General Body Meeting Minutes

May 2008

The May 15, 2008 meeting was called to order at 6:50pm, College Hill

Presbyterian Church. A quorum was present with 34 financial sorors and

1 non-financial/ visiting sorors. Sor. Charlotte McKenzie moved to adopt

the agenda. Seconded. Motion carries. The April General Body Meeting minutes were read silently. Sor. Betty Davis moved to approve the minutes. Seconded. Motion Carries.

Correspondence

Sor. Charlotte McKenzie gave her report. 2 requests to be discussed under new business. Chapter Articles covering recent programs and soror in the news.

President

Sor. Veronica Chapman gave her report. Local, regional and national updates. Violets to committees and select sorors. Received request to serve as host of regional leadership meeting in spring 09.

1st Vice President

Sor. Tina Welch gave the report. Overview of past program activities and proposed programs for 0809. Encouraging sorors to come to the Delta

Academy awards program on 6/7 3-4 pm. Request for sorors to help plan the Aug. Social Action activity. Motion to accept the propsed programs by Sor. Charlotte McKenzie. Seconded. Motion Carries.

Sor. Veronica Chapman gave the report. Reminder to turn in nominations for Violet and Fortitude awards by May 23 rd . Would like to know who will be attending the National Convention-Registration closes May 17 th .

Financial Fortitude: Sor. Michelle Story-Stewart gave her report.

Review of Issue 3 focusing on maximizing your 401k and Issue 4 of Big Sister Big Bucks handed out focusing on Smart Saving.

Ebony Fashion Fair: Sor. Charlotte McKenzie gave her report.

The date is Friday October 31, 2008 at 8pm at the Duke Energy

Center. Offering Chapter Members the opportunity prepurchase tickets for the event. Acknowledgement/violets of committee.

Midwest leadership team are requesting that each chapter contribute $75.00 (or an amount within the capacity of the chapter) toward the purchase of a gift. Motion to contribute $75 by Sor. Wanda Owens. Seconded. Motion

Carries.

•Sponsor Request from Rho Xi Chapter for $250 to assist with hotel fees and transportation to the National Conference.

Requested response date is May 31, 2008. Motion to give $250 by Sor. Tina Welch. Seconded. Motion Carries.

•Soror Khia Moses Highlighted in a magazine around Leadership

Delta which is a program in conjunction with GE.

•Concert Sounds and Songs at Crossroads Church on Sunday

May 17 th at 6pm.

•Soror Jovan Moore is moving to Philadelphia to take a position with Teach For America, wanted to say Thank You to sorors in the chapter for love and support in the past

•Soror Michelle Rogers will be moving to Philadelphia to take a new teaching position at Drexel University

•Soror Darlene Clark-Hine will be speaking at the Union Terminal on Sat. May 17 th at 11am.

All committee meetings, updates, announcements, etc. that you would like included in the upcoming CAC Weekly Update should be submitted to me each week, no later than Sunday, 5:00pm,

dst_cincinnati_alumnae@yahoo.com. You must write your own

submission in its’ entirety. This will insure inclusion of any early week meetings, as the Update will be emailed during the early part of each week. If you have an exception/emergency, feel free to call me at

513-258-3799.

•Please submit your info in the format as you would like for it to appear in the update. Your info should be inclusive, in standard type, and brief. Include pertinent info such as date, time, location, contact person, email, phone number, etc. Only minor editing will be done.

•Keep in mind that NOT EVERY FLYER/ATTACHMENT CAN BE

• Ad request from the 2008 NAACP Convention for their Souvenir

Booklet. The amounts range from $2000/full page color to

$750/quarter page black and white.

• Fund request from Alpha Kappa Alpha Sigma Omega Chapter to support their Walk-A-Thon that will take place on September 6,

2008. Levels of support are $100 and $190.80.

• Ad request from the Cincinnati Chapter of The Drifters, Inc. for their Tacky Ball that will take place on October 18, 2008. Ad prices are $75/full page; $40/half page; $25/quarter page.

Tickets are available at $49.99.

• Parade participation is requested by the Village of Lincoln

Heights to participate in their parade, 54 th Annual “Lincoln

Heights Days Festival”, August 30, 2008.

Greetings Sorors!

This month brings to a close another fabulous sorority year. Thank you for your support, dedication and enthusiasm. We definitely continued to move the chapter Onward & Upward and we could not have done it without each of you!

Local Updates

▲ Approximately 60 Sorors and guests participated in Delta

Day at the Freedom Sisters Exhibit on Saturday, June 14 th at the Cincinnati Museum Center.

▲ Violets to Lisa Rowell and the Golf Outing Committee for a successful 3 rd Annual Golf Scholarship Fundraiser.

▲ Violets to Delta GEMS committee on their nominee, Jasmyne

Walker, being selected to participate in the Presidential

GEMS Program at the National Convention. Thanks to Soror

Twitty and DeBrossard for agreeing to be her chaperone.

▲ I was appointed to the NAACP Blue Ribbon Committee.

Volunteers Needed for the 99th Annual NAACP Convention,

July 12-17th. Critical needs include: Host Committee (to welcome guests), Kit Committee (to stuff convention bags) and Volunteer Drivers.

First Vice President Report

Sorors congratulations on a great year of service to our

Cincinnati community. I would like to thank the Program

Chairpersons and Co-Chairpersons and their respective committees for a job well done! Here are some program highlights:

– Dr. Betty Shabazz Delta Academy - During the 2007-2008 program year, the co-chairs, as well as the committee members have increased focus on science-based, hands-on activities and non-traditional careers for women through three learning modules – “The Science of Beauty,” “iSPACE Robotics,” and in conjunction with Media Bridges, “Lights! Camera! Action!

Delta Academy II: Delta G.E.M.S. (Growing and Empowering

Myself Successfully) – conducted a kick-off session on Goal

Setting, Learning Styles and Study Skills; the Annual Fall Retreat in conjunction with the chapter’s Delta Academy program where the theme was “Leadership and Self Esteem”; Career

Planning & Preparation session which consisted of an interactive career panel highlighting various career areas and educational opportunities; and the Annual Overnight College Retreat at

Indiana University where again, the GEMS’ collaborated with the chapter’s Delta Academy program to put on a phenomenal program. The young ladies also participated in a

Community Service activities.

Scholarship Committee - College Prep Workshop this year’s workshop was expanded to cover youth in the 7th – 12th grades. Students in the lower grades were exposed to different careers and activities they need to accomplish before applying to college, i.e. community service, summer jobs etc. The workshop for the upper grades focused on college selection, testing, application submission, interviews and financial aide.

We also distributed $10,000 in Scholarships to local high school students. Four deserving young ladies selected from a pool of 60 applicants will receive scholarships for the next academic year.

2007 - 2008

– Debutante Cotillion - This year’s Cotillion Ball the chapter presented 19 dynamic debutantes, representing 10 area high schools, to a sold out crowd of over 500 guests. The young ladies were engaged in a multifaceted leadership program over 6-months which emphasized public service, as well as personal and spiritual development. The culminating ball was an elegant display of splendor and grace. The sorority distributed over $21K in scholarships and awards.

Social Action committee - This year, the committee collaboration with community partners. In October 2007 the

Social Action Committee co-hosted a Cincinnati City Council

Candidates forum with the local NAACP chapter. In May 2008, the Cincinnati Alumnae Chapter members, partnered with the

Cincinnati-Hamilton County Community Action Agency (CAA) and the Queen City Chapter of Delta Sigma Theta to host the

CAA’s Annual Legislative Breakfast.

Physical and Mental Health Committee - conducted brief presentations and distributes Health and Healthy Lifestyle information to Sorors during sorority meeting. As well as participated in a Breast Cancer Walk-a-Thon to raise breast cancer awareness in October and encouraged sorors to become involved in the Sisters Network, Inc, a partnership with the Breast Cancer Sister Study.

Financial Fortitude Committee - helped to increase the chapter’s awareness of ways to improve their financial stability with the Big Sister Big Bucks newsletter that addresses financial questions asked by sorors and other pertinent information sorors should know about their finances and today’s economic conditions.

Adopt-a-Family – over the course of the year, the chapter generously provided donations of food, clothing, gift cards, cleaning supplies, gifts, and more for our adopted family to provide Thanksgiving and Christmas baskets. In addition we collected personal care items for our sick-n-shut-in sorors and also distributed these items at Christmas.

We will continue our social action program activities over the summer by participating in several voter registration drives: NAACP National

City Wide Founders Day Report

The Citywide Founders Day was held on March 1, 2008 at Cincinnati

Action Agency. The event centered on Breast Cancer Awareness.

Sorors Pearline Singletary and her sister Ms. Ice were recognized for their participation in the “Sister Study”. Ms. Ice was the keynote speaker. Her message centered on women in general being more aware of their bodies and maintaining regular mammograms and self breast exams. The rededication ceremony was held with lunch immediately following. A donation will be made for Breast Cancer

Awareness on behalf of both chapters. Each Soror’s picture was taken when they entered the event and they received a framed picture as a souvenir when they left. The event was well attended considering the short amount of time Sorors had to respond to the invitation. Overall the event was a successful. Both chapters worked well together.

Recommendations:

Planning - The committee was only able to meet approx. four times prior to the event. The planning of the event should take place at least 6 months before the event takes place. The committee should meet a minimum of once per month. Early planning will also allow the opportunity for collegiate chapters to participate in the event.

Finances - It was difficult to maintain an accurate track of all monies collected due to not having the chapter’s treasurer take the money.

There should always be a representative from the chapter’s just to handle the money. While the co-chairs did their best to record and accurately log all money handed in, it still was a difficult task. The financial representative must be present at any meeting when money is collected.

Ceremony - The rededication ceremony was a beautiful ceremony, however we did not end up having someone to play the music and the ceremony did not run smoothly. There must be a practice of the ceremony at least once prior to the event. The committee is recommending that the rededication committee meet at least three times prior to the event and conduct a complete practice to include

Citywide Founders Day 2008

Souvenirs - The souvenirs were well received. If pictures are used as a souvenir again there will be a minimum of two printers to print the pictures. It took a long time to get all the Sorors pictures printed. Due to the cost of conducting the Citywide event, it is also recommended that souvenirs not be given. This tends to drive up the cost of the event. The purpose of the Founders Day program is to recognize and celebrate the founding of the organization. While most Sorors enjoy the souvenirs, the committee feels that Sorors will understand the need to eliminate giving souvenirs.

It is SHOWTIME! The 51st annual Ebony Fashion Fair will be returning

to Cincinnati on Friday, October 31, 2008. Tickets are available for sale today!
