Job Description Name Job Title Department Marketing Administrator Marketing Line Manager Office Date Marketing Manager City April 2015 Purpose of the Role To provide administrative support to enable the delivery of the association’s marketing and communication initiatives and to support the MHA Marketing Manager and the MHCA Board in the day to day running of the Association. Reporting Lines MHA Board MHA Manager Main Responsibilities Key responsibilities Co-ordinate internal and external communication regarding the national association Share best practice and distribute relevant information to other member firms (e.g. marketing campaigns and material) Update MHA website and portal regularly and work with member firm’s marketing representative to replicate the material on MHA website and the portal. Day to day administration of the Association Organising meetings with relevant stakeholders, attend and minute the meetings. Build and maintain relationships with member firms Business Development Assisting the marketing manager with the development of the three key sectors: Professional Practices, Not-for-Profit, Motor and Manufacturing & Engineering. Assisting with the administration around the marketing of additional sector groups, service groups and functional groups. Sharing best practice around the Association Create and update campaign reports throughout the campaign process. Newsletter Request and collate information to be edited for the monthly MHA newsletter Online Maintaining and develop the MHA-related content of the association’s website Dealing with and logging website enquiries Maintaining and developing content on the association’s intranet and portal Social Media Assist in building the effectiveness of the MHA LinkedIn and Twitter accounts by adding content supplied by the sector groups etc. Carry out competitor analysis of social media accounts and websites. Events management: To assist with association wide events including: Booking presenters, venues and catering, and obtaining costs. Ordering promotional merchandise, arranging couriers for sending materials out and managing levels of stock. Dealing with invitations, including print, production and mailing. Dealing with the production of seminar packs, badges and feedback forms. Producing PowerPoint presentations for seminars in line with the association brand. Marketing material Updating marketing brochures and material in line with national association brand and corporate image. Assisting the production of MHA branded collateral by selecting best of breed examples from member firms Coordinate distribution of all materials to member firms for them to brand themselves for regional use Create and develop surveys, including analysing and summarising of data. Group administration Assisting with the organisation of sector groups, service groups and functional groups Management and maintanence of contact lists for the association Administration of log in details for the MHA portal and forums Arranging conference calls and meetings for sector groups and service groups. Co-ordination of joint purchasing as required including group membership administration for the association Also to perform any other tasks that would reasonably be expected within the role. Clients, when necessary Qualifications and Skills Excellent administration skills ideally with a marketing/business development background (either a degree/qualification or experience). Excellent IT skills: Word, PowerPoint, Excel, databases/CRM systems, (desk top publishing – useful). Good communication skills (written and verbal), confident in dealing with people at all levels. Good organisation and planning skills. Willingness to travel Excellent attention to detail. Team player. Enthusiastic
