JOB DESCRIPTION JOB TITLE: PARTNERS AND COUNSELLING REPORTS TO: SUPPORT ADMINISTRATOR PARTNERS MANAGER; MATRIX MANAGEMENT - COUNSELLING SERVICES MANAGER (0.4) JOB HOLDER: DEPARTMENT: PARTNERS (0.6); LONDON COUNSELLING (0.4) JOB PURPOSE: To support to the Partners network and London Counselling service, to ensure they deliver a high quality, cost effective, counselling service. ACCOUNTABILITY: The Partners Manager will act as overall Lead Manager. The role is allocated: Partners – 3 days equivalent London Counselling/Data Support – 2 days equivalent The role will be matrix managed by the Counselling Services Manager for 0.4 with the Systems and Data Analyst leading on MPL support work. RESPONSIBILITIES: Partner Services (0.6) 1. To undertake performance monitoring processes including: a. Continual development and updating monthly spread sheets keeping track of performance measures. b. Run reports and statistics for partner audit visits including – pre-visit random checks on client information on MPL c. Cross -check client information sheets against data following partner audit visits and report outcome to Partners Manager d. Assisting in obtaining required information from partners for due diligence reviews e. Maintain data management and collate reports 2. To provide effective support to the Partner network including: a. Assisting with inputting and reporting queries from Partner agencies b. Provide support and training, guidance and database support to Partners using the MPL database c. Setting up and managing the online Partners forum d. Manage the partners section and interactive map on the GamCare Website 3. Maintain effective communications with the partner network and internally across GamCare including: a. Liaison and communication with admin/data/finance teams of Partner Agencies, b. Liaison with GamCare’s finance dept. c. Liaison with GamCare’s Systems and Data Analyst 4. Support the Partners manager in the general running and administration of the partner network, including ad hoc duties comparable with the role. London Counselling (0.4) 1. Providing client support including: a. managing telephone and email referrals and queries b. answering the telephone and answerphone messages c. respond to direct emails and email referrals d. contacting prospective clients to book appointments, and managing the appointments process 2. Performing administrative duties including: a. maintain excel appointments spreadsheets and counselling diaries b. maintain data management and collate reports c. monitor and maintain documents and stationary d. provide administrative support for the MPL database for London Counselling 3. Provide support to the counselling team with diary management and bookings Other 1. Provide support to the Systems and Data Analyst in analysing and producing database reports, setting up new database users and managing queries from users. 2. Ad-hoc administrative duties comparable with the role. This is not an exhaustive list of duties and responsibilities and the post holder may be required to undertake other duties which fall within the grade of the post, in discussion with the Partners Manager and Counselling Services Manager Person Specification: Knowledge, Skills, Experience Essential Experience Experience of dealing effectively and sensitively with enquiries within a clinical or medical setting. Good administrative experience. Knowledge Experience of working with data management systems, spreadsheets and databases. Skills Advanced IT skills, particularly working with Microsoft Office – word, excel and outlook. Excellent written and oral communication skills. Experience and accuracy in data inputting Understand the importance of confidentiality and clinical sensitivities and the requirement for this to be maintained at all times.
