North Channel Aquatics Membership Fees Training Group Fees 2015-2016 The cost to swim on the competitive team is one yearly fee. If you pay this yearly cost in one payment up front, you actually get one free month of swimming. You may break up your fee into quarterly or monthly installments. Paying quarterly gives you half a month free. Should your swimmer decide to discontinue with the team during the course of the year, you are still responsible for your monthly installments until 12 months are paid. There will be no refunds given. TRAINING GROUPS REGISTRATION FEE YEARLY COST QUARTERLY INSTALLMENTS MONTHLY INSTALLMENTS SENIOR $300 $1210 $316 $110 JUNIOR $200 $990 $259 $90 WHITE $200 $880 $230 $80 BLUE $200 $825 $216 $75 GREEN $200 $715 $187 $65 TECHFIT 1* $100 X X $50 $100 X X $50 (ages 11 & under) TECHFIT 2* (ages 12 & older) . ** TechFit members swim on a month-to-month basis. We request that if a swimmer chooses to discontinue with the team, a 30 day notice be given or the account will be charged for that next month. For example, if the swimmer wants to quit at the end of October, notice will need to have been given by the 3 rd of October in order to not incur the monthly fee for November. Registration Fees: These fees are incurred every year per swimmer. At least 50% of the Registration Fee is required of all swimmers before they begin to practice. Part of the Registration Fee will be applied to your yearly United States Swimming and Gulf Swimming membership fee. The Registration Fee also covers a team suit, team meet and practice caps and team t-shirts (3 throughout the year) plus other miscellaneous items. Senior Group Registration Fee also includes chocolate milk and Gatorade at practice. You can choose to pay your fees in full at the time of registration or you can break them up into two payments. All fees must be paid in full by October 1. Swim Meet Fees: Meet entry fees are not included in any other fees listed in this packet. Meet entry fees will be billed periodically throughout the season, according to meets attended. Typical meet entry fees range from $5.50-$10 per event entered. There will also be a per swimmer surcharge ranging from $2-$10. The coach has total authority over choosing what events their swimmers enter, unless that choice has been given to the swimmer. USA Swimming rules do not allow a swimmer to exceed five events per day (excluding relays) and most meets range between 3-5 events per day to keep the timeline manageable. If your swimmer missed a race or an entire meet he/she is entered in, the fees are non-refundable AND cannot be paid back for by the outreach fund. A typical two day meet might cost between $60-$80 per swimmer. Typical yearly meet fees can reach as high as $600 per swimmer. Coaching Fees at Swim Meets: There will be an additional $7 coaching fee per swimmer, per meet added to your entry fees. This cost in included in the above yearly estimate. This coaching fee helps defray the costs of food, hotel and transportation for the club staff. This fee is not reimbursed by the Gulf for Outreach swimmers. Home Swim Meets: North Channel Aquatics runs 3-5 swim meets a year. Running of organized and profitable meets are the primary fundraisers for the team. Home meets provide our membership with some of the best opportunities for competition. Our goal is to have 100% volunteer participation, motivated by an appreciation for NOCH and the sport of swimming. Due to the importance of successful fundraising, and to be fair to those who willfully volunteer, parents are expected to fulfill our work requirements. Parents have the opportunity to choose their assignment/job, such as timing, by signing up with our meet volunteer coordinator. Work commitment policies are managed by the combined efforts of the meet director, volunteer coordinator and head coach. Parent Swim Meet Work/Fundraising Commitment Policy: The number of sessions each family is required to work will be determined in advance of the season. Normally, each family is required to work one shift at each meet we host. Shifts usually run 2-4 hours in length, but could be longer. If a shift is not fulfilled by a family, a $50 penalty will be assessed the first meet. A $100 penalty will be assessed for the second meet missed and a $200 penalty will be assessed for any meet missed after that. If you know in advance that you cannot work a meet on our schedule, you can be assigned to another function to earn your hours. This is ONLY IF there is a function available to work. Your account will be charged the fine and will then be credited once you have made up your shift. Check In: Upon arrival and prior to departure, you must check in with the area manager or respective department chair. Failure to check in/out may result in you not receiving credit for your work and being charged the fine. Help With Fundraising: Instead of a fundraising requirement, we will expect each family to donate a food item to our concession stand or hospitality room. You will select your food item to be donated from a posted list prior to the meet. All proceeds from the sale of food items goes directly to our fundraising account. Families must sign in their donated item(s) with the concessions/hospitality chair at each meet. If you do not sign in the food item, you will be fined for non-food donation. That fine is $25 per meet. Can’t Attend a NOCH Hosted Meet?: There are alternative ways to volunteer if you are unable to attend a NOCH meet. In order to avoid the penalty, you must contact the head coach ahead of time to make the proper arrangements. Some examples of alternative jobs are: Restaurant donation to feed 50 people Assistance with team parties/banquets Working NOCH swim store or summer concession stand Unfulfilled Work Requirements: will result in a $50 penalty for the first meet, $100 for the second meet and $200 for every meet after that. Unfulfilled Food Donation: will result in a $25 penalty per meet Options are available to assist families in reaching their monetary commitment. The following programs are available: 1. 2. 3. 4. Sale of Meet Sponsorships: This can be accomplished by asking friends, family, local businesses, etc. to sponsor your family for the 2014-2015 season. The sponsorship levels are listed in a separate document in this packet. iGive.com: a search engine that donates a small amount each time you do a search plus, if you purchase from one of their vendors, a varying percentage is given back to the team. GoodSearch.com: a yahoo-powered search engine that donates half its advertising revenue to the charities its users designate. You use it just as you would any search engine, get quality search results from Yahoo and watch your donations add up! GoodShop.com: when you shop online at your favorite stores, North Channel Aquatics can receive a donation of up to 37% of each purchase! Hundreds of great stores including Amazon, Target, Gap, Best Buy, eBay, Macy’s, Barnes & Noble, Old Navy and Toys ‘R’ Us have teamed up with GoodShop. Every time you place an order through the GoodShop store, you will be supporting NOCH! Swim Meets Away From Our Pool We also attend meets at other facilities. We are usually assigned a lane to provide timers in for the duration of the meet. Timing assignment shifts are scheduled by the coaching staff one week prior to the meet. Parents are placed in a time slot according to what days and what events their child is swimming. If you know in advance that you will not be able to time at a particular meet, please let the Head Coach know as soon as possible. If you communicate this information after the assignments have been published, you will be held responsible for that shift meaning you either need to fulfill it or find someone to take your place. If you do not show up to the meet for any given reason (illness, child illness, car malfunction, etc.), it is still your responsibility to find a replacement. Any unfilled shifts will result in a $10 fine assessed to your volunteer balance. If the coaching staff has to find a replacement, you will be fined. What happens if I don’t fulfill my financial obligations with North Channel Aquatics? Families that don’t meet the above financial obligations will not be eligible to participate with the summer league program; will not be eligible for scholarships provided by the team; will not be able to register for the next season; are subject to legal action taken by the team in small claims court. Signing up for Competitions: JUNIOR AND SENIOR GROUP MEMBERS WILL AUTOMATICALLY BE ENTERED IN EVERY ELIGIBLE MEET unless a coach is told in advance that you will not attend. These swimmers are expected to attend all meets offered, every day of the meet. BLUE, GREEN and WHITE groups: An email will be generated and sent to you at least two weeks before the deadline. It is best to enter at that time! You will be asked what days you want to participate and (sometimes) what events to swim. Once you are entered, an email will be generated and sent with your events and fees. After the entries are submitted to the meet host, your account will be billed for the fees. If you do not turn your entries in by the deadline but still want to enter the meet before the entries get sent off to the meet host, you can do so for an extra $10 fee. If the entries have already been sent, you can still attend the meet by deck entering the day of the meet. Cost is double the entry fee for each event entered plus the per swimmer fees, and outreach members will only be reimbursed the regular entry fee amount, not the doubled price. Policy Regarding Championship Meets: NOCH is an up and coming swim team. Team success at championship meets is one of our priorities. Our expectation is to have 100% participation of qualified swimmers at championship meets. Swimmers attending all sessions recommended will receive a championship team tshirt. Those choosing to not attend all sessions will be charged $5 for the shirt. All swimmers will be expected to wear the championship t-shirt at the meet. Swimmers/Families should expect to stay through the entire session to swim on relays and to support their teammates. Team Travel: Team travel is arranged for selected meets. Team travel is defined as: travel as a team, stay in a hotel as a team, eat as a team. Prices will include transportation and hotel and the swimmer will be typically responsible for covering their own food expenses. Not included would be entry fees and any extra spending a swimmer might want to do. Funds must be collected before the team leaves on a trip. In addition, those with any delinquent NOCH fees will not be eligible to travel with the team until full payment is received. To assist in budgeting, consider the following costs as representative of a typical travel meet. Every season is different; however, the information below is a general guideline that can be used for those who meet the criteria and others who are invited to travel. Team Uniform Policy: NOCH strives for every swimmer to represent the team in a uniform fashion meaning: all swimmers should wear the team suit, warm-up, cap and t-shirt and carry a team backpack. North Channel Aquatics is a Speedo team therefore, we ask that you purchase Speedo products whenever possible. A team suit, cap and t-shirt are all issued to you at registration. Warm-ups and backpacks are purchased separately. NOCH and a name can be embroidered on these items for a small extra cost. Parkas and hoodies will also be available. Parkas come with NOCH in block lettering across the back and a name stitched on the front, included in the cost. It is highly recommended that the team items you purchase are in our team colors (navy and green). The team uniform (including team t-shirts) is required to be worn at every competition. No other suits, caps, t-shirts, etc. are allowed. If a swimmer is wearing some other attire, they will be asked to remove it. If a swimmer is not wearing a team suit, they COULD BE scratched from the meet. Please plan ahead when a meet is coming up and be sure to have a team suit, cap and t-shirt for every day of the competition. Leaving the team: In order to leave a Gulf Swimming USAS club for another Gulf Swimming USAS club, your debt must be settled from your previous club. Even if you are leaving the sport altogether, your debt must be settled and your account cleared. You are responsible for all financial obligations that you committed to upon joining the team. If these obligations are not cleared within one month of leaving the team, you could be pursued legally to collect debts owed. Members who have outstanding balances inevitable undermine the health and success of our club. We hope that we will always be able to solve any problems regarding a member’s payment obligations through communication. Our membership fees are structured so that the club can maintain a viable swimming program. Your timely payments contribute to our overall financial wellbeing and our ability to pay for excellent coaches, desirable pool time, as well as covering related costs of running a team such as insurance and taxes. We are more than accommodating and understanding that people will and do fall behind on their payments from time to time but we must adhere to the following established procedures: 1. A Delinquent Account Notice will be sent to you via e-mail notifying you of your account status. 2. After receipt of a Delinquent Account Notice, a member will have until the 15th of the month to pay their account in full. In the event of extraordinary circumstances, which have been communicated to North Channel Aquatics, we will work with the delinquent member to establish an acceptable formal payment plan. 3. If we have not heard from the delinquent member by the 15th of the month, or if an acceptable formal payment plan is not established and maintained, the account’s swimmer(s) will no longer be allowed to participate with the team, including practices and meets. These accounts will also bear interest at the rate of 18% per month. 4. Accounts which incur this interest payment, continue to be delinquent and where no established payment plan is in effect and maintained will be declined for renewal registration for the next season and the account’s swimmer(s) will not be allowed to participate with any other club affiliated with North Channel Aquatics (summer league, water polo, diving). 5. All payment plans must be paid in full by the end of each swim year (September through August). 6. North Channel Aquatics and SwimSikk, LLC reserve the right to collect all outstanding balances through legal collection processes, including interest as stated above plus legal fees incurred in the collection process. The last thing we want is for an overdue account balance to force us to deny any swimmer from practicing and/or a place on our team. We have every intention of working with our families to avoid penalties due to delinquencies and assist with acceptable payment programs where they are truly necessary. Communication, however, is the key to our ability to do so, plus cooperation to carry through your responsibility. North Channel Aquatics SwimSikk, LLC HONOR CODE/TEAM TRAVEL AGREEMENT/BULLYING POLICY September 2015-August 2016 The following code is always in effect: 1. Coaching staff holds the final word on any rules, regulations, or disciplinary actions. 2. All swimmers are expected to follow the team uniform policy and must adhere to NOCH apparel sponsor specifications. 3. In a prelim/final competition, swimmers who qualify for finals are expected to participate in the finals (even on Sunday!). 4. Any questions swimmers or parents have concerning meet results, an officiating call or the conduct of a meet should be referred to the NOCH coaching staff. Our coaches, in turn, will pursue the matter through appropriate channels. 5. Swimmers will be punctual and prepared for every training session. Punctual means on time for practice. This is defined as in your suit with your cap and goggles, ready to swim. If there is dry land, this means you are in your appropriate clothing ready to go when practice begins. Punctual means not walking through the door when practice begins. It means being on deck at least 10 min. earlier. Failure to communicate with your coach regarding being late will result in a swimmer not being allowed to practice. Prepared means that swimmers have all necessary training accessories with them. Consistently being late will not be accepted, no matter if communication is made! Items below refer specifically to team travel. Any swimmer attending a travel trip whom the coach, coaches, or chaperone feels acts in a manner that would interfere with the travel objectives listed below, will be subject to immediate return home (at the expense of the parent) and other punishment including barring from future travel with the team or dismissal from the team. 6. 7. 8. 9. 10. 11. 12. 13. 14. The consumption or purchase of alcohol, smoking or chewing tobacco, or use of any other illegal drug or substance of any kind will not be allowed. Any team member found or suspected to be in the presence of others (regardless of team affiliation) partaking in any of the above activities, will be subject to the same punishments and probable expulsion from NOCH. Male and female athletes are prohibited from being in the same room together with the door closed. This applies to NOCH members or members of any other team. A chaperone or coach must give permission for males/females to be in the same room together but the door must remain open at all times in this situation. No team meetings may be missed. Swimmers must be punctual to all meetings and warm-up times or they COULD be scratched from the meet. Swimmers must remain with the team at all times during a trip. Swimmers cannot leave the hotel, or pool without the permission of a chaperone and/or coaches. No team member may be out of their room after the assigned lights out time. Lights out means lights out—all electronic devices off, in bed and ready to go to sleep. Coaches might ask for electronic devices at night. Rooms and travel vehicles are to be kept neat and all trash should be handled appropriately. Swimmers will clean up after themselves; coaches and chaperones are not maids! Any damage or thievery incurred at a motel will be at the expense of the swimmers assigned to that room, and further disciplinary action will be taken. No loud or boisterous behavior will be tolerated in hallways or public areas and such behavior should be kept at a civil level in your rooms. No calls from the room. Any movies or on-demand services must be paid at the front desk ahead of time with permission of the chaperones or coaches. All team members will be polite, quiet and leave at least a 15% tip in restaurants. The following is information on our anti-bullying policy. At this point, depending on the severity of the actions involved, will issue warnings or suspend Members from practice for two days. The second incident involving the same Member will automatically be a two day suspension. A third incident will result in removal from the team with no refund or breaking of the family contract with the team, meaning all financial responsibilities will still be owed. The facility that we use has specific instructions for parking and utilizing the facility. Any infractions of these policies could result in swimmers and/or families banned from the facility or removal from the team. Too many of these infractions being reported to Galena Park ISD could result in our team’s dismissal from the facility altogether. The following policies are in effect for the Galena Park ISD Natatorium and should be abided by at all times: 1. NOCH parents or swimmers should NOT communicate with the district personnel directly. 2. Parents are NOT permitted on the pool deck. The coaches at practice will determine and communicate the rules for watching practices, depending on habits of the parents. 3. Parents are NOT allowed to converse with the coaches or swimmers during practice. This is disruptive and distracting to the coaches and the swimmers. We suggest scheduling a meeting, texting or emailing the coach. 4. All water bottles, trash and debris are the responsibility of the swimmers and shall be picked up and disposed of by the swimmers at the end of practice. Consistent disregard for this rule may result in swimmers being given punishment by the coaches. 5. Locker rooms are to clean of debris, trash, etc. after practice. 6. Swim bags and equipment bags are NOT to be left on the pool deck or in the locker rooms overnight. They should be taken home or locked in the equipment bin (Junior, Senior, White group only—with 90% attendance). Neither NOCH nor the facility is responsible for any lost items. 7. It is advised that swimmers do not leave anything of value in the locker rooms (phone, jewelry, purse, etc.). It is advised that swimmers place these items in their swim bag or leave it with a coach. 8. Every swimmer is expected to conduct themselves in a responsible manner, and refrain from loud outbursts, horseplay, etc. 9. Family members are required to supervise and control the behavior of their non-swimming children. Siblings must remain in the pool area with parents at all times. They must be sitting with their parents and not running/playing behind the bleachers or anywhere else in the facility. In addition, siblings are not permitted to use the bathroom facilities unattended. Consistent disregard for this rule may result in families being asked to leave the facility. 10. Food is only allowed in the lobby and the spectator seating area, not on the pool deck or in the locker rooms. 11. Swimmers must dry off completely before leaving the pool deck and entering the lobby. 12. When picking up your swimmer, you may pull up at the curb and wait in your car. You may NOT park your car anywhere else but a marked parking space i.e. do not park your car at the curb or “create” a parking space wherever it is convenient. 13. Late pick up policy: We, as coaches, do not mind helping out if you are in a bind BUT, your child needs to be picked up ON TIME after practice. If they are not, you will be charged a fee, to be paid to the coaches who are waiting. You are allowed a 10 minute grace period from the time practice ends. At 15 minutes, you will be charged $10 and then $1 for every minute after that. This will be added to your account without notice. THIS INCLUDES SHOWER TIME! If your child wants to shower after practice, that is fine but you still need to be there when practice ends. Shower time is not permitted if your child is in the last practice of the day. North Channel Aquatics SwimSikk, LLC I.T. Code September 2015-August 2016 In the electronic age in which we live, every member of NOCH needs to be aware of the far reaching effects of data posted to websites, email and other electronic mediums. This includes photos posted to websites, text messages that contain inappropriate language or information that is private or confidential, blog sites, and messages posted to sites like Twitter, Facebook, etc. We, as your coaches, do not want to have any team member’s future or career jeopardized due to a careless or thoughtless impulsive action. We all recognize that the words and photos that we post online are there for everyone to read and view. We have seen the high price that people pay for careless mistakes and poor choices. Before posting anything to the internet or texting to someone, we would like each NOCH member to ask themselves the following questions: 1. Would I send this message or photo to my parents? 2. Would I send it to my coach or teachers? 3. Would I send it to my pastor, priest, rabbi or other religious leader or mentor? If you cannot answer “yes” to all of the above questions, perhaps you should hit the “delete” button. Your future is too important to be affected by an action that is impulsive and rash. In an effort to help each member attain a performance standard above reproach or criticism, the following is a list of rules in the use of electronic equipment: USE OF CAMERAS: Under no circumstances will cameras be allowed in locker rooms. If your cell phone has a camera device, it may never be used in the locker room. Taking photos in a locker room is strictly prohibited. Photos will be confiscated or deleted. No photos containing nudity or inappropriate expressions or hand signals of any NOCH member will be sent, forwarded or posted. USE OF CELL PHONES: At practice: no cell phones will be allowed out of swim bags during practice without the coach’s permission to make or accept a call. At meets: Out of courtesy to fellow swimmers and teammates, all cell phones should either have volume on low or on vibrate. All devices containing music should be used only with headphones or ear buds/headphones before or after practice. They are not allowed to be worn during practice/dry land at any time. TEXT MESSAGES: The texting of inappropriate language, use of swear words and foul language, divulging of personal or private information of another member without their consent is inappropriate behavior. Consequences: Any violation of these rules, depending on the severity, will result in at a minimum of a verbal warning to a disciplinary meeting between the violator, parents and the coach. Consequences can range from a two day suspension from practice to the member being excluded from the next meet and/or travel trip, but ultimately will be decided by the Head Coach.
