As Corporate Records Officer at the Darebin City Council it has provided me the opportunity to familiarise myself with the PROV standards, specifications, guideline and advices for capturing, controlling, storing, accessing and disposing of records. Prior my commencement as a Records Officer, I was offered adequate training to ensure I understood the policies, guidelines and regulations held with the Public Records Act. As a Records Officer, I make sure that I implement the PROV standard when capturing records by ensuring a full and accurate copy of the record source is created and the converted record is managed properly in the EDMS so that it will be accessible by all members in the organisation. In regards with controlling and managing of records, I implement the PROV standards and guidelines as I am aware it will enable effective record management practices to occur throughout the organisation and retrieval of records can therefore be timely. This is done via following the standards and rules provided by my superiors. During my employment as a Records Officer I have been trained on how to store records in a consistent and appropriate condition, which will protect the records from hazards, exploitation and corruption. From professional experience at Darebin City Council I am confident with my ability to follow the requirements of PROV Retention and Disposal Schedules. I am knowledgeable of the different types of documents that are required for permanent storage or temporary retention and storage. Recently I have been addressed by my superiors to locate certain town planning documents for the Building Services Department. I was able to locate these planning documents without difficulties as I knew where they are stored and had no doubt that these documents would be destroyed as I remember from my recent training that all town planning documents are for permanent retention, and they are kept in the filing and storage shed onsite at Darebin. Also from recent training I have learnt that documents are classified as temporary will be destroyed after certain number of years, this can vary between two to 25 years. These documents are usually related to animal registration and structural maintenance of property equipment intended for public use. I am aware of the correct procedures undertaken with disposal of records and the privacy control in relation to it as I recently assist a records work colleague with the destruction of several record documents. I have been exposed to several methods of destroying records, includes shredding, pulping, crushing, degaussing, deleting, chemical recycling. Demonstrated experience with an electronic document records management system (EDRMS) and proficiency in the use of desktop based office applications. At the Darebin City Council I have used the EDRMS know as Objective 8.1. I have processed and managed documents and information and classified and registered documents using Objective 8.1. Furthermore, as part of my job as Records Officer I have provided one-on-one training along with group training with the EDRMS on a timely basis. Along with providing this service I have also been subject to monthly training my by supervisors to ensure I am always up to date with my knowledge and skills in order to perform my task efficiently. As far as desktop based office applications I am very efficient with Microsoft Word, Excel, Access, Published, PowerPoint and Outlook as I have been exposed to these during my university degree and high school. Whilst working at Safeway Supermarket I was responsible for six to nine work colleagues, all from different cultural beliefs and background. I played a crucial role as supervisor within this small team environment to ensure a friendly and welcoming working environment for all and as a result I have established a good friendship with each of them. As a supervisor at Safeway Supermarkets and Subway, I provided various support to my colleagues, including encouragement, reassurance, motivation and acknowledgement of their hard work. At the beginning of serving a customer I will always greet them with a simple, “Hey, how are you today”, and always smile at them and make eye contact. Depending on the customer’s response, I can either keep the conversation going with the customer or just leave it at that. From my employment history in retail, I have been in contact with numerous customers. As a result I have discovered that ever customer is different. Some will enjoy a conversation with you, and will even provoke one, while others want to be left alone and have minimal contact. Paying attention to the customers’ body language provides me with an indication with what the customers want. No matter what type of customers they are, I will always bid them goodbye and say to them have a great day. To provide excellent customer service requires more than just saying ‘Hi’ and ‘Bye’. It requires patients and also problem solving skills, as it is quite common to experience difficult customers on every work shift. Over the course of my employment in retail and hospitality I have developed ways to handle with these types of customers.
