Job Family and Level: Administrative, Professional and Managerial, Level 1 Contract Status: Permanent Hours of Work: 36.25 per week Location: University Park Reporting to: Carl Winfield Purpose of the New Role: To provide flexible support for the Purchasing Office and cover for reception during holiday/sickness absence. This is a physically demanding role, involving a large amount of manual handling. The role holder will receive training in; manual handling, hazardous chemical handling, University ordering systems – Agresso, SciQuest, Concur, Purchasing Card. The role holder will be expected to coordinate planned leave (holiday leave or training) with other centre funded staff in order to provide a reasonable level of cover at all times for the research groups. 1. 2. 3. Main Responsibilities % time per year Purchasing Office - Deliveries Receive, organise and allocate deliveries of consumables, equipment and chemicals, for the building, on a daily basis. The role involves considerable moving and handling of boxes. Check that all deliveries and items match the original order and ensure that all discrepancies are reported and checked. Ensure that deliveries are dealt with in the correct manner, ensuring good handling of potentially hazardous chemicals and goods stored appropriately until collection by the end user. Provide an excellent customer focused service environment dealing with face to face enquires from building users (customers) and external delivery companies. Ensure all paperwork regarding the orders is filed accurately, timely and is easy to locate for future reference. Ensure the Good receipt area and office remains organised, tidy and accessible at all times Purchasing Office – Orders Responsible for placing orders for the Centre using Agresso, SciQuest and Purchasing Card software Goods received orders electronically using Agresso on a daily basis to ensure that the Payments Centre can process invoices and pay suppliers. Consolidate own purchasing card at the end of each month and keep the paperwork for this in order, to enable the Purchasing Card Manager to authorise payments by the deadline. Reception Cover Act as a first point of contact to all visitors to the Centre for Biomolecular Sciences including students, staff and individuals from outside the University. Providing general information about CBS to both internal and external visitors. Deal with general telephone and email enquiries to the CBS Building, answering queries, taking messages or redirecting the callers as appropriate. Receive and distribute incoming mail to the CBS Building. Arrange couriers for the collection of parcels/chemicals. Booking travel and items associated with this: flights, rail, car hire, accommodation, conference registration for staff and students, using Concur. The role holder will only be expected to make travel bookings and will not make decisions on alternative arrangements. Any problems will be referred back to the 80% 10% 5% 4. person requesting the travel. Any other duties at the direction of the Building and Operations Manager. Knowledge, Skills, Qualifications & Experience Essential Qualifications/ Education Skills/Training Experience Good standard of education – Minimum GCSE’s or equivalent Good standard of numeracy and literacy. Good organisational skills. Computer literate - good working knowledge of Microsoft Office, Word, Excel, Outlook. Excellent communication skills, both written and verbal: ability to communicate with all levels of staff and students. Ability to work accurately with a high attention to detail. Ability to work under pressure. Flexible approach to work. Ability to work without close supervision and to work within a team environment. Previous work experience in a relevant role demonstrating excellent customer service and organisation 5% Desirable Science Qualification A-level and above Agresso trained. A basic understanding of COSHH and safety related issues.
