IMPERIAL COLLEGE LONDON JOB DESCRIPTION Job Title: Commercial Property Manager Department/Division/Faculty: Operations, College HQ Job Family/Level: Professional Services, Level 5 Key Working Relationships (internal): Correspond with all departments & operations as necessary in particular Estates Facilities, Estates Projects, Estates Masterplanning and Campus Services Key Working Relationships (external): Correspond with tenants, agents, lawyers, property consultants, surveyors Campus location: Based South Kensington; visits to all Imperial campus locations when necessary Length of Appointment if fixed term: Permanent The Purpose of the Role The post holder will be required to cover all aspects of the valuation and investment of College property as an asset, in addition to considering the legislative and economic background of the property industry. Responsible for the overall management of assigned residential and commercial properties; ensuring the requirements of both landlords and tenants are met, preserving and increasing the value and integrity of the properties through asset management initiatives. They would also assist their Line Manager in implementing asset strategies across Imperial’s occupational portfolio. The Commercial Properties Portfolio excludes those tenants and services directly managed by Estates Facilities i.e. NHS, MRC, Imanova and TRI. Key Responsibilities Managing all assigned properties across the Imperial College estate Manage the Imperial Activities Ltd (Impact ) Tenant Portfolio to maximise income from the Commercial tenancies Advise on the strategic property management of the College’s operational portfolio Prepare and implement property management strategies, devise and implement policies and procedures based on best practise Ensuring that the Property Management database is accurate and up to date at all times to include documentation relating to ownership, tenancies and lease administration Ensuring that all commercial rents, service charges, insurance and other payments are demanded, paid and collected when due, including enforcement when necessary Dealing promptly with all landlord and tenant issues, including applications for consent to assign, sublet, alter Manage and control budgets and prepare and distribute monthly statements To play an integral role in the commercial success of the property management team through consistently high standards of property management using sound commercial judgement in all aspects of the role Using professional knowledge and experience to identify innovative proposals and put forward recommendations for asset management initiatives Working with their Line Manager in suggesting and advising value enhancing opportunities across all managed properties including optimising income and capital value Recommending and appointing of property consultants, agents, lawyers and surveyors as and when required Advising and implementing leasing strategies and marketing initiatives to achieve occupancy targets across the College’s operational portfolio Instructing and supervising agents and solicitors to draft commercial leases, residential tenancy agreements, licences to third parties, lease renewals and rent reviews when necessary and completing relevant legal documentation With the Estates Facilities Team Monitor the rates, rating appeals, assessments and revaluations across Imperial’s estate To liaise with tenants ensuring that a high standard of communication and service is achieved To inspect the properties regularly paying particular attention to their physical condition, standards and compliance with lease obligations Ensuring landlords’ and tenants’ compliance with repair and maintenance obligations To provide regular reports as and when required in a prompt and accurate way Working with their Line Manager on all valuation requirements across Imperial’s occupational portfolio Provide advice and assistance to the Estates Facilities in connection with the property portfolio directly managed by the Estates Facilities Team. Preferably, RICS or equivalent professional qualification in General Practice or Planning and Development. Knowledge and Experience Appropriate knowledge of the following fields of professional practice in the context of Property & Asset Management: Property Management Asset Management Valuations Extensive commercial property experience in dealing with high value planning and development and investment transactions.
