SharePoint Solution Targets Improvements in Business Process Efficiency

With an upgrade to their existing SharePoint platform looming, Radio One realized that their current outdated 250+ workflows were holding them back. The existing workflows did not scale well and it became evident that managing their intricacies during a migration to SharePoint 2010 would prove even more difficult as their business grew.

AT A GLANCE

Radio One, Inc. headquartered in Silver

Spring Maryland, is an urban-oriented, multi-media company that primarily targets urban consumers. Their radio broadcasting franchise is the largest broadcasting operation nationally that targets Urban

Listeners. Radio One owns and/or operates

54 broadcast stations located in 16 urban markets in the United States.

BENEFITS

• Simplified workflows that speed

business processes.

DEPARTMENTS SERVED

“Due to the sheer number of workflows, and the fact that we had a lot of custom code designed around them, we had issues. The workflows either stopped working or needed to be revamped due to different changes in our organization. For the last few years it has really been a huge pain point for us.”

multiple Finance & Human Resources

• Every single department across each

media company owned and/or

operated by Radio One.

- Dennis Richardson director of business applications for Radio One

Management sought a new solutions provider to assist in their SharePoint and migration of workflows that would support financial and Human Resource business processes across all of Radio

One’s multiple divisions. That’s when they reached out to existing vendor Nintex, the award winning

SharePoint workflow company, for guidance. Nintex then referred them to DataPoint Solutions, a

Nintex certified partner and leading provider of professional IT services with a specialty in Microsoft

SharePoint.

“We got involved with DataPoint through Nintex,” Said Dennis Richardson. “We had around 250+ workflows built to support our financial and HR processes across our multiple divisions. A lot of those workflows where developed over time using a 3rd party company for development. We wanted to streamline those workflows and get things a little more centralized and easier to maintain going forward. We also wanted to migrate from SharePoint 2007 to SharePoint 2010, while making sure we still had all of our functionality.”

The Results:

SOLUTION SOFTWARE

• Nintex Workflow

• SharePoint 2010

• Metalogix

• Lawson

• Infopath 2010

“We knew that a migration would be complicated because of the amount of workflows involved,” said Richardson. “DataPoint worked with us to identify where and what the challenges would be and scoped out the extent of how and what they would need to get everything migrated over. We were able to do everything with minimal impact to our clients.”

DataPoint came in and redesigned all the customized code, reducing the number of workflows that are tied to specific forms from 250 to 15; those workflows then trigger a set of business processes depending on what market they go to. There is now ONE centralized repository for Radio One’s workflows, so any changes made are more easily able to be applied globally, moving forward. As a result, support and modifications will be a lot smoother in the future with DataPoint making changes as needs arise.

I was very satisified with the work provided to us. We knew this was going to be very complicated, and are very pleased with the way it functions. We’ve gotten a lot of compliments and positive feedback across the organization on the new functionality of our deployment. From our Comptroller, to several heads of all our different regions, everyone is very pleased.

- Dennis Richardson

DataPoint is currently working on integrating SharePoint lists to Radio One’s on-premise Lawson installation. The solution involves InfoPath forms that reference Lawson as the system of record for

HR data that automates the completion of various fields. This will reduce redundant efforts of updating multiple systems for HR data and will streamline Radio One’s various processes to include common fields that have been already collected. This will ultimately result in a positive user experience with reduced entry of data, more accurate data results throughout the processes and a faster ROI between Radio One’s systems.
