JOB DESCRIPTION Post: Finance Assistant & PA to SLT Hours: 35 hours p/w 9am-5pm (42 weeks per year, term time + 3 weeks in school holidays) Grade: S4 - £16407 - £19,194 FTE Accountable to: Business Manager Purpose of the role: The purpose of this role is to provide support to the Business Manager and Senior Leadership Team to ensure effective management of the finance and administration processes of the Academy. Main Duties and Responsibilities: Finance Using specified computerised financial management systems, ensure that financial records are maintained To operate purchase invoice and orders system, process receipts and payments including petty cash, prepare bank reconciliations, working to monthly deadlines. To work with the Business Manager in the financial administration of the Academy’s community facilities, resources, provision and programmes (including external lettings) To assist the Business Manager, as and when required, in preparing monthly, annual and periodical returns and claims. To assist with end of year accounting procedures. To assist with the record keeping and reconciliation of school fund accounts. To assist with annual financial audits. To assist with organising and storing paperwork, documents and computer-based information. PA to Senior Leadership Team To provide a full, confidential secretarial provision to senior leadership team to support them in the running of the school. To prepare agendas and taking minutes of meetings as required. To produce letters on behalf of the senior leadership team. To uphold the high standards of the school in all communications, including personal contact, telephone and written. To assist in organising any meeting/events with the senior leadership team as appropriate. To update the school website and social media as appropriate. To assist with organising and storing paperwork, documents and computer-based information. Other duties as may be reasonably required by the senior leadership team. Academy Efficiency and Effectiveness To develop and manage the administrative systems and procedures to improve efficiency. To undertake such duties and working hours as agreed with the Business Manager and carry out any other reasonable duties as may be required. Person Specification Post: Finance Assistant & PA to SLT Essential Desirable Qualifications A good standard of secondary education. Further qualifications beyond age 16. GCSE grade C or higher in English and Maths. A recognised finance qualification. A recognised qualification in administration Knowledge of finance packages such as Corero and Tucasi. Previous experience working in a school or with young people. Previous experience working in a finance background. Skills Very good interpersonal skills with people of all ages. Able to work independently and methodically, to a high degree of accuracy, meeting strict deadlines. Able to work unsupervised. Able to write letters, reports and communicate well in person, by telephone, fax etc. Have a critical eye for detail. Be a confident user of Microsoft packages, the internet and email systems. Experience Specific experience is not essential as full training will be provided. You must however be a highly skilled administrator.
