JOB DESCRIPTION Job Title: Events, Design and Marketing Officer Reporting to: Senior Events, Design and Marketing Manager Grade: 2 Hours of Work: 35 Location: City Reach, 5 Greenwich View Place, London, E14 9NN JOB PURPOSE: To assist in the organisation of events and marketing activity and to provide administrative support service to the events team. The Events, Design and Marketing Officer will also be required to work in a multidisciplinary manner and will be required as and when to assist in general administration and support to the team. JOB ACTIVITIES: 1. Administration and support for the team. 2. Manage delegate administration for all conferences and seminars, liaise with delegates, register delegates and send out confirmation details, manage relationship between events team and finance. 3. Liaise with venues re: logistics for the day including set up, timings, catering, etc 4. Liaise with speakers re: presentations, requirements etc 5. General smooth running on the day, liaising with venue manager to ensure all logistics run smoothly, write job lists and delegate jobs on the day to staff 6. Maintain and update delegate database, pass for invoicing, do credit notes, correspond with delegates etc 7. General office duties such as photocopying, filing, mail merge and mail outs, word processing, and general correspondence 8. Delegate packs: getting everything ready for inserting into delegate packs including drafting welcome letters, writing chair notes, etc 9. Attend all conferences and events 10. View venues for suitability for seminars and conferences as necessary 11. Project manage smaller events when required to do so 12. To manage the Events section of the 4Children website. 13. To support Senior Graphic Designer/Web Developer in maintaining and updating the main 4Children website and associated websites including Foundation Years and The Children’s Partnership. 14. To manage and co-ordinate the creation and updating of children services web pages and children services database on the main 4Children website. 15. To support Children Services manage and co-ordinate the creation and updating of web pages on Local Authority websites. 16. To support Senior Graphic Designer/Web Developer in creating and managing HTML email communication systems and database. 17. To support the planning and implementation of photo-shoots. 18. To support the team’s publishing schedule, including updating as required and related administration tasks where necessary. 19. Assist in design tasks as and when necessary 20. Assist in management of publication sales 21. Responsible for sending out marketing emails for events and other team activities 22. Computer literacy with knowledge of Microsoft Office and associated packages. Competent with Excel especially. 2. Ability to work under pressure and to tight deadlines. 3. An understanding of and commitment to working in an equal opportunities environment. PRINCIPAL TERMS & CONDITIONS OF EMPLOYMENT EVENTS DESIGN AND MARKETING OFFICER 1. Hours of Work 35 hours per week. 2. Duration of Contract Long-term 3. Holidays 30 days per year plus Bank Holidays. Some annual leave may need to be taken at the Christmas period, when the London Headquarters office closes. 4. Salary The appointment of the Events and Marketing Manager is at 4Children’s Grade 2. Grade 2 commences at scale point 14 (£19024) and rises to scale point 20 (£21752). 4Children currently uses the National Joint Council (NJC) local authority scale rates. The NJC pay scales are increased on 1 April annually. 5. Method of Pay Salaries are paid by direct debit into the staff members nominated bank account on the 15th day of each month. 6. Place of Work The post will be based at 4Children Headquarters Office based at City Reach, 5 Greenwich View, London E14 9NN. 7.
