QU PROCEDURES FOR STUDYING
ABROAD 2012-2013
Step 2: Applying to a Pre-Approved Study
Abroad Program

Transcripts are often requested from your program. Transcripts can be
requested from the Registrar’s Office. Keep in mind that it can take up to a
week or more to receive an official transcript.

Program applications will often require a form called a Study Abroad
Advisor Form/Disciplinary Clearance Form (or similar), to be signed by the
OMGE. You can drop this form off in the OMGE anytime during business
hours (M-F, 8-5). It can take up to 3 full days for approval. The student is
responsible for retrieving this form from the OMGE and sending it to their
program Please note that these advisor forms must only be signed by the
OMGE

Step 3: Important Deadlines
October 1st -- If necessary, submit a Request for Waiver of GPA Requirement and/or
Conduct Clearance for Spring semester programs
***Despite the fact that your Program Affiliate may have difference GPA/and or Conduct
requirements/ deadlines, it is required to submit these forms if needed by the above stated QU
deadlines. Failure to adhere to these deadlines will prohibit you from studying abroad.
October 15 -- Program acceptance for Spring/Winter semester programs *** Despite the fact
that your Program Affiliate may have application deadlines after the above stated QU
deadlines, you will not be approved by QU to study abroad after the above stated dates.
Therefore, you must be accepted into your approved program, and have uploaded copies of
your acceptance letter to your online Study Abroad Portal account by the dates above. Failure to
adhere to these deadlines will prohibit you from studying abroad.
November 15 -- Enrollment forms due for students studying abroad during the
Spring/Winter semester programs
*** Once you have been approved to study abroad from the OMGE office, you must complete all
enrollment forms on your study abroad online portal account, print them, and submit them
to the Office of Multicultural and Global Education (AC 215) by November 15th (Spring
semester), or April 15th (Summer and Fall semesters). Enrollment Forms must be submitted
by the dates above. Failure to adhere to these deadlines will prohibit you from studying abroad.

Step 4: Preparing to Go

To help prepare you for your experience, there will be a Mandatory Pre-departure Orientation Program
before you leave campus. Orientation includes discussion of safety/security while abroad, QU academic
regulations and policies, etc.(Date, time and location TBA)

If you do not already have a valid Passport, Apply for your Passport NOW!

Verify IF you will be required to obtain a Student Visa to enter the country of your study abroad program

 Review the Host Country Embassy website to learn more about Entry Visa requirements

Make flight arrangements to arrive in your Host City on the required arrival date

Stop by the Office of Residence Life to officially withdraw from housing and arrange for your return to
housing after study abroad


Study Abroad Health Insurance




It is mandatory that each student be enrolled into Gallagher Koster Study Abroad Accident and Sickness Health
Insurance Plan which includes International SOS Global Medical and Security Assistance Plan.

You will be automatically enrolled in these plans by the OMGE before your set departure date. As
mentioned in the Study Abroad Policies, a fee will be added to your tuition bill for these services.

Step 5: Re-entry into the QU Community.
 Once you have returned from your study
abroad experience, you will participate in a reentry dinner to reflect upon, share and carry
forward your study abroad experience.
REMEMBER……
 It will be required that you are not only applying on the
QU Study Abroad Portal (which is for QU records only),
but that you are also applying to your External Program
Affiliate!
 These are 2 separate tasks that are required!

PETITION for a Non-Approved
Program
 If you are planning to petition a non-approved
program, you must submit a petition form to the
OMGE. Petition forms will not be accepted after
October 1st (Spring,Winter) or March 1st
(Fall,Summer). Petitions forms are located on MY
QU, under Study Abroad.
 ** It is not guaranteed that your petition will be
approved. There are certain programs that may not
be approved.
