Logistics Coordinator for Syria/Iraq based in Jordan-Amman Which will your responsi bilities be? MAIN OBJECTIVES OF POSITION Guarantee appropriate implementation and management of all logistical aspects of MSF projects in mission ensuring achievement of objectives set in order to support medical and humanitarian activities. Guarantee Iraq Security Model implementation model accordingly to MSF intersectional OCs Agreement. Set up Regional Emergency Preparedness Plan to guarantee proper MSF response in case of conflicts in the region. RESPONSABILITIES AND FUNCTIONS Logistical Guarantee the adequacy of equipment, its maintenance and renewal. Ensure that all local purchases are done according to MSF guidelines, quotations, guarantees, etc. Ensure the adequacy of all health facilities, offices and houses. Project management Participate in the definition and update of annual project planning and budgets. Plan and coordinate all logistics and watsan activities in the mission. He/she is the focal person for the proposal and definitions of plans. Be responsible for preparation of all orders, in cooperation with medical department for the medical ones, ensuring that they are done according to guidelines and on time and that stock ruptures are avoided both in projects and in capital. Provide support to field logistical staff in project management processes related to medical issues. Supervise and assess progress regarding projects and the logistical work at capital level while visiting regularly the field proposing to Head of Mission reorientation strategies, if necessary. Work together with finance department for the planning and needs of all purchases. Plan human and material logistical resources needs ensuring correct implementation of activities. Produce, together with teams in field, and submit all logistical reports according to Operations Manual. Keep logistical documents in database updated. Emergency management Participate to set up Regional Emergency Preparation Plan (EPP) in collaboration with MEDCO and HOM. Work together with Head of Mission and the cell in headquarters about any needs to response to emergencies. Organise exploratory missions based on detected medical or humanitarian needs MSF-SPAIN and resources available. Participate in any emergency activity or exploratory visit in or out of the MSF area of work and be prepared to intervene if necessary being responsible for all logistics related activities and staff. Security Participate in preparation of mission security guidelines. Participate in implementing Security Model MSF Intersectional in Iraq jointly with other Ocs Logistic Coordinator Ensure that security is guaranteed to the highest level possible in the mission by implementing all MSF guidelines while working closely with head of mission. Ensure that all necessary measures are taken in order to avoid theft, destruction or other type of damage of MSF material and property. Human Resources Management Define and update job descriptions of all logistics related staff. Participate in selection, follow up and other administrative activities linked to all logistics related staff. Ensure that logistical briefings and debriefings are done with all MSF staff. Assess training needs for international and national logistics staff proposing training courses to Head of Mission. Undertake intermediate and final evaluations of all logistical related staff in capital and participate in technical evaluation of logistical related staff of the field. Manage potential conflicts among project team members. Promote communication and active participation of all logistics staff in development of mission as well as in MSF values and philosophy. Ensure accurate diffusion of information to all staff under supervision. Ensure in cooperation with medical coordinator and head of mission that living conditions of all mission staff is in good condition and do all necessary logistical work to help improve living situation. Maintenance Keep logistics coordinator office and files clean, tidy and safe giving special importance to computer backups. Equipment Look after all equipment provided. Others Prepare any document linked to work of staff related to Logistics Coordinator, i.e. Assistant, Logisticians, etc. Be aware of any document regarding detailed responsibilities of Logistics Coordinator. Participate in meetings and possible trainings. What are we looking for? Minimum experience of 1 years as a Log Coordinator in MSF. Essential degree on logistics or other related studies Demonstrated and valued experience in project and operational security management Fluent in English. French and Arabic are considered as an asset. Essential driving license for vehicles Essential knowledge of use of computer including processing of documents (Word, Excel) and Internet Leadership and ability to train and manage staff. Analytical skill and strategic vision. Demonstrated communication, reporting and organizational skills.
