Safety and Risk Management Information and Requirements for University of Maine’s Projects for Peace Applicants All students who plan to apply for UMaine’s Davis Foundation Projects for Peace award must be aware of safety issues as projects are planned. A Health and Safety plan is required, at the time of application, for all applicants. This plan is considered in the selection process. o If your project location is within the United States, please complete a Health and Safety Plan and submit this with your application. o If your project location is abroad you must first determine if your destination is on the US Department of State’s Travel Warning or Alert list. Travel Warnings and Alerts: The US Department of State monitors travel conditions for all US citizens abroad and issues Travel Warnings and Travel Alerts specific to each country or region. Reasons for travel warning may include civil war, intense violence or crime, terrorist attacks and unstable governments. You must learn about any specific travel warnings and alerts given. Travel to these locations may affect your ability to obtain medical or other assistance in the event of an emergency.. You can find the US Department of State’s Travel Warning or Travel Alert list at http://travel.state.gov/content/passports/en/alertswarnings.html. If your project location is abroad and is NOT on the US Department of State’s Travel Warning list, you must learn about your travel destination and submit a Health and Safety Plan with your application. If your destination is on the Travel ALERT list, please indicate this in your plan and make appropriate arrangements for your health and safety. Learn about your destination country: The State Department’s Office of American Citizens Services and Crisis Management (ACS) administers the Consular Information Program, which will inform you about conditions abroad that may affect your safety and security. This information will help you plan for your project. Read your Country Specific Information at: http://travel.state.gov/content/passports/en/country.html You must also consult the Country Road Travel Reports available through the Association of Safe International Road Travel (ASIRT) in preparation for your time abroad. http://asirt.org/ Submit a clearly articulated Health and Safety Plan with your application. If your project location is abroad AND your travel destination is ON the US Department of State’s Travel Warning list, you must not only learn about your destination country (see above) and submit a Safety plan at the time of application, you must also write a letter to the Office of Risk Management articulating your plan and giving further details of your plan (See instructions). The University of Maine discourages all student travel associated with UMaine activity to countries on the US Department of State (US DOS) Travel Warning List. However, Projects for 2 Peace awardees who plan to travel within countries under travel warning may be allowed to travel to those countries under certain circumstances and if certain criteria are met. If you are planning to submit a Projects for Peace application to a Travel warning destination you must seek special approval. Please submit a request letter to the University of Maine System’s Office of Risk Manager, Adam Green at the time of application. The information in the letter is similar to information found on your Health and Safety form, but should be more detailed and clearly articulated. The letter must include: a copy of the Projects for Peace application an itinerary that includes the destinations within the country; an explanation of how you will travel within the country; an explanation of how safe and sanitary meals will be ensured and an explanation of your health and physical injury/accident safety plans; an explanation of where you will be staying within the country and how you have determined that your housing is safe; include information on where your housing is located in relation to your project site; explain your access to communication (i.e., phone and internet access); and previous academic courses (including language) or experiences that you have had that might prepare you for this experience (include others who will be with you, such as translators); The UMS Office of Risk Management will inform students if their petition has been approved, denied, or if further information is needed. o If your project is approved and selected by UMaine’s Committee and the Davis Foundation, you must obtain appropriate insurance (with associated fees), submit further, detailed information, and all necessary safety and risk management forms. You may seek budgetary approval for inclusion of associated fees on your Projects for Peace application. See Recipient Travel Planning sheet for further information. University of Maine Davis Foundation Projects for Peace Recipients Travel Planning If your project is selected by the Davis Foundation and UMaine Selection Committee you will be REQUIRED to submit: University of Maine System Travel Abroad Release of Assumption of Risk Form Proof of Insurance Copy of Passport (ID page) (Read more about U.S. passport requirements) Copy of Driver’s license (see Driving Abroad, if planning to drive) Copy of itinerary Housing information/confirmation Copy of airline ticket and land/sea transportation information Enroll in Smart Traveler Enrollment Program (STEP) and provide confirmation Health and Safety Plan: Embassy/Consulate information; emergency, personal safety (i.e., know the equivalent 911 number in your country), handling money and belongings, communication, health plan (i.e., know where to find medical help, be sure you are properly insured), Confirmation of any needed vaccinations and prescriptions (check if any new vaccinations are required) Credit card information and Traveler’s checks serial numbers should be left with a family member or close friend, along with copies of the above information.
