provide day to day HR
administrative support and contribute to the long-term development of the HR function.
This is a generalist role covering a broad range of duties including day-to-day HR administration functions such
as holidays and absence management, recruitment, employee benefits, HR systems, policies and procedures,
training and development, employee performance reviews and associated documentation management, as
well as supporting the HR team with administrative support across Adventure Learning Academy Trust (ALAT)
academies
The successful applicant must be willing to travel to and from the academies on an ad-hoc basis.
Main Duties and Key Responsibilities
Administration

Support ALAT academies with the drafting and sending out of offer letters, contracts of employment
and variation to contract letters.

Manage the Simply Personnel system, including monitoring and recording of holidays.

Maintain and update the HR section of the intranet

Provide HR administration support to the HR team which includes formatting documents, letter
writing, producing reports, photocopying, updating and managing HR systems, filing, note taking and
other administrative tasks as and when required.

Manage the leaver administration process, assisting with exit interviews and removing the employee
from the HR database.

Resourcing

Work closely with the Recruitment Advisor to provide recruitment administration support, including
assisting in writing job specifications/ adverts, managing applications and responding to applicants.

Advise and assist Principals and academies with preparation of interview questions.

Assist academies with the setting up of new starter files and ensuring all files are kept up to date.

Assist with arranging academy inductions, liaising with the academy administration team to
complete a two week programme for new starters, ensuring they have the correct equipment
before the start date.

Administer the appropriate reference checks for candidates that have been shortlisted for interview.

Ensure all criminal record checks are carried out fully and in a timely manner.

Enter data into the HR system so that accurate records are maintained.

Keep up to date with safer recruitment guidelines.
Employee Relations
 Be the first point of contact for all enquiries relating to HR.
 Manage the case management system, ensuring queries are answered in a timely manner.
 Collate absence reports on a weekly and monthly basis, highlighting high levels of absence to the HR Manager
and HR Advisor.
 Provide HR administration support to HR Advisors, the HR Manager and to the ALAT academies, such as taking
notes at disciplinary and grievance meetings.
 Support each academy in maintaining and developing the staff personnel filing system, ensuring that all records
are kept up to date.
 Provide administrative support in investigations for disciplinary and grievance meetings, for example issuing
letters and note taking.
 Maintain a detailed knowledge of employment legislation in all key areas and ensure legal compliance in all
matters.

 Record absences on the Simply Personnel system, ensuring self-certification forms are completed, return to
work interviews are conducted and all other relevant documents are recorded accordingly.
HR Policies and Procedures
 Work closely with the HR team in designing, reviewing and implementing new staff handbooks, policies and
procedures, guides and other relevant documents.
Training and Development
 Contribute to HR projects as and when required.
 Train and support administrators within academies so they are confident with the Trust’s administrative
processes through the use of the Resources Hub.
 Work with other HR Administrators and academy HR staff, ensuring training records are kept up to date.
 Assist in scheduling training and with the administration of any relevant paperwork.
 Attend any relevant HR training sessions to enhance skills required.
General
 General upkeep of personnel files.
 Carry out any other reasonable ad-hoc duties in order to support the HR department.
 Other duties may be assigned as the role develops.
 Maintain a high standard of professional conduct and personal appearance and work as a positive team player,
demonstrating mutual respect and integrity for others whilst maintaining open effective communication at all
levels within the organisation

Experience Requirements
 Previous experience working within a Human Resource Department is desirable.
 Currently studying or interested in studying towards CIPD qualification.
 Knowledge of current UK employment law.
 Excellent IT skills (Word, Excel, PowerPoint, Outlook/calendar, etc.).
 Excellent organisation and time management skills, attention to detail and the ability to multi-task.
 This role will require dedication, a flexible approach and the ability to undertake mundane HR administration
tasks key to an HR advisory support role.
 First class people skills; ability to develop good relationships with employees and line managers.
 Resilient and able to work in an organisation that is undergoing change due to development and growth.
 Appreciates and understands the need for confidentiality in dealing with all HR and training issues.
 Ability to demonstrate a proactive approach to work and have a ‘can-do’ attitude.
 Enjoys being part of, and is able to work as part of a small team.
 Full clean driving licence, in order to undertake travel as part of the role.
