Can Summer Session copy the appointment file preparers with the Appointment Letters sent to faculty?
An Appointment Letter is sent to the instructor upon approval of their appointment file. Copies of each
Appointment Letter are provided to Department Chairs or Program Directors and MSOs (CAOs, COOs). We ask each department to decide how they will share copies amongst appropriate staff member(s).
Are BIO/BIBs required?
The BIO/BIB is a UC document and is required for UCSD faculty appointments. Additional information provided in the BIO/BIB versus what is provided in a Curriculum Vitae (CV): it addresses the proposed instructor’s eligibility to teach (U.S. citizenship/Visa); it provides previous teaching employment and salary information; and it is a signed and dated document. It is required for the approval of a Summer Session appointment. Note: The bibliography portion can be an annotated version of what is provided on the CV. A BIO/BIB is not required for
PostDoc appointments (only a current CV).
Are Curriculum Vitae (CVs) required?
A current CV is required for all visiting faculty appointment files.
Can a Word version be provided to be used as a template?
A Word version of the sample memo will be provided to all academic departments and programs to use as a template for proposing faculty.
To whom should the Reference Letter be addressed and can a Word sample be provided?
Reference Letters are to be addressed to the Academic Department Chair or Program Director. The components of the letter depend on several factors; the association between the referee and instructor, including length of their association and in what capacity. It must include detailed qualifications as to why the candidate is being recommended so the only conclusion one could draw is that he/she is ideal for teaching the course. A Word
version of the sample letter will be provided to all academic departments and programs to use as a template.
How are proposed salaries determined for visiting faculty?
Proposed salaries are based on various factors, i.e. the status of the proposed instructor, professional qualifications, degrees, years of teaching experience, as well as how the proposed salary fits in comparison to other faculty with the same amount of experience. The proposed salary can differ by department but must be on a UCSD scale (Unit 18 or Professor Series).
Biological Sciences will be authorized access for their four sections per their request.
1) Cell & Developmental Biology-CDB; 2) Ecology, Behavior & Evolution-EBE; 3) Molecular Biology-MB;
4) Neurobiology-NEURO.
Can multiple staff members be authorized to access the SharePoint website?
Only one staff member per department/program will be authorized to access Summer Session Appointment File
SharePoint website. Academic departments will be notified when an appointment file has been submitted to

SharePoint, however departments will not be provided access to view or track the approval process. A timeline has been provided for each cluster group. If you have questions at any point in the process, please call Andrea at x25064.
All College Programs should be in Cluster A and not separated in all three clusters.
Visiting faculty appointment files for all College Programs will be processed for Summer Session 2014 using the
Cluster A timeline (files due by Jan. 22 and approved by Feb. 18).
Can the Appointment Summary Form for Temporary Employees be used with the file?
The Appointment Summary Form will now be required as part of the appointment file just as it is in the regular academic year, however not all information on the form will be required for Summer Session appointment files.

Are individual Teaching Evaluations required?
A teaching evaluation (CAPE) summary only is required. The summary can be included in the body of memo from the Department Chair or as an addendum to the memo. See the sample provided in the presentation packet. The summary should include evaluations for the course being proposed to teach. If the instructor’s teaching ability is questionable, the Department Chair must address it in the memo with an explanation or plan to improve the instructor’s teaching. Copies of individual course evaluations can be included in the appointment file only as support of the instructor’s ability.
Why does Summer Session need Visa verification?
Departments have a choice to include the actual visa information or to note in the Department Chair’s memo that the department is working with the International Center to obtain an appropriate Visa.
