Sign-up through e-council Pick up Today • Sample Troop Packet • Girl Scout cookie deposit slips You will assign these in your next session • List of registered troops according to e-council • Extra Credit Card readers • Information on obtaining today’s training materials to utilize at your troop training Know who your troops are!!! Credit Cards • Each new troop gets 1 credit card reader – this becomes part of their troop financial items. • Returning troops should still have a reader – if it is lost they can purchase a new one by calling the Product Sales Hotline. • In your bag at the end of the day you will receive a sign-out sheet for the readers – when a troop is given a reader you need to have them sign and date the sheet • This sheet MUST be turned in with Final Paperwork – council will keep record of troops that received a credit card reader • Directions can be found on the GSCI website by January Troop Info in eBudde New this year! Council is looking into new banking methods and this is a first step! eBudde uploads • Council will be uploading troops and girls this year • Troops uploaded Dec. 1 • DO NOT DELETE TROOPS – this will create issues with girl upload • Girls uploaded by Dec. 14 Operation: Cookie Drop Pg. 26 Delivery – Overs and Shorts Pg. 30 • Council will only correct shortages at Delivery through Wednesday, February 10, 2016. • At Delivery EVERY troop will receive a half sheet of paper making them aware of this • You should train your troops about this at your Cookie training • If a troop does not call the Cookie Hotline to report and correct their overage/shortage by Feb. Cupboard Hours • Cupboard hours are not in the Troop Manuals this year • Troops will be able to pull a Cupboard report that has the hours listed after January 15th on their reports tab • Council will also send an eBudde blast with the report attached and directions on how to pull this report • This will ensure cupboard hours are more accurate. Print deadlines are mid-August and so much can change by February that we wanted to ensure there was less need for changes New this year: If a cupboard order is NOT picked up within 3 days it will be deleted Rewards – New Things • New this year! – Camp Dough is now known as Council Credit •Some levels have been adjusted – check out the structure and make yourself familiar with it •Service Unit Rewards Order due by 11:59 p.m. on March 21, 2016 When it arrives Pg. 51 • You will receive 3-4 shipments: • Little Brownie – main bulk of items (late April) • Mr. D’s Tees – T-shirts (late April) • Hair bows • GSCI –National Girl Scout Cookie Day Patch, Operation: Cookie Drop patch (Mid-May) • These may come all together or in 2 separate shipments depending on arrival to council • If you are over or short contact the Cookie Hotline to correct the issue. • Will need to know if missing from report or missing from shipment • GSCI – tents – will send information about how they will be dispersed once they arrive to council • GSCI – kayaks – council will make arrangements directly with the girl and her parent for delivery • Posh Paks/Theme Park Tickets/Council Credit – all mailed to the girls Outstanding Cookie Accounts Pg. 53-54 • An Outstanding Cookie Account form should be completed for any parent and/or troop cookie manager owing money. • Any parent or troop cookie manager that owes money to council will have their daughter’s high end rewards (600+) held until the debt is paid in full. • A troop should turn in all parents owing money – we don’t want the debt to fall back on them. • Be sure that the troop has enclosed all receipts and important documentation – we must have these in order to prove the debt and collect from the parent! • After a Final Report is turned in, do not accept money from a parent – direct them to the Product Sales department to make arrangements to Handling Previous Debts • A girl should never be told she can not participate because her parent has had a debt. • Parents can pre-pay for their cookies. They do NOT collect from customers up front. They must front the cost out of their pocket. Once they pay for cookies, the cookie manager can then sign them out to them. The parent can then come back and buy more as needed. • Troop leaders can check out cookies in small increments to the parent. Once the parent pays for that small batch then a second small batch can be checked out. So on and so forth. Cookie Debt Process…Things to Know • All Final Report Envelopes are looked at individually during an auditing process. This usually takes about 1 week to go through everything. • After this process, all envelopes that have a “problem,” (i.e. do not balance to $0.00), are gone through during a second audit process. • During the second audit, refunds are filed with accounting. Troops due a refund will receive these refunds sometime in May or June. • Also, troops and parents that owe money to council will be placed in a spreadsheet. This spreadsheet will be used to generate letters about the debt. • 2 Letters will be sent to parents and/or troops owing money Warning Signs for debt… • No deposits are being made by the Troop leader • Troop Leader is unreachable by phone, text or email • Rumors that leader may be leaving in May • Rumors that the leader is moving out of state • The troop doesn’t have a bank account What To Do…. • If you believe a troop may have a debt issue at the end of the sale please notify the Cookie Hotline or your Product Sales Manager ASAP • The Cookie Office/Product Sales Manager will involve those in the office needed to be proactive and help try to diffuse the problem • Keep record of all communication with the leader • If at the end of the sale there is a debt please follow the directions on how to fill out and turn in an Outstanding Cookie Account Form Family Mailer • In early January families should receive a parent mailing that highlights parts of our Girl Scout Cookie Program! –5 Skills, Important Dates, Highlights some Rewards, and the purpose of receipts. • This will also include an order card – they should not begin receiving until after the sale starts, BUT let troop leaders know it is coming so they can reinforce the start date in case they arrive earlier than planned Showcase Items for Sale Today cookie sales.
