The Point at Chetola Lake Accommodates up to 250 guests. This location is next to the outcropping of rocks directly lakeside. Cannot be used in conjunction with the lakeside peninsula tented reception. Willow Tree Accommodates up to 250 guests and is located near the Gazebo on the lakeside peninsula. Only available May-mid October. Tree is not green and full at the end of October through April. Timberlake’s Foyer Accommodates up to 60 guests. Ceremonies must take place between Noon and 4pm. Available May through October. Tented venue located directly lakeside on the grass. Price includes tent. If you have over 150 guests, we may require you to rent portable restrooms at your expense. Courtyard Accommodates 61-250 guests. Available May through October. Tented blacktop located next to the restaurant. Price includes tent. If you have over 150 guests, we may require you to rent portable restrooms at your expense. Arbor by Chetola Lake Accommodates up to 60 guests. Available May through October. Venue is a covered shelter across from the restaurant entrance and directly lakeside. Evergreen Room Accommodates up to 100 guests without dance floor and up to 80 with dance floor. Private entrance/exit with large gas fireplace. Embers Room Accommodates up to 35 guests. Beautiful room with stone fireplace and private outdoor patio overlooking the lake. Timberlake’s Restaurant Accommodates up to 75 guests. Available year-round from Noon to 4pm. Timbers Room Chetola’s latest addition, this room accommodates up to 50 guests and is located inside Timberlake’s Restaurant overlooking the lake and beautiful grounds. This room boasts cathedral ceilings, wood accents and an original fireplace that was uncovered during recent renovations. Amplified music is not permitted. During June, July, August and September there will be a $3,500 minimum requirement to rent this room on Friday and Saturday nights. The room is not available for dinner at all during the month of October. Also, during Summer and Fall months, Timbers is not available on Saturdays or Sundays before Noon. Dates will be confirmed and booked after confirmation of your location/room on property and then a Facility Contract must be completed and signed. Ceremony or reception facilities are rented for a maximum of four (4) hours. Combination ceremony and reception facilities are rented for a maximum of six (6) hours. Any dressing/prep areas are rented for a maximum of six (6) hours and must be vacated and cleared of all personal items at the end of this time. Additional hours may be added for $250 per hour plus labor fees of $10 per hour per staff member. Facility fees are intended to be an all-inclusive fee outside of your food and beverage choices and extra rentals. Items included in the facility rental fee are tables, chairs, white linens, white cloth napkins, tableware, service staff, bartender(s), setup and breakdown. 2) Payments, Due Dates and Cancellations The facility fee is due in full two (2) weeks after initial booking and serves as the event deposit along with a valid credit card number. The estimated food and beverage costs are due 14 days prior to the event, and any balance due will be billed after the event. Accounts are due and payable 30 days from the invoice date. A finance charge of 1.5% per month (18% APR) will be added to past due accounts. Final food details with an estimated head count are required 21 days prior to the event. A final head count is due eight (8) days prior to your event start date: This number will be considered the final count for service and will be used for billings, even though the actual allowance may be lower. If the final count is not given to the Chetola Event Manager by this time, then food and beverage will be prepared, set and billed for 10 percent (10%) above the last estimated number of guests given. Located on the Chetola facility contract will be specific due dates, deposit amount and cancellation policies. 3) Coordination The Chetola Event Manager is your contact to the Chetola staff and facilities. While she may assist with ideas in the planning process, she does not plan or oversee the activities with the event. Your facility fee includes the Chetola Event Manager and a Banquet Manager who will oversee your event and any services provided exclusively by Chetola Resort. The management of outside vendors is the responsibility of you or your hired coordinator. Chetola Resort does not require, but highly recommends, hiring a wedding coordinator to assist with the events, to ensure that you, your friends and family enjoy the day. We have provided recommendations in our Area Wedding and Special Event Vendor’s list below. 4) Food and Beverage Chetola Resort and Timberlake’s Restaurant must provide all catering and food service. No outside food or beverage is permitted (wedding and special occasion cakes excluded). Banquet Menus are provided as a separate attachment and the prices quoted in them are subject to reasonable increases to meet increased costs of goods, supplies and operating expenses. The Sponsoring Party agrees to pay for such increases. As an alternative, Timberlake’s Restaurant may, at its sole option, provide reasonable menu substitution options in lieu of increased prices. Prices for all meal functions will be guaranteed by Timberlake’s 90 days prior to the function. All food and beverages must be consumed on Chetola Resort property. 5) Wedding or Specialty Cakes Outside wedding and special event cakes are permitted for your event. Your cake will be cut and served by our staff and the remainder prepared for you to take with you at the end of your function. 6) Alcoholic Beverages No outside alcoholic beverages are permitted. If liquor is served at any event, it will be restricted to the immediate event area. Bars are rented for a maximum of four (4) hours. This time frame does not include a “Cocktail Hour,” wherein an open bar will not be allowed. Please see the Banquet Menus for specifics on alcoholic beverage choices, pricing and other policies. The Chetola Services staff reserves the right to refuse service to anyone who appears to be intoxicated and to cease liquor sales and/or service at any time. Please refer to policy #13 regarding liability for damage incurred by you and your guests. 7) Site Visits and Tastings Chetola Resort is open to the public and anyone is allowed to visit for a stroll around the lake, or breakfast or dinner in Timberlake’s Restaurant. If you would like a more in-depth tour and meeting with the Event Manager, please call ahead and schedule an appointment. Our Event Manager enjoys doing site visits and wants to make sure she has allotted the appropriate time to give you a thorough tour. After your contract is signed and the deposit received, Chetola Resort and Timberlake’s Restaurant are happy to offer you and one guest a complimentary menu tasting at least eight (8) weeks prior to your event date. A maximum of five (5) selections for the first and second courses are available. Dips, desserts and drinks are not available for tasting. Your tasting may be arranged through your Event Manager on a mutually agreed upon time Wednesday, Friday or Saturday only between Noon and 2pm. The tasting must be requested at least 14 days prior to the date desired and is subject to chef and seasonal availability. 8) Decorations and Flowers Flowers and large rental items may be delivered to Chetola within a week of your event. Smaller items such as place cards and favors may be given to the Chetola Event Manager at an agreed upon time. Upon departure of the bride and groom, guests are allowed to throw birdseed or real flower petals, hold sparklers or blow bubbles. Artificial flowers, glitter, confetti or rice are NOT permitted at outdoor events; if used there will be a $250 additional charge assessed for cleanup. Other items are subject to permission from the Chetola Event Manager. Our table linens and napkins are white. We do not provide centerpieces or decorative items, but you are allowed to bring candles, flowers and other ornamental items. Freestanding candles are not permitted; all candles must be stationed on a candleholder. If the candles are placed near a floral arrangement they must be encased in a hurricane lamp. All personal materials, i.e. not the property of Chetola, must be removed immediately following the event. Chetola and its staff will not be responsible for any items left behind. No items may be attached to Chetola property using nails, staples, wire, pins or tacks. Please see the list of recommended Floral and Décor Vendors in our Area Wedding and Special Event Vendor’s list below. 9) Entertainment We hope that your wedding or event is a truly joyous and memorable occasion. So that we may provide the same great experience and joy to all of our guests and nearby residents, all music must be cut off at 10:00pm. This is also in accordance with the Blowing Rock noise ordinance. 10) Pets Pets are not permitted on property. A $350 fee will be added to your final bill if you bring a pet on the premises. 11) Weather In all cases, Chetola Resort reserves the right to make a final decision if lightning storms or severe weather conditions are expected in the vicinity that may endanger the safety of guests or employees. Chetola Resort cannot guarantee the use of an indoor facility for inclement weather. In the case of a tent booking, your bad weather backup is your tent for all event activities unless otherwise arranged ahead of time with the Chetola Event Manager. The decision to move a tent to the restaurant parking lot area will be made no later than the Wednesday prior to the event, and the decision to move an outdoor ceremony to another location will be made no less than four (4) hours prior to the start. Should these decisions be delayed and result in a doubleset up of the function, a service charge will be added to your master account. 12) Photography Chetola Resort reserves the right to use any photo and/or video for the purpose of commercial display. 13) Liability In providing accommodations or rendering services under this agreement, it is expressly agreed to and understood that the hotel, its employees or agents shall not be liable for any loss, injury or damage, to persons, property of the customer or its invitees, except where such injury or damage results from the negligence of the hotel. a) Chetola Resort is not responsible for any gifts or cards left in any function spaces, public areas or rooms. b) Chetola Resort is not responsible for any lost or stolen articles brought on property by yourself, your guests or any outside vendors. Please assign your wedding coordinator or a personal attendant to gather any personal items at the end of the event. c) Signatory party assumes responsibility for any damages caused by them or their guests in any part of the hotel or on its grounds. i) Chetola Resort reserves the right to bill the patron for the cost of any damaged items, equipment, and any and all property of the Resort and its employees. ii) Chetola Resort reserves the right to charge the signatory party the amount of any losses incurred by Chetola Resort from early check-outs and/or reduced or complimentary rates given to guests due to behavior that disrupts the stay of other guests not associated with the contracted event. iii) Chetola Resort reserves the right to contact the signatory party at any time if disruptive behavior occurs on site. The signatory party will receive one warning and given a chance to address the complaint(s) and cease any disruptive behavior before Chetola Resort passes along any charges due to revenue loss.
