Re: Minutes of CSFMCC – June 24, 2009

The Chair convened the meeting at 10:04 a.m. with all members present.

1. Approve Minutes of May 22, 2009 : Motion made by Greg Bernu and seconded by Bruce Cox to approve the minutes as written. No discussion, all in favor, motion carried.

2. Approve Agenda with the following additions: FSC certification status; status of procedure review/compilation of annual to do list. a.

Roll out of Beltrami County hosted website:

Debra handed out signup sheets for logging into the new

SFMS website and reviewed process for getting on to it. If you have not already, please send Debra a list of all your

SFMS website users. A decision was made to make each county internal page available to other county users. Each county will get their SFMS users set up with the new link by July 10, 2009. ii.

Documentation exhibition on website:

Decision was made to locate audit results on public page of

SFMS website. b.

Surveillance Audit update – D. Hummitzsch

Greg Bernu is collecting checks from CSFMCC members to pay the SFI portion of the 2008 certification audit. Surveillance audit is scheduled for the week of July 27, 2009, contingent on receipt of payment for the SFI portion of the 2008 audit. c.

Project Planning Database Development B. Cox

Web-based version of PPI is functional as of 6/24/2009, though additional edits need to be made to complete the contract terms of transferring the access-based PPI to the web-based PPI. The

CSFMCC counties will move to going live on the web-based PPI.

Koochiching county staff may visit Beltrami County to see a demonstration of the new PPI. d.

Procedures Update – all

Greg Bernu will contact Chip L. at Becker County and ask him to review his assigned procedures for the next meeting.

Recommended changes of Crow-wing Co. staff to LD-OP5 will be made and distributed to management team for review prior to submittal and posting on the website (submit document to Debra

@ Beltrami).

Status of assigned procedure reviews and submission of annual To

Do List pulled from assigned procedures. As of 6-24-2009, Greg

S. has received lists from Koochiching and Crow Wing and

Beltrami. Still need lists from Clearwater and Carlton. (Each assignee review procedures assigned to them and create annual To

Do List by copying text of periodic tasks out of assigned procedures and pasting them into a Word document. Send this material to Greg S. at Beltrami. Split these to do tasks into quarters of the year.) e.

FSC certification status:

The CSFMCC is waiting for news of our certification under the

FSC standard. Our auditor from SGS has indicated that part of the surveillance audit scheduled for the week of July 27, 2009 will be to confirm implementation of our CAR on BMP implementation.

Confirmation of this implementation will result in certification under the FSC standard. f.

Completion of CAR responses/documentation for 2008 audit:

Complete landscape items and submit to Debra for posting on

CSFMCC website. h.

Setting prices for land sales:

Had a conversation about how different departments set land value for small parcels. Work with co. assessor to set appropriate value. i.

Short list of to do’s for surveillance audit preparation:

Hold and document annual inspection calibration

Hold and document internal audit

Document responses to 2008 CAR and have on hand (notebook) for 2009 surveillance audit

Hold staff meeting to review/prepare for surveillance audit
