Job Title: Administrative Assistant

Department/Location: Catholic Tuition Support Organization, Inc. for the Diocese of Tucson,
Pastoral Center
Job Description: Primary Function: Under the direction of the Director of the Catholic Tuition
Support Organization, provides administrative support for the program and helps coordinate the daily
activities of the Catholic Tuition Support Organization.
Essential Duties and Responsibilities:
• Support the pastoral and spiritual mission of the Catholic Tuition Support Organization and the
Roman Catholic Diocese of Tucson.
• Process all daily correspondence, general bookkeeping, filing, and requisition of supplies,
deposits, credit cards, and other clerical services.
• With the approval of the director plans, and implements CTSO guidelines and procedures for
schools.
• Assist the director with school visits, promotional materials, and marketing of the organization.
• Maintain the organization database; revise database design; create all reports, forms, and
queries for the department
• Work with outside vendors in pricing and finding cost-effective methods of promoting and
printing of promotion materials.
• Assist director with banking issues and procedures
• Assist the director with financial and statistical reports for board meetings
• Perform other duties as assigned
Physical/Mental Requirements: Requires coordination and manual dexterity, normal mental and
visual ability; ability to lift as required in a normal office environment.
Required Activities: Walking, sitting, standing, stooping, reaching, talking, handling, hearing,
carrying, and keyboarding.
Basic Qualifications:
• At least three years experience in administrative work
• Proficient in word processing, computer skills, specifically Word for Windows, Excel &
Access
• Knowledge in general office bookkeeping procedures and software (QuickBooks preferred)
• Ability to mail merge excel reports, queries and text documents
• Minimum typing skills of 50 WPM; proficient with 10-key calculator
• Well organized; ability to work under pressure; manage multiple activities
• Excellent communications skills, both oral and written; excellent telephone demeanor.
• Ability to work collaboratively with others in a team environment
• Flexibility in work assignments
Preferred Qualifications:
• Knowledge of and/or familiarity with the Catholic Church
• Knowledge in preparation of campaign materials
• Membership database management experience
