Annexure ‘A’
Instructions to venders for submitting quotation(s):
1) The resultant supply contract shall be complied as per Indian Railway Standard
(IRS) conditions of Contract.
2) Late and Delayed tenders will not be considered.
3) Only one item must be quoted on one tender form/quotation.
4) Each envelop should contain one offer only.
5) Case file No tender No. and due date and time of opening must be mentioned
on each envelop, otherwise tender shall be ignored.
6) Quoted rate must be clearly written in both words and figures. In case there is
difference between rate in words and rate in number, the rate mentioned in
words shall be taken as rate quoted.
7) Name of Manufacturer/ Brand /make/model/drawing No/Part No/Sketch No.
of the item must be mentioned specifically and clearly while offering the
quote, otherwise the offer shall be considered vague/ incomplete.
8) Incomplete or vague tenders shall be summarily rejected.
9) Basic Rate of supply per unit, taxes, packing and forwarding charge (if any) etc
shall be quoted separately and clearly. If any of the price element has not been
mentioned specifically then the offer shall be deemed incomplete and shall
be dealt accordingly.
10) Only FOR destination /nearest station delivery terms shall be acceptable.
11) Payment term will be 100% payment on receipt and acceptance of the stores
by the consignee.
12) Guarantee/warranty period must be indicated wherever required.
13) Price list/last purchase rate to be submitted with support document wherever
applicable.
14) Tenders must specify their Postal Address, Tin No.Fax No & Telephone No. of
Contact Person other than shall be rejected.
15) Validity of tenders should be 60 days.
16) No price variation/S.V clause is admissible.
17) Firms may submit past performance with support of previous PO’s, if any.
18 ) The Railway Reserves the right to cancel the tender or to reduce the quantity
without assigning any reason. Railway also reserves the right to ignore offer of
any firm which has multiple orders pending uncomplied for unreasonably long
time.
19 ) Liquidated damages/general damages will be recovered from the bills in case of
failure of supply/suppliers after expire of delivery period and bad performance
will be noted.
