Viewing Expenditure Inquiry
1. Choose appropriate responsibility to access OGA database.
2. Navigate to Expenditure Inquiry window.

Find Project Expenditure Items
3. The Find Project Expenditure Items window appears:
The Find Project Expenditure Items window appears with no data.
4. Place the cursor in the Project Number field and click on the gray bar
on the right side of the field. This will bring up the List of Values
(LOV) from which to choose the project number of the expenditures
you wish to view. Choose the project number and click the Find
button.
NOTE: You can only view information for a project on which
you have been assigned a key personnel role.

5. You may select a specific project in one of two ways:

Scroll down the LOV and click on the project number for which
you want information to highlight the project number, and either
(a) click the OK button, (b) double click on the project number,
or (c) press the Enter key.

To narrow your search, mouse click to the left of the percent (%)
sign in the Find field. Enter a partial value, such as a portion of
the project number or name, followed by a % sign, and press the
Find button, or the Enter key. The LOV will contain only the
project numbers that contain the values you entered. Once you
have selected the project number you wish to view, follow the
instructions detailed in the above paragraph.
6. The Find Project Expenditure Items window’s Project Number and
Project Name fields should now be populated with data. Click the
Find button to open the Project Expenditure Items window.

The Project Expenditure Inquiry screen contains detailed information
regarding the project’s expenditure items. When you review expenditure
items, you can see the amount and type of expenditure items charged to a
project, the date an expenditure item occurred, and other information
about the project’s expenditure items.
The Project Expenditure inquiry window contains the following
information listed below. You can customize a folder that contains only
the necessary expenditure item inquiry columns that you would like to
view.

Project Number, Award & Task Number

Expenditure Type = an implementation-defined classification of
cost that you assign to each expenditure item. Expenditure types
are grouped into cost groups (expenditure categories) and
revenue groups (revenue categories).

Expenditure Item Date = the date on which work is performed
and is charged to a project and task.

Employee/Supplier = name of employee who worked on that
particular project (imported from Oracle Labor Distribution).

Quantity = the dollar amount of the expenditure item.

Project Burdened = the cost of an expenditure item. A project
burdened cost includes raw cost plus burden cost.

Comment = additional descriptive information regarding the
expenditure item.

Expenditure Org = for timecards and expense reports, the
organization to which the incurring employee is assigned, unless
overridden by organization overrides. For usages, supplier
invoices, and purchasing commitments, the incurring
organization entered on the expenditure.

Non-Labor Resource = an implementation-defined asset or pool
of assets.

Non-Labor Resource Org = the organization that owns the asset
or pool of assets.

Buttons to view detailed information:

Totals – this button will automatically total the amounts for the
Project Burdened Cost column.

Item Details – clicking this button will bring up the Item Details
window with two options to select from: Cost Distribution Lines
and AP Invoice. You can also access the expenditure item details
by clicking on the blue cursor in the column to the left of the
expenditure transaction that you would like to review.
Selecting Cost Distribution Lines brings up the following window:

Cost Distribution Lines provides details of the expenditure distribution to
the General Ledger through the FOMOPPL account string. You can also
view other information about the cost lines, such as PA and GL period and
interface status and the rejection reason if transactions could not be
interfaced.

Choose AP Invoice to drill down to the Invoice Overview form in
Oracle Payables. This option is only enabled for expenditure items
whose expenditure type class is Supplier Invoice.
10. You can drill down to the PO from the Invoice Overview window by
clicking on the View PO button.
Viewing Detail Accounting Lines
You can see how a transaction will affect the account balances in your
general ledger by viewing the detail accounting lines for the transaction as
balanced accounting entries (debits equal credits) or T-accounts.

Query the expenditure transaction you want to view.

Choose View Accounting from the Tools menu.
You see the View Expenditure Accounting window.

To view the accounting detail for the selected line as T-accounts,
click on the T-Accounts button. In the Options window that opens,
select from the Default Window poplist, and then choose from the
window buttons to drill down in General Ledger.
