This first edition of our internship handbook is respectfully dedicated to all the victims
of September 11, 2001 and especially to Francesco Garfi. Frank was a graduate of the
Academy of Finance here at Dewey, class of 1990. After trying pharmacy, Frank
returned to finance and was working at Cantor Fitzgerald on that terrible day. Our
thoughts and prayers go out to him and his family.
www.NAF.org
The National Academy Foundation has on its website, a student internship toolkit, which this
handbook is meant to supplement, not replace. Before you read this handbook, you should access the
toolkit, which can be found at:
http://www.naf.org/internshiptoolkit/student/site/
It details everything about the internship experience, from what you need before your interview, to
what to do after the internship ends. You can cover all the basics there.
This handbook is meant to deal with the specifics of internships in New York City, which may be
different from internships elsewhere in the country.
Pre Internship:
Paperwork
Before you can go on your internship, you must go through a pre-internship interview with the NY
Director’s office. Before you can even do that, however, you must hand in all your paperwork to Mr.
Siegfried. This paperwork includes:




A copy of your Social Security card,
Your working papers (which can be obtained via the Main Office down stairs),
Your pre-internship form and, lastly,
Proof of citizenship, which can include birth certificate, green card, pass port etc.
It is best to start working on attaining these things as soon as possible especially if your SS card does
not allow you to work or your misplaced one of the before mentioned items. If you do not have a
Social Security card or you need to change it so that you are LEGALLY allowed to work in the US go
to the following site for more information:
http://www.ssa.gov/
This site gives detailed information about how to solve your Social Security card woes as well as
where you can go to get them taken care of.
Pre-Internship:
Practice Interview
Ok, once you’ve completed the before mentioned paper work, the next step is to move on to the preinternship interview with our beloved NY AOF Director and Assistant Director, Ms. Flannery and Ms.
McKenna. The following advice was provided by Siwen Liao and will briefly explain to you how to do
everything from scheduling the interview, to dress, as well as behavior. It is general information that
can be used for any interview.
Pre-Interview
1. Schedule the interview by making sure you get all the correct information from the interviewer.
This may include, but is not limited to, date, time, precise location, directions, telephone
number, spelling, and pronunciation of the interviewer’s last name and title. Call a day before
to confirm your appointment
2. Do a thorough research on the company you are going to work for. Information can be found
in websites, annual reports, newspapers, etc.
3. Make sure you look neat and well groomed. First impressions count the most.
Attire
Men:
Option 1: Wear a suit (either solid or pinstripe) in a dark color with a dress shirt and tie.
Option 2: Wear slacks with a white dress shirt and tie.
Sage advice: Best suit colors are dark blue, black, or dark gray. Wear socks that match your pants.
Do not wear excessive jewelry; a watch is appropriate. Remove any body piercing.
Women:
Wear a dark suit or pant suit, or a business-like dress with a jacket, or a skirt with a sweater set or
shirt.
Sage advice: Best suit colors are black, navy, or beige. Do not wear excessive jewelry. One small
pair of earrings and a watch are appropriate. Remove any body piercing.
Punctuality
It is disrespectful to be late for an interview. It is recommended that you make a practice trip to the
interview location to ensure you have the correct directions and travel time. Always allow extra time
for travel emergencies, at least 30 minutes. However, do not go to the reception desk more than 20
minutes ahead of your appointment time. Arriving too early is as bad as arriving late.
Ten Steps to a Successful Interview
1. Arrive early.
2. Read materials about the company before the interview and while you wait.
3. Have a resume ready for the interviewer, if needed.
4. Introduce yourself in a courteous manner.
5. Have a firm handshake (this is a very powerful medium).
6. Use body language whenever necessary; do not over abuse its usage.
7. Give nonverbal feedback to the interviewer.
8. Actively listen.
9. Thank the interviewer.
10. Write a thank you note to the interviewer; handwritten notes are acceptable.
End of Interview
1. Thank the interviewer for the opportunity to meet with him or her.
2. Ask for the interviewer’s business card.
Thank You Note
When you return home from your interview, feel free to call or email either Ms. Flannery or Ms.
McKenna, or any interviewer, with the following message:
Dear Mr. /Ms.
,
Thank you for taking the time to interview me on
learn about the work you do at
.
Again, thank you for your time and support.
Sincerely,
. I appreciated the opportunity to meet and
Internship:
Preparation
Getting ready for the actual interview is rather easy after you get through your interview with the NY
AOF Director’s office. A few days or so before your interview, make sure to take the time to put out
your suit and iron it. Why so far in advance you ask? The answer is simple: Putting your clothes out
before hand saves you a lot of stress and heartache. Could you imagine getting up the morning of
your interview and noticing that your best suit has buttons missing or a hole? Pretty horrifying isn’t it?
It is best to check your clothes to make sure they are not in need of repair or in a state of disrepair for
that matter.
It is also wise that, while you prepare your clothes, you prepare your mind by going to your company’s
website and doing a little research on the company- that is, if this manual does not provide you with
enough information. It’s always good to go into an interview with some knowledge. Not only does it
show your employer that you really are interested in the position but it also helps pass the time. On top
of that, it can make you look very intelligent.
Important things such as dress and behavior were covered in pages 4 and 5. Feel free to turn back to
those pages and review.
Internship:
Possible Questions
Ok, now that we have preparation, dress and behavior out of the way let’s move on to something a bit
more pressing: what will interviewers ask? The following is list of questions that your employer may
ask you during your interview. If you have the time, try practicing how to answer the questions.
Don’t, however, practice to the point where you memorize you answer. The whole point of seeing
these questions is so that you will be a bit more comfortable during your interview and be able to
organize your thoughts better.
Questions you should be prepared for








What are your greatest attributes and strengths?
What special skills/talents do you possess which would benefit the company for which you would
be working?
What subjects interest you the most? What subjects interest you the least and why?
In what extracurricular activities and volunteer activities do you participate? Why did you choose
these particular activities and what do you like about them?
What things about yourself would you like to change? Why?
If you were given an assignment you disliked or did not understand, what would you do?
What do you know about the company and our primary products/services?
Why are you interested in working for this company? How does this fit in with your career goals?
Once your part of the interview is over, feel free to ask the interviewer a few questions of your own:
Questions to ask the interviewer



What are the major responsibilities of this department (or area)?
What kind of training does the company provide for an entry-level position?
Can you discuss your career path and the steps you took to achieve your career goals?
Internship:
Travel
Traveling from your home or from Dewey to your job is relatively easy. Once your have the address of
your destination all you need to do is decide on one of two things: car or mass transit. For those of us
who are not lucky enough to have our parents drive us to work everyday there is:
http://hopstop.com/
Bookmark it, dedicate it to memory or write it on your arm because this site will be very useful to you
during the summer. When you visit the site, you can type in your address and your destination’s
address and it gives you detailed directions to where you want to go. It also allows you to customize
your travel rout by selecting options such as traveling by train only and setting up your travel situation
where you will have to do less walking.
For those of you who have a car or have someone who will drive you to work everyday, there is:
http://www.mapquest.com/
Aside from the obvious difference, this site provides you with, more or less, all you will need to know
to get to you destination safely.
You can also use both sites together. Use hopstop.com to get subway directions, and then use
mapquest.com to get a map of the area around your place of employment. That way you will know
which way to walk to work when leaving the subway.
Internship:
More Paper Work
Congratulations! You have just landed an Academy of Finance Internship! Now all you have left to do
is fill out some paper work your company will send to you a week or so after your interview. The
paper work is generally self-explanatory and includes things such as getting finger printed and a
background check. You parents should be able to help you out. However, if you do encounter any
problems, feel free to ask Mr. Siegfried for help- he has helped fill out so many he could probably help
you fill out the whole thing- or pick up the phone and call the company’s Human Resources
department for help.
One item we did want to touch on however was the issue with the tax papers. In your package, you
should get two tax forms: the federal withholding form, W-4 and the NYS Withholding form. Make
sure you read the instructions listed on top carefully because it tells you ways to avoid paying taxes
unnecessarily.
According to the instructions on the W-4 form, if you make under $3, 000 the government does not
take any Federal Tax from your check. This means that, if you work for minimum wage, you can bet
that it may be a bit hard for you to make $3, 000 in the six or so week internship the Academy gives
you so you can probably claim EXEMPT. However, if you get paid a significant amount of money
you might as well accept paying taxes and get a refund in the following year when you file a return. No
point risking owing the government money, right? In any case, we recommend checking with your
parents’ tax preparer or www.irs.gov.
As far as your NYS Withholding is concerned, if you are a student under the age of 25, you generally
do not have to pay state taxes either. This holds true no matter how much money you make. In this
case you will also have to claim EXEMPT. Again, check with your parents’ tax preparer or the NY
State website, www.tax.state.ny.us.
The one set of taxes you can never escape from is FICA- so don’t even consider it.

Internship:
Recommendations and Thanks
As your internship draws to a close, it is always a good idea to ask your supervisor for a
recommendation. This recommendation can be rather helpful when applying for college or even for
scholarships. Make sure you ask your boss about the recommendation a few weeks or so before you
think you will actually need it. After all, it may be a bit tough to sit down and write a note for you in
the middle of several hostile takeovers. Make sure the letter is written on the company’s official
letterhead, if possible. Some companies have a policy against writing letters of recommendation on
official stationery.
At your internship’s end, it is always a good idea to send your boss a thank you letter or email. It is a
very professional move and it sets the tone for possibly getting hired again in the future. Giving a little
token of your appreciation also doesn’t hurt, as long as it is within reason.
