The Crescent Primary School opened in September 2011 and will have 330 children on roll in September 2013. This will rise to 650 in 2017. As the school grows and develops we are building an outstanding team of teaching and support staff. We need an additional member of our office team who is friendly and outgoing with the energy and the commitment to get the job done to a very high standard. The following qualities are essential. You will Have excellent ICT skills, able to use a variety of software packages such as Excel, PowerPoint and Publisher. Experience of using SIMs would be great too. Be the first point of contact for visitors to the school so a smart appearance and good telephone manner are a must. Be able to work on your own initiative be very flexible, absolutely unflappable and willing to have a go at almost anything – quite often at least two things at once! Be able to keep calm under pressure whilst having empathy with children and their parents. Understand that working in a school office is really busy, never dull and no two days are ever the same. Key accountabilities: Be the first point of contact for visitors to The Crescent Primary School providing a reception service, dealing with incoming and outgoing mail, telephone calls and making appointments. Assist with pupil first aid/welfare duties, looking after sick pupils, liaising with parents and staff. Assist in arrangements for school trips and events. Key tasks 1. Administration Provide general clerical admin support. For example photocopying, filing, completing standard forms and responding to routine correspondence. Operate reprographic/photocopying equipment and collate and distribute material. Undertake routine maintenance of photocopying equipment Compose routine correspondence. Operate relevant equipment and ICT packages such as Word, Excel, and PowerPoint etc. Use ICT skills to design and publish certificates, leaflets and newsletters as required by teaching staff. 2. Records and Resources Update computer based records Maintain the office filing system by keeping documents, correspondence and other records systematically arranged in files. Monitor office stationery stock levels and re-stock when necessary. 3. Orders and returns Place orders for office stationery, equipment and consumables as required. Prepare requisition and order forms as requested, Receive goods, check and certify invoices. 3 4. Pupil welfare and classroom support Provide first aid and notify parents whose children have medical problems. Arrange medical appointments with the school health team and notify parents of the details. Assist with changing clothes and other cloakroom activities. Assist in the preparation and adaptation of teaching aids, work sheets etc., as directed by teaching staff. 5. Reception and general duties Operate the school telephone system, and deal with routine queries as appropriate. Receive visitors and deal with routine queries in accordance with established policy and practice. Receive and make telephone calls for the Head teacher when she is unavailable. Provide refreshments for visitors. 6. Other duties Monitor Parent pay following up on debts when necessary. Keep the school website up to date. Excellent oral and written communication skills. Smart and well groomed appearance. Excellent knowledge and experience of using Work, Publisher, PowerPoint and Excel. Very proficient typist Ability to plan and prioritise a range of regular and irregular tasks within specific deadlines. Ability to analyse tasks and how they may be best achieved. Ability to relate in a friendly but firm way with a wide range of personalities. Ability to maintain confidentiality inside and outside the workplace. Willingness to learn how to use and maintain unfamiliar equipment on a day-to-day basis (e.g. photocopiers etc). Ability to be open with children and to have sympathy for what concerns them.
