Samsung Medical Document Management Solution for Healthcare Industry
Overview
Issue:
•
Samsung SyncThru™ Admin features Job Accounting to
track copies and prints, and the PC Dashboard to monitor
devices. Job Accounting can assist institutions by controlling the number of prints and copies made by an individual
or group of individuals. The PC Dashboard enables IT staff
to monitor up to 5,000 devices from one central location.
Both features help control costs by predetermining numbers
of copies and by deploying printer consumables, such as
toner and paper, when needed.
Need to reduce costs on both printing device management and excessive print-outs such as prescriptions,
receipts, consent forms, and etc.
Solution:
•
Central monitoring printer through Samsung SyncThru™
Admin featured with 8 customizable widgets
Results:
•
Reduced non-patient care related costs
•
The highly management efficient central monitor system
with less labor and costs
1. Monitor device usage from a central location with the
SyncThru™ Admin PC Dashboard, which contains eight
customizable widgets
2. Account for device usage and consumable needs with
the embedded SyncThru™ Admin reports
3. Reduce operating costs by limiting user output on
a device (print, copy, scan or fax) with the Samsung
SyncThru™ Admin accounting feature
Industry Trend
Even before the global financial crisis, healthcare was one
of the most competitive industries. Many larger institutions tried to pare costs through mergers and acquisitions,
increasing the number of patients with medical records and
charts to be copied. Smaller hospitals also experienced the
burden of copying and printing as more insurance companies required greater documentation to fill patient claims.
Monitor devices from a central location
The SyncThru™ Admin PC Dashboard can be customized
with eight widgets that can help more effectively manage
the print environment. Each widget explains device status,
errors and consumable need through a graphical image,
table, column or pie chart. The PC Dashboard assists with
decreasing IT department costs, because staff is deployed
only to the devices in true need of service and IT expenses
are spent only on a machine in real need for consumables.
Industry Challenges
Printing, copying, scanning and faxing medical documents
can result in hidden expenses that can cost institutions
hundreds of thousands of dollars per year. Healthcare
organizations need to optimize savings within their print
environments by tracking the number of copies, printouts
and consumables per printer. Additionally, hospitals waste
resources by having Information Technology (IT) staff individually monitor and service printers versus being able to
monitor from a central location.
INDUSTRIAL SOLUTION BRIEF
1
Oversee devices from one site, even
when devices are dispersed
Report device and consumables usage
Expose hidden expenses and save money
Several reports can be generated on device usage, consumables and accounting information. All reports can be output
in Comma Separated Variable (.csv), Microsoft® Excel (.xls)
or .pdf file formats
SyncThru™ Admin Job Accounting enables hospitals to authorize specific print, copy, scan and fax device functions
and limit the volume of each function. Each user or group of
users is assigned an account number that is set up by an IT
administrator. The account number determines the types of
functions that the user can perform on the device and the
quotas which are assigned to print, copy, universal serial
bus (USB), fax, and scan.
The following reports further assist healthcare institutions
contain printing, copying, scanning and faxing costs:
1. Supply Forecast. Reports an estimation of how many
toner cartridges should be purchased for a specified
period based on supply type and toner type and state.
When a quota is reached, the user will not be able to perform that particular function. Alerts can be sent to a user
when a function quota is near to being met.
2. Supply Details Forecast. Shows an estimation for
when to replace toner for specific devices configured
with supply type and toner type.
Also, users can be assigned specific devices, further helping
to control operating costs by limiting high-volume users to
high functioning devices.
3. Device Usage. Reports accounting activity for specific
devices and the users associated with the device.
4. User Usage. Shows accounting activity and functions
performed by users, along with the devices used.
By centrally monitoring print device and
function usage, hospital IT staff can more
efficiently manage their print environments.
5. User Group Usage. Reports accounting activity and
functions performed by a group of users, along with the
devices used.
