You will notice that some letters are underlined in each window. By pressing ALT and the underlined letter, the user can access these functions without using the mouse. Menu Inquiry (Tables, Utilities, Menu Inquiry) A search option was added to this program. This will filter by both the description and program columns. Query Button: This will allow the user to browse the selected master file to see what records exist. Once the Query Dialogue is displayed the user will have the ability to select a different sort key or enter a starting point for the selected file. While in the record display area the user will have the ability to scroll up/down using the arrow and page up/down keys. The vertical scroll bar on the right may also be used to position within the file. Once a record has been selected (by pressing Enter or double clicking the mouse), the specified item is passed back to the program currently being run. Write Button: The write button is clicked to update a file with a new record, or update an existing record with the changes entered. If the exit or clear buttons is clicked prior to a write all information entered or any changes made will be lost. 3 Clear Button: The clear button will clear the current record displayed and return to the beginning of the entry for the next record. Once the clear buttons has been clicked any information entered or changed will be lost. Exit Button: The exit button will end the current program and return the user to last menu. If a displayed record is partially written or any fields have been modified and the write buttons has not been clicked the user will lose any information that has been entered or changed. Print Button: This will execute a print option for the current program you are running. The print job will be slightly different depending on the application you are running. This buttons in master file maintenance will allow the user to do get a listing with selective options depending on the master file selected. During other applications it may only print the record currently being displayed or start a report based upon the selected options. Note printers must be configured properly prior to this buttons working properly. First Record: This will display the first record in the file currently being worked on. Last Record: This will display the last record in the file currently being worked on. Prior Record: This will display the prior record in the file currently being worked on. Next Record: This will display the next record in the file currently being worked on. File Maintenance: When the user is in a master file query, this buttons will allow the user quick access to the master file maintenance. Once the user has added the necessary record to the master file the user may exit back to the query to select the new record to be passed back to the program currently being run. 4 Changed By & Date: The system will keep track of the last date and user to add or modify all master file records. Shift + Tab Button or Shift + Enter Key: Pressing the Tab Button or the Enter Key while holding down the Shift Key will take the user backwards one Field. Shift + F2 Key: Pressing the F2 Key while holding down the Shift Key will open the Query Field for the Field the user is currently in. F1 Key: Pressing the F1 Key will access notes for the field the user is in as well as all menus in the system. F8 Key: Pressing the F8 Key will access the report notes for the Report being used. Spell Check If a user is on version 10 of ProvideX or higher and using client 3.A they will now be able to right-click in any field to bring up a spell check option. You can check your version of ProvideX in the system information program found in the utilities menu. 5 Calculator A new calculator button has been added to several of the numeric entry fields throughout the system. If a user clicks the button, a calculator will appear. Upon clicking the return button or hitting enter, the calculated value will be entered into the value field. 6 System Utilities Rep Order Update (Table, Utilities, Rep Order Update) This program will update the orders processed thru Rep Order Entry. 7 Salesrep Change Update (Table, Utilities, Salesrep Change Up-date) Type: Use the scroll down button to select from Salesrep1, Salesrep2 or Salesrep3 Old Salesrep Number: Enter the Old Salesrep Number or use the query tool to display codes already defined. New Salesrep Number: Enter the New Salesrep Number or use the query tool to display codes already defined.. Selection: Select the fields that you want to limit the change to. Beg / End Value: Enter the Beginning and Ending Values or click on the query button to choose from a list of defined items. Use the random/exclude options to create a specific list of selections. 8 Batch Delete (Table, Utilities, Batch Delete) Type: Use the scroll down button to select from the type of batch you would like to delete. The options are Sales Orders, Invoicing or Cash Receipts Batch: Enter the Batch Number, and then hit the Delete button. 9 EDI Batch Delete (Table, Utilities, Batch Delete) Batch: Enter the EDI Batch Number needed to be deleted and click on the Delete button. 10 Customer Division Utility (Table, Utilities, Customer Division Utility) Select all fields: When checked all of the available fields will apply Customer: Enter the Customer Number or use query to select from a list already defined. Use the Random box to create a list of Customers. Division: Click on “All” to create a list of Divisions. Check Boxes: Check the boxes of where the update will apply. Update Active Status from Customer Master: Will update the status from the customer master Update Contact/Email 1 from Customer Master: Will update the division/customer record with the contact person and email address 1 fields on the account info tab from the customer master 11 Inventory Utilities (Tables, Utilities, Inventory Utilities) Inventory Utilities is used to Re-sync files to FC. This is only to be use by Innovative System unless otherwise instructed. 12 Scheduler (Tables, Utilities, Scheduler) This program allows you to select programs to run either now or at a later time In the background. Programs can be set to run once, or to repeat either daily, weekly, or monthly. Important Note: You must be running Providex Version 6 or higher for the scheduler to be available. User Maintenance: 13 There is a new item on the user maintenance titled “Scheduler”. There are four options here: No The user is not allowed to schedule any programs. Yes The user can schedule programs and only has access to see items he/she scheduled. Public The user can schedule programs and also has access to see items marked as public. Admin This allows the user to see all scheduled items, either complete or pending with the ability to cancel or modify anything. Scheduling a Program: The program must have a “Schedule” button for it to work with the scheduler. Below is the Immediate ATS Report, note the ‘Schedule” button next to the “Settings” button. When the “Schedule” button is pressed, you will see the following screen if you have retrieved “Saved Settings” or have a previous pending schedule for this program. 14 The first option allows you to determine if you are adding a new schedule or modifying a schedule that was previously set up for this program. The second option indicates whether this schedule should be tied to the saved settings (changes made to the saved settings prior to the program being executed will be recognized by the scheduler) or to be run with the exact options currently on your screen. Actual Schedule Screen: Please note the “Run Now” button, this will set the Run Date and Time to now and submit this to the scheduler. Control #: This number will be automatically assigned when a new schedule is processed. 15 Status: This field will indicate the status of the scheduled output- Pending, Completed, All, In Prog/Err. Program: This field will show the program name. Settings: If there is anything here it means that this is tied to the saved settings listed, a change to this saved setting will affect this schedule. Comment/Desc: This is a comment that will appear in the scheduler and on the e-mail that is sent. Recurrence: Use the drop down tool to select how often the saved setting should run. Next Run Date: The next day this schedule will run on. Next Run Time: The next time of the day above this report will run. This is a 24 hour clock. Output Type: Should the output be PDF of Excel. Public: Allow access to users with public access. Email: Upon completing of the program the output will be emailed to the addresses listed here. The output can also be accessed by going into the scheduler. 16 Scheduler: The items displayed here are based on the selection options and your user security. If you double click on an item here one of 2 things will happen, if the item is complete it will display the output of the program with either Adobe or Excel. If the item is pending it will bring up the “Process Scheduler” screen and allow you to modify it. Copy: The copy button in the program scheduler will copy ALL fields from the original scheduled output to the new. Delete: This button removes the item from the scheduler whether or not it is complete. 17 Add/Delete Users (Table, Utilities, Add/Delete Users) *This program has the ability to print to Excel Sign On: Create a login for users. (Lower case only) Password: Create a password. (Lower case only) Reset Button: Click the Reset button to have the system auto assign a password. Force Chg: Check box to force the user to change their password at the next login. Account Disabled: Check the box to Disable the user. First Name and Last Name: Enter the User’s first and last name. E-mail address: Enter the user’s e-mail address. Department: Enter the user’s department or use the query to select from a list already defined. 18 Title: Enter the user’s Title. LOG: A print button was added to the log screen. Codes Tab 19 Initial: Enter the user’s initials. Initial Company: Enter the initial company. Scheduler: The four security options for our report scheduler are No- The user is not allowed to schedule any programs. Yes- The user can schedule programs and only has access to see items he/she scheduled. PublicThe user can schedule programs and also has access to see items marked as public. Admin- This allows the user to see all scheduled items, either complete or pending with the ability to cancel or modify anything. Console: This is for Innovative Systems only. Do not check. Security: Security function is applied. Use Dept. Program Access: Department Security is applied to the user. (Security must be applied for this to function) Language: Use the scroll down to select language. Description/Default Window: Highlight and double click to (E)nable or (D)isable the programs for the user. Production Center: Enter the Production Center the user should have access to. Use the random box to create a list of Production Centers or leave blank to grant access to all Production Centers. Based on this setting the following functions will be restricted by Production Center. The * means the user has access to that menu. 22 Pre-Prod Tab Design Stage Default Window: Highlight and double click to (E)nable or (D)isable the programs for the user. Production Stage Default Window: Highlight and double click to (E)nable or (D)isable the programs for the user. *This program has the ability to print to Excel 23 Password Maintenance (Table, Utilities, Password Maintenance) User Login: Enter user login. Account Disable: Check box to Disable user. Force Password change: Check box will force user to change password when login into FC. New Password: New Password will default when clicking in the New Password button. 24 Program Security Inquiry (Table, Utilities, Program Security Inquiry) Menu Option: Double click on the menu to show the user(s) who have access to that specific menu. Add user: Highlight the menu you would like to add the user(s) to. Key in the user’s login into the add user field or use the random box to create a specific list of users to print. Click on the Apply button to add the user and note that now the user’s login and user should display in the box. Exclude filters were added to the bottom of the screen. 1. Disabled accounts: This will remove all disabled accounts from the display 2. “Security” check box off: This will remove all users who DO NOT have the security box checked on their account 3. Innovative accounts: This will remove all Innovative Systems employee accounts from the display 25 Program Security Listing (Table, Utilities, Program Security Listing) *This program has the ability to print to Excel User: Enter the beginning and ending user ID or use the random box to create a specific list of users to print. Blank Template Only: Check this box if you only want a blank template with no user information. This program has the ability to print to Excel 26 User Account Security Report (Table, Utilities, User Account Security Report) *This program has the ability to print to Excel User Login: Enter the user’s login info. Days since Last Activity: Enter a date to filter the report by. Print: Print report to PFD or Excel. *This program has the ability to print to Excel 27 System Monitor (Table, Utilities, System Monitor) This program will show all the users that have logged into Full Circle and what menu they are currently working in. A user can be disconnected from Full Circle by double clicking on the user. Click on the “Kill” button to release the user from that menu. 28 User Maintenance Report (Tables, Utilities, User Maintenance Report) *This program has the ability to print to Excel / saved settings and scheduler User Login From/To: Enter beginning and ending user’s login. Use Random box to create a list. Change Date From/To: Enter beginning and ending dates. Varying dates: . Choose from a variable pre-selected date range *This program has the ability to print to Excel *This program has the ability to use saved settings *This program has the ability to be scheduled 29 System Announcement Program (Tables, Utilities, system announcement) System announcement program was added to the utilities menu. This program allows users to create a message that will appear for all users when they log onto the system. 30
