Collection Advisory Committee Conference Call Meeting Minutes

Report from Claire Dygert
Claire recommends that we discontinue paying the Gale Perpetual Access fees for the two Gale
products, Academic OneFile and Health & Wellness Resource Center.
The Wiley contract is signed and posted on the e-journal portal. The SAGE contract was approved on
February 10, 2014. Some of the Oxford University invoices may need to be corrected and resent to the
respective libraries. There are a few outstanding issues with the Taylor & Francis contract.
The Springer license is under review by their contract team.
Kathryn Miller is the new Director of the Florida Polytechnic Library. Florida Polytechnic will have 250
freshmen and 250 transfer students in fall semester 2014. The expectation is that FLVC will have this
new institution added to Aleph and Mango by July 1, 2014. Also, Florida Polytechnic will be given free
trial access to FLVC e-resources for 2014.
Report from the FLVC MCLS/Valerie Boulos
Valerie Boulos attended part of the FLVC membership meeting via telephone. There are changes
coming to Mango and the FLVC help desk. MCLS approved the idea of creating a collection development
guidelines policy document. A task force will be formed to look at deselecting e-books and there may be
a Talking Tech session on this topic. At the upcoming FLVC Library Services Regional Conferences:

there may be a roundtable to provide information on FLVC committees. An FLVC e-resources staff
member may attend the regional meetings. There may be a roundtable at the meeting so that
attendees can learn about the work of the FLVC committees. Claire will send out a message that will
give the instructions for subscribing to the FLVC-LIBS-ALL list.
Claire noted there is interest in helping to manage large datasets and also to bridge gaps between
distance learning and classroom management systems.
The process for selecting a discovery tool for the FLVC libraries has not yet been decided. There is a
need to review changes in the marketplace that have recently been announced.
Gale Perpetual Access Fees
The Collections Advisory Committee unanimously approved the recommendation to discontinue paying
for the Gale products, Academic OneFile and Health & Wellness Resource Center. This action item will
be forwarded to the CSUL Library Deans/Directors for the March 2014 meeting.
Statewide PDA Udpate/Valerie Boulos
The PDA task force met recently to determine the status of the project and what areas are to be
resolved. For example, Claire had not received invoices, access is available to only 3 simultaneous users
instead of access to 11-12 users per title, reports are not automatically generated, ourCoutts
Salesrepresentative has changed and there is turnover in the company’s cataloging department, and
purchase records have not been sent. Money may run out for this project by August/September 2014.
There are additional concerns about the value of the content, the lack of publishers represented, and
the duplication of titles. More analysis of the PDA is needed before a recommendation is made to
continue the project.
MARC Records-PDA/Valerie Boulos
Valerie explained that discovery records for the Coutts PDA are loaded every two weeks, however, the
purchase records have not yet been loaded. FLVC is working on creating a separate Aleph bibliographic
database for discovery records for both the FCS and SUL systems that will be called “PDA01.” When a
title is purchased, the PDA record will be deleted from PDA01 and a permanent record will be loaded
into the regular Aleph database. FLVC anticipates availability of the PDA01 database by the end of
March 2014. The Collections Advisory Committee decided to wait to load the purchasing records for the
selected PDA titles until the PDA01 database is available.
Other Business
Shari Johnson, Chair, CAC, will informally speak to former ERS subcommittee members about the
possibility of creating a task force that would work on activities such as brainstorming new areas of
collaboration and initiatives for e-resource purchases specific to university libraries, providing assistance
on group licensing, and creating web pages for e-resource subscription information. She will add this
item to the agenda for the March 2014 CAC meeting.
The quarterly report is due to CSUL on February 28. Shari will send the report to CAC members before
submitting the document.
The next CAC meeting is scheduled for Tuesday, March 11, 2014 at 2:00 p.m.
