MIRACOSTA COLLEGE CLASS TITLE: TRANSFER CENTER SPECIALIST BASIC FUNCTION: This position should follow all transfer center guidelines regarding Transfer Center Support Staff as stated in the joint publication of the California Community College System Office and the California Community College Transfer Center Directors Association. Incumbent works under the direction of the Transfer Center Director. This position is to interface with current and prospective students, high school counselors, parents, and our transfer institutions. The position must determine and interpret the needs of the individual, troubleshoot, research, and swiftly decide the best solution for the situation and provide direction to the appropriate resources. REPRESENTATIVE DUTIES: 1. Assess student needs, troubleshoot, research, and provide direction for appropriate services and resources. Screen students for readiness to meet with a transfer counselor. (E) 2. Externally from MiraCosta, interface and disseminate information to prospective students, parents, high school counselors, and transfer institutions. Coordinate efforts with university partners and schedule college-wide events, such as college fair, outside speakers, and transition activities. Coordinate and schedule individual appointments with representatives from four-year universities such as CSUSM, UCSD, and SDSU. Stay abreast of new trends and innovations in the area of transfer. (E) 3. Internally at MiraCosta, disseminate information to counselors, faculty, and current students. Develop counselor schedules in SARS and coordinate the scheduling and set up of adjunct counselors and interns each semester. Develop and distribute a calendar of activities to be updated monthly on the Transfer Center web-site, campus-wide plasma/digital display screens. Develop and distribute printed outreach material. Maintain efficient office functions such as ordering office supplies, prepare and process purchase requisitions; compose and/or type correspondence; review reports and maintain records of expenditures; assist in preparing budget reports; review and proof documents for accuracy, completeness and conformance to applicable rules and regulations. Provide timely and accurate administrative/organizational support to the department. Provides all clerical support for the Transfer Center Director and Transfer Center Counselors. (E) 5. Organize and schedule activities and services designed to increase the number of transfer students to four-year colleges and universities. Supports planning and logistics for events hosted by the department or program. Responsibilities include (but are not limited to) making room reservations, working with vendors; requesting facilities set up; preparation of personnel requisitions, ordering invitations and food. (E) 6. Submits requests, supervises, schedules, coordinates, and evaluates the performance and functions of temporary help, and student work study positions. (E) 7. Maintain the resource library of transfer-related materials, including college catalogs, honor MIRACOSTA COMMUNITY COLLEGE DISTRICT (E) = Essential job function 1/20/10 TRANSFER CENTER SPECIALIST 2 scholar program information, transfer guides, articulation information, transfer agreements and guarantees, four-year college and university application information and assistance, and other transfer-related materials at the OC, SEC, and the Transfer Center web page and portal. (E) 8. Facilitate student and staff use of transfer-related electronic data base information, such as ASSIST, the Transfer Center web pages, general education patterns, prep for major and general rules and regulations. Provide information and technical assistance to students at lab area who have questions regarding the completion of applications to 4-year universities, acceptance information, TAG questions/problems, and accessing online information. Perform basic troubleshooting for software and hardware for the transfer center and computer lab area; train students on the proper operation and use of computer software related to transfer. (E) 9. Prepare material for, co-facilitate, or facilitate workshops on transfer to include, but not limited to Taste of MiraCosta College; ambassador training; application workshops; presentation to high school students and parents, and community outreach. 10. Gathers data for internal and external reports, reflecting transfer services provided, number of students served, and amount of outreach to students and community members. Record student contact information for MIS reporting and assist with statistics for statewide transfer reports. ABILITY TO: Perform a wide variety of complex clerical, typing, stenographic and secretarial duties with speed and accuracy. Learn and apply District, state and/or federal government policies, rules and regulations to assigned activities. Operate a variety of office equipment including PC, typewriter, photocopier, fax machine, microfiche reader; use a variety of computer software (including Microsoft Office suite of products). Type at 60 words net per minute from clear copy. Analyze situations accurately and adopt an effective course of action. Make arithmetic calculations quickly and accurately. Understand and follow oral and written directions. Establish and maintain cooperative and effective working relationships with others. Multi-task in a high traffic office. Plan and organize work independently. Meet schedules and timelines. Hire, supervise, train, evaluate and provide work direction and guidance to student workers, temporary staff and others as assigned. Communicate effectively both orally and in writing. EDUCATION AND EXPERIENCE: Associate’s degree and one year closely work experience, including coordination experience. Must have advanced computer application skills. LICENSES AND OTHER REQUIREMENTS: Positions in this classification may require a valid California driver license. WORK DIRECTION, LEAD AND SUPERVISORY RESPONSIBILITIES: Not assigned permanent staff to supervise. Provides work direction to student workers and/or temporary staff. CONTACTS: Department coworkers, District staff, students, faculty, vendors, professional staff at other two- and four-year institutions and the general public. PHYSICAL EFFORT: Primarily sedentary with intermittent standing, walking, bending and stooping, occasional light lifting and carrying of objects weighting 25 pounds or less; light to moderate repetitive use of hands, wrists and forearms while working on a computer; ability to travel to a variety of locations on and off campus occasionally, as-needed to conduct district business. EMOTIONAL EFFORT: Ability to develop and maintain effective working relationships involving interactions and communications personally, by phone and in writing with a variety of individuals and/or groups of individuals from diverse backgrounds on a regular, on-going basis; ability to concentrate on detailed tasks for extended periods of time and/or intermittently while attending to other responsibilities; ability to work effectively under pressure on multiple tasks concurrently while meeting established deadlines and changing priorities. WORKING CONDITIONS: Primarily busy, indoor office environment; frequent to constant contact with and interruptions by individuals in person or by phone; intermittent exposure to impatient, angry and/or verbally aggressive individuals; may be required to work during day and/or evening hours occasional weekends and/or holidays on an as-needed basis.
