Regal, Spokane, 99223-7738 1pm – 4pm TBD ESD 121 800 Oakesdale Ave. SW Renton, 98057-5221 TBD Feb. 28, 2012 ESD 105 33 S. 2nd Ave. Yakima, 98902-3486 1pm – 4pm Feb 9, 2012 10 Feb 9, 2012 11 CEDARS Processing Basics ◦ District sends zipped CEDARS file submission Contains 13 text files (i.e. Location, SchoolStudent) Some districts have their SIS vendor send automatically ◦ CEDARS checks files for correct naming and all files ◦ End of above process is considered “Submitted” status ◦ Nightly loading starts at 6:30PM each day ◦ The logical delete threshold evaluation happens during nightly loading Feb 9, 2012 12 What is meant by the term “logical delete?” ◦ Records stored in a database Use “key fields” to uniquely identify the record Start date – date we first receive and load the record End date – date the record is logically deleted and no longer used for any data reporting from CEDARS Key Fields Data From CEDARS submission District Sends Record Start Record End Automatic in database OSPI assigns Feb 9, 2012 13 What are the “key fields” for each file? ◦ CEDARS data manual has an indicator for a key field: http://www.k12.wa.us/CEDARS/Manuals.aspx ◦ Chart from Logical Delete FAQ document: http://www.k12.wa.us/CEDARS/TrainingMaterials/L ogicalDeleteFAQ.doc Feb 9, 2012 14 A logical delete can occur to a record for 3 reasons: ◦ The record is missing from your current submission. ◦ The record now has a submission exception (error). ◦ A key field used to identify the record has changed in the most recent submission. When key fields change, the old record is logically deleted. Feb 9, 2012 15 Logical deletes can occur: ◦ Without tripping the threshold ◦ Without any submission exceptions (errors) ◦ Due to normal school district business practices Ex. StudentSchedule records are logcially deleted in high numbers the first week of school Feb 9, 2012 16 Where do I find the threshold settings? ◦ CEDARS -> Submissions tab -> Logical Delete Thresholds Current default settings are 2% for each file ◦ If the records in the most recent submission would logically delete 2% or more of the existing records, CEDARS does not finish loading the most recent submission. Changing the percentage for the threshold is now available to CEDARS District Administrators!
