John Henry Newman Academy Business Manager Job Description Job Title: Business Manager Responsible to: Principal Hours of Work: 37 per week (42 weeks a year) Grade: 10 (Salary banding £28409-£30614) Responsible for: Office staff and support staff Key contacts: Academy staff and Governors, central ODST team, Local Authority, Contractors Job Purpose Key aims: Key Duties and Responsibilities Reporting to the Principal, and as a member of the senior team, responsible for enabling the Academy to achieve its educational aims To develop, maintain and operate financial and administrative procedures for the Academy in order to ensure that all legal and other requirements are met To develop and maintain systems for the operational and strategic management of the Academy Ensuring that staff and resources are deployed in an effective way in order to provide and efficient service to pupils, the Governors, the staff team and ODST Finance and Accounting Budget management: undertake an annual budget planning exercise in line with guidelines set, allocate funds and monitor on an ongoing basis, taking appropriate remedial action where needed, Financial administration: manage and oversee all accounting/ cash handling processes, insurance procedures and any associated administration such as monitoring payroll accuracy, Management Information: the provision of accurate MI and reports to appropriate stakeholders, e.g. expenditure reports, school census Procurement: to manage procurement and undertake reviews, e.g. monitoring service level agreements, to ensure value for money, maintaining an up to date asset inventory and ensuring compliance with procedures for disposal Membership of committees as appropriate, e.g. the Finance Committee Personnel Responsibility for the administration of all personnel issues and to have overall responsibility for all non-classroom based support staff including the administrative team, cleaning and catering staff (if not contracted out) To be the key point of contact and to liaise with the Local Authority/ ODST/ other stakeholders in people matters such as payroll, DBS checks etc To implement and monitor policies and procedures as required To deliver induction and refresher training as necessary To ensure the timely completion of data returns, the maintenance of accurate and up to date staff records are up to date and to prepare reports as needed Premises To assist the Principal and Site Manager in the management of the premises to ensure that buildings, grounds and facilities are developed and maintained to the highest standard in order to provide an outstanding learning and working environment for pupils and staff To ensure that the work of the site team maximizes the security of the site, cost effective maintenance and effective energy management To work with the office team to generate income from school hire and lettings and oversee lettings and room hire To produce and implement a rolling programme for maintenance, replacement and development of equipment in accordance with requirements To ensure accurate records are maintained and reports prepared as needed Health and Safety To prepare and maintain the Academy’s Health and Safety Policy and supervise the implementation of the policy, ensuring that the Academy complies with its statutory requirements To raise concerns in a timely manner with the Principal and Governors General Deliver INSET for Staff and Governors on school business issues, prioritizing statutory and high risk issues To deliver and undertake training and professional development as appropriate. To take responsibility for safeguarding and promoting the welfare of children. To ensure that all services within the areas of responsibility are provided to a high quality service provision to internal and external customers. To take an active role in the senior team To build effective working relationships in the Academy, and across the wider ODST, seeking to develop procedures and share best practice Whilst the main duties and responsibilities of the post are set out above, this is not an exhaustive list and the post-holder would be expected to carry out any other reasonable task that fulfils the nature of the role. .
