Collection Survey
The William White Papers were received in a state of complete disorganization, with no clear
groupings that would indicate original order. In organizing this collection it became evident that
it could be separated in to five series; Photographs, CDs and Music, Set Lists, Journals, and
Assorted Ephemera. In many cases it is impossible to tell the date of creation, therefore I chose
not to organize the collection chronologically and instead by subject. The date is included when
known.

Collection Proposal
Mission Statement
The purpose of the William White Papers is to preserve and make accessible the music and
memorabilia that represents William White’s musical career while providing significant insight
into his hometown in Nelson County, Virginia. The goal is to preserve this collection for future
generations to be able to listen to music that was created by William and see that experience
through the photographs and ephemera.
Role for the Specific Audience
William and his band mates are able to access this collection and draw inspiration from old
songs, set lists and photographs. The collection helps them stay connected even though they have
scattered across the country, this is a significant reminder of their work together and a source of
many shared memories.
Role for Historians/ Scholars in General
Researchers interested in local bluegrass/ folk music in Virginia will find some excellent
examples of the genre in this music collection as it contains many original tunes that have since
been tweaked and changed. This collection also provides insight into the concert culture of
Virginia from 2001-2007, most notably represented by local shows and gigs.
Current Boundaries of the Collection
Much of this collection lacks a way to determine the date, particularly the photographs and
ephemera. If the negatives could be found for the photographs, they would fill in a lot of the
missing information, creating a more complete collection.
Future Areas for Growth
William and his band are no longer together and William has stopped touring and playing on his
own as well, so there will be no future growth expected for this collection. Although we don’t
expect any new items to be added there is potential to find photographs, song notes and similar
items relating to that time in boxes; if that occurs they will be accessioned as they are discovered.
Ultimate, Realistic End of the Collection
As William and his band are no longer touring there is no expectation that there will be any new
accessions to the collection beyond the items discussed in Future Areas for Growth.
Value Assessment
The value of the William White Papers can be measured in its ability to be accessed and used by
a variety of researchers and historians and for this reason should be preserved for continued
access and enjoyment by future generations.
The William White Papers are valued for the glimpse they provide of a specific type of music,
time and place. The Papers are an excellent example of the bluegrass/folk scene that was
prevalent in Virginia in the early 2000s. Through this collection of photographs, journals and
ephemera one can get a view of concerts, tours and recording sessions from William’s point of
view.
The photographs are one of the most valuable items in this collection. They provide the
researcher with many perspectives and images of William White and his band, Dhammapada, at
work and in candid moments. The collection also includes photographs of Emmylou Harris and
the Warren Haynes Band performing as well as crowd scenes from their performances.
The CDs are another highly valued part of the William White Papers as they contain original
recordings of songs written by William White and the dialogue between band members during
their recordings. The original songs are of special significance because some of the songs have
been modified and changed over the years and the CDs in this collection allow the researcher to
hear the music in its authentic form. Additionally, some band members are still in the music
industry today and their work with William was the starting point for their careers, giving
researchers the ability to track their careers from the beginning.
In addition to providing researchers with a complete collection of papers and ephemera from
William’s musical career this collection is of sentimental value to William and his band mates.
This collection is frequently accessed for inspiration for new songs and for the enjoyment of old
ones. The band members are located in various locales across the country and this collection
provides them with a way to stay connected with each other and share memories from that time
in their lives. The importance of keeping this collection together and preserved is of utmost
importance to William and his band mates.

Series 1: Photographs
Folder 1: Concerts
Jabberwocky, The Virginian, Coupe De’Ville’s
These photographs represent the touring and concert aspect of William’s career, providing
examples of what the stages looked like, the set up, and the crowds. In addition to providing
information about the concert lifestyle it furnishes a unique glimpse of some local venues in
Nelson County and Charlottesville, Virginia.
Series 2: CDs and Music
Folder 7: CDs
Titled: Dhammapada, four songs
This CD contains four of the most popular songs created and played by William White and his
band, Dhammapada. These songs were played at every show and were considered to be the best
example of their style of music.
Titled: Dhammapada, practice sessions
This contains a recording of a practice session complete with changes, rewrites and dialogue
among the band members while testing new songs. It demonstrates the creativity involved in
their work and the dedication they had for their craft. This also provides a unique glimpse into
the behind-the-scenes work that goes into creating an album.
Series 3: Set Lists
Folder 10: Rapunzel’s
Set List, Rapunzel’s 2005
This set list is a wonderful example of the type of shows Will played in his hometown of Nelson
County, Virginia. It shows the songs his band was playing at the time, including some of their
most popular; Hair of the Dog, Savage Nation and Virginia Rose. Rapunzel’s is a well-known
local music venue still operating today and this set list provides a glimpse of the types of shows
that Will and his band played there in the early 2000s.
Series 4: Journals
Folder 11: Journal 2001
Songwriting Journal, 2001
The journal Will kept during the year of 2001 displays the thought process and creativity that he
put into his songs. There are many notes, observations, and snippets of poetry throughout the
book as well as revisions and edits to songs that became popular later on. This journal is very
valuable in that it allows a researcher to see songs take shape as Will adds to them and changes
them over the course of the year.

Songwriting Journal, 2006
The journal kept by Will during the year of 2006 provides insight into daily life touring and
working with the band, Dhammapada. It includes observations from the road, descriptions of
shows and venues, and the personal stories Will gathered during his travels. This journal gives a
personal account of what daily life was like for a musician in Virginia in the 2000s.
Series 5: Assorted Ephemera
Folder 13: Band Logo
Band Logo and Design Sketches
This folder contains sketches drawn by Will of the band’s logo and name. This was done during
the creative process that ultimately led to the creation of stickers and other promotional items
with the band’s logo on it. Included in this folder is one of the stickers the band passed out at
shows.
Folder 15: Concert Flyers
Dhammapada shows 2005
Two flyers are included in this folder that demonstrates the type of venues Dhammapada played
and the various ways the shows were promoted.
Folder 17: Music Ephemera
Lucky guitar pick
The guitar pick included in this collection is of extreme value to Will; he used it at every show
and considers it his “lucky pick.”
Condition Assessment
The collection is currently in fair condition, most of the collection was created and gathered
during tours and at concerts, many of the objects have some wear and tear. This collection is
comprised of paper items, CDs, digital recordings, photographs, and guitar accessories. While
most of the collection is in good condition there are three areas of the collection that have been
identified as being the most vulnerable to further damage:
1. The CDs are particularly fragile and require extreme caution when handling, they contain
scratches, nicks, and stains.
2. Many of the paper items and photographs have been exposed to liquids and show signs of
warping and stains.
3. The hand sketched designs for the band logo were done with pencils and show signs of
smudging and stains.

pages are illegible and the glue is beginning to detach from the spine.

Housing the Collection
The William White Papers are currently housed at the Residence of William and Katherine
White located in Syracuse, New York. The collection is stored on the second floor of the
building, which was built in 1915. There is no central air in the residence, which will not protect
the collection from extreme heat, humidity, or cold temperatures and these fluctuations may
cause damage to the collection.
There are two fireplaces in the house, which expose the collection to potential fire or smoke
damage. Fire alarms have been installed throughout the house and fire extinguishers are located
on both floors of the building.
In assessing the potential threats from pests, the danger of mice or other rodents damaging the
collection is mitigated by the presence of two cats that prevent mice from accessing the
collection. However, the threat from insects is still a factor to contend with, and the only barrier
between the collection and insects are the screens on the windows and doors.
Ideally, the collection will be housed at the Last Resort located in Nelson County, Virginia. The
Last Resort is the farmhouse that William grew up in and his father still lives there today. This
location can provide the collection with the environmental controls necessary to protect the
collection as well as uniting the William White Papers with similar collections already stored
there. The bulk of the collections are housed on the second floor.
The Last Resort has a controlled temperature on the second floor of 68 degrees, with a
fluctuation of only one or two degrees. In addition to maintaining a comfortable temperature for
people, this provides the best protection to the papers, CDs, and ephemera in the collection. The
humidity is held at roughly 45 percent; the humidity in Virginia reaches such high levels in the
summer that the curator of the Last Resort has taken measures to maintain a standard humidity
level inside at all times to protect the collections from mold and mildew. The humidity control
also protects the collections from insects, most commonly, silverfish.
The air quality is monitored by a state-of-the-art air filtration system that filters out pollutants,
especially dust, which is prevalent during summers in Virginia. The curator monitors the filters
and replaces them when necessary. The collection is protected from light in several ways. First, it
is housed in a box that protects the collection from direct exposure and lights are turned off when
the room is not in use. Secondly, the windows in the room housing the collections have been
covered with a UV filtering glaze and curtains have been hung across them as well.
In addition to the environmental controls the Last Resort uses to protect its collections, it has
established a number of rules for visitors and researchers to follow when using the collections.
Listed below are the rules posted by the Last Resort staff:




Smoking, eating and drinking is strictly prohibited when accessing and using the
collection.
White, lint-free gloves must be worn when handling fragile objects.
The use of pens is not allowed. Only pencils are allowed in the research room.
All trash must be removed at the end of the day.
Materials for Storage
All items used for protecting and preserving this collection are to be purchased from the Gaylord
Archival Sourcebook, the item numbers are listed after each description.
The collection will be housed in one double walled record storage carton made of acid-free,
lignin-free, buffered board which will provide for the long term storage and preservation of the

The photographs will be placed in individual sleeves made of Polypropylene which will protect
the photographs from further damage. The sleeves will then be filed in acid free archival folders.

Each CD will be placed in individual sleeves that can also be filed in acid-free archival folders.

All paper documents will be filed in individual acid-free archival file folders with polyester
envelopes used for particularly fragile paper items. These items are the set lists, sketches of the
band logo, and the concert flyers. (#NH-ESM1183)
Assorted ephemera will be placed in chemically inert polyethylene bags sized to fit each item.
Each bag will contain stiffeners made of buffered, acid-free folder stock material that will
provide an extra measure of support to the items. All items will then be placed inside archival
file folders. (#NH-Z34S)
Outsourcing Preservation
The preservation work required for the CDs in the William White Papers requires the use of
outside professionals. In this case, the outside professionals will be a company called Auraltech:
CD Refinishing Specialists. Using specialized tools they are able to remove stains and scratches
and restore the damaged CDs to a condition where they can be played again. Once restored, two
copies will be made of the CDs; one in digital form and another onto CD. This will provide
backup in case the originals become too damaged to play in the future. As technologies change
and advance, updates will be made with the CDs as needed.
In-House Preservation
The William White Papers have some damage to items in the collection, mainly tears and stains
on items obtained and created while on the road. Basic surface cleaning and simple tears will be
able to be done in-house by staff members. Preservation steps to be taken will include
encapsulation of objects in polyester film, removal of staples, and basic mending of tears with
Japanese paper and wheat starch paste. Any major tears or stains will be outsourced when and if
it becomes necessary.
The digital recordings of William will be copied onto a CD as a backup. Their current location
on MySpace may become obsolete in the future, so steps will be taken to ensure that none of the
recordings are lost. This will involve staying informed about the latest technologies created for
preserving digital recordings and the recordings will be updated when possible.
Disaster Contingency Plan
In the event of a natural disaster such as hurricane, flood, or fire the collection will be removed
from the scene to avoid damage. If this is not an option, steps will be taken as soon as possible to
survey the damage and begin restoration. A phone tree will be initiated and a chain of command
established so damage assessment can begin.
All members of the staff at the Last Resort will be trained in basic disaster recovery techniques
including drying and cleaning. The Last Resort is equipped with a “recovery kit” located on the
second floor. This kit contains the basic tools necessary for immediate disaster recovery as well
as a handbook with a detailed list of recovery procedures and assignments of responsibilities.
Included in the handbook will be a guide to the basic techniques for dealing with each medium
and the tools necessary for carrying out initial recovery steps. Any major damage will be
outsourced to a disaster recovery vendor located in Virginia.
As an added precaution against disasters two backup copies will be made of the collection. These
copies will be in digital format and stored at an off-site location, in this case they will be stored
at the residence of William and Katherine White in Syracuse, New York.

Collection Development
The William White Papers is an inactive collection and no new additions are anticipated or
sought after to accession, however, there is the possibility that items that belong in the collection
will be discovered as more boxes are cleaned from the attic and basement. If this occurs the
items will be accessioned as they are found and the finding aid will be updated.
Currently there are many missing dates for the photographs and ephemera. The negatives for the
photographs are currently missing, although it is believed that they are located somewhere in the
Residence of William and Katherine White. The discovery of negatives will provide the
information for the photographs but there is no way to discern when items were picked up by
William on his travels. An interview with William and the band members might provide some
insight into the dates and provenance of some items, but there is no way to verify the information
received is accurate.
The development of this collection has led to the desire among other band members to share their
photographs, records, and ephemera from the days when they were playing together. The
decision has been made to accept all items donated by band members and create a larger
collection titled the Dhamapada Papers. The William White Papers will be a sub-collection
included in this larger collection. While items will continue to be accepted for the Dhamapada
papers, there are no additions anticipated to be accessioned to the William White Papers.
As mentioned in Housing the Collection, there are numerous collections located at the Last
Resort that are within the same scope as the William White Papers. These connections provide
for the sharing of objects from the collection with the Last Resort when requested. In most cases
items are requested by band members for reunions which are always located at the Last Resort.

The William White Papers are intended for use by three specific audiences. Firstly, for
researchers interested in bluegrass/folk music played in Virginia, specifically in Nelson County
during the early 2000s as well as the concert culture in Virginia during the same time period.
Nelson County has always been a region with many artists and any researcher interested in the
history of the county and how it embraces local musicians would find a lot of helpful information
in this collection. It also gives a glimpse into what life was like for a small band and anyone
studying band culture, local musicians, and touring life would find this collection a great help in
their studies.
Secondly, this collection is intended for the band members to access for inspiration and as a way
to stay connected with each other. The collection provides them with a way to reunite and share
memories, and in many cases it provides a platform for the creation of new songs. The band
members often plan to meet up in Nelson County, usually once a year, to catch up and this often
leads to the opening of the collection and the playing of old songs. The photos allow them to
share stories and remember the different shows they played together.
The third major use for this collection is to provide future generations with a glimpse into the
life of William while he was writing and playing music. This was an important time in his life,
and something he wants to share with future children and grandchildren.
There are several ways the collection can be accessed. With prior notice of two weeks, the
collection can be accessed at the Residence of William and Katherine White in Syracuse, New
York. The same requirements will apply when the collection is moved to the Last Resort in
Nelson County, Virginia. If travel to the repository is not an option there are some items that can
be shared digitally or copies can be sent via USPS. Contact the repository for information
regarding what can and cannot be shared. Most restrictions are placed on songs and recordings,
although a few photographs also have copyright restrictions.
The only potential problems in making the collection publicly accessible are thought to be with
the CDs. Some of the CDs are in poor condition, and even after treatment, they will remain
fragile and open to future deterioration. There will be copies made of the CDs so the recordings
will not be lost, but the original objects will not be able to be used in the future. In addition to the
fragility of the Compact Discs there is some concern for the online recordings. William recorded
some songs and placed them on a MySpace page and the rapid changes in technology could
potentially leave those recordings behind, making them difficult or even impossible to access in
the future. Since he originally posted those recordings, we have seen shifts in social media and
MySpace is already seen as an outdated form which creates concern for future preservation
issues. Copies have been made of the photos and music on his page, but there might be no way to
access the original form in the future based on the rapid rate of technological advancements and
the discarding of older forms for newer versions.
In providing security for the collection, a few areas must be addressed. The collection will be
located at the Last Resort in Nelson County, Virginia. This is an old farmhouse located out in the
country on a rural back road. In this part of Virginia doors are often left unlocked and windows
open. This is something that will not be changed, so other steps must be taken to protect the
collections.
Boxes will be labeled with the minimum amount of information, only the collection name and
box number. This will make it more difficult for someone to walk in and take something of
value. The second floor windows in the room housing the collections will be locked, preventing
any unwanted entry from the outside. In this particular house there is a built in warning
detection: the door to the room is always shut and when opened it lets out a very loud squeak
alerting anyone in the vicinity that the room has been accessed. These steps are not typical of an
archival repository, but as this is a special place, special rules have been adapted to fit.
The staff and curator will also closely monitor the collection looking for any security problems.
They are trained to look for any materials that are often found out of their usual locations, regular
inconsistencies, disinterest of a staff member in finding missing items, and a disregard for
established rules. Any of these signs can point to potential internal theft and will help the curator
in protecting the collection.
In dealing with researchers and other patrons some basic security rules have been put in place:



Valid identification is required before access to the collection is granted
Personal belongings must be left at the front desk
Reading and signing of repository’s rules is required before access is granted
APPLICATION FOR USE OF THE ARCHIVES
To ensure the safekeeping of museum collections, researchers requesting access to the William
White Papers must follow the rules and regulations outlined below:
1. Access to archival storage areas is strictly limited to the Last Resort staff.
2. No collection material may be removed from the repository.
3. Photocopying is at the discretion of the Last Resort staff. Price for approved materials is $.25 a
page.
4. Pencils must be used at all times when dealing with the collections.
5. Many manuscripts and items in the collections are fragile and must be handled with care. If it
is the judgment of the staff that the document or item is too fragile to be handles a copy will
provided for use.
6. Manuscripts may not be marked, cut, folded, soiled, or damaged. Any accidents or discovery
of damaged materials must be reported immediately to a staff member.

Biographical History
William White (1983- present) was born and raised in Nelson County, Virginia. There he was
influenced by the local bluegrass/ folk scene and began playing in a band called Dhammapada.
He played lead guitar in the band and has been playing guitar since he was seven years old. For a
few years they toured locally and created music that ties in with the region and his hometown.
He continued his musical career alone until 2007, writing songs and music about his hometown
and the Blue Ridge region.

Scope and Contents of the Collection
The collection is composed of photographs of Will and the band members, set lists, song writing
journals, CDs and various ephemera including guitar picks, stickers and other memorabilia. The
strongest area of the collection is located in the CDs and Music series, as there are numerous
recordings and compilations. The photograph series is also a strong component of the collection
containing images from early shows and band members who are still in the music business today.
Photographs are mostly shots taken by William while at concerts and backstage. The majority of
the photos are of band members and crowd scenes, some notable photographs include Emmylou
Harris and the Warren Haynes Band.
The CDs and Music series is comprised of five CDs from early practice and recordings by
William and his band, Dhammapada. They include original songs written by him and his band
members as well as a few variations on the same song. Some tracks include dialogue between
band members working out various chords and rhythms. The Online Links folder contains a list
of links that are accessible online to listen to recorded music done by William in 2007.
Set Lists are the original set lists planned by William White for two specific shows in 2005. The
first is the list for a show played at Coupe De'Ville's on 26 April 2005. The second is the list
created for their show at Rapunzel's, 2005.
Journals include two journals kept during 2001 and 2006. The 2001 journal contains jotted ideas,
tunes and songs that fill up the entire book with no dates included. Some entries are illegible due
to water damage. The 2006 journal contains many song ideas but there are more dated entries
and personal observations contained in this journal. Entries are evenly spaced by week and most
occur when William was on the road and at shows.
The Assorted Ephemera series is a collection of various flyers, concert gear and guitar
accessories William picked up on his travels. Some items of note include flyers from a few
shows played in 2005, hand drawn logo ideas done by William, a coaster from Old Dominion
Brewing Company in Ashburn, Virginia, and a Fender medium guitar pick that William
considers his "lucky pick".

The collection is separated in to five series all housed in the same box. The series are labeled

Restrictions
Access Restrictions: There are no access restrictions to the collection, the owners simply require
an advance phone call or letter to prepare the collection for viewing.
Use Restrictions: There are restrictions on the use of the William White Papers. If the researcher
wishes to use a complete recording or sound clip they must obtain written permission from
William White and all of the band members before publishing. The same restrictions apply to the
rest of the collection; however permission must only be obtained from William White and not
the rest of the band.
