Page 6 of 33 AKSS-CD User Manual Introduction About AKSS-CD AKSS-CD is an acquisition-information reference tool sponsored by the Defense Procurement & Acquisition Policy (DPAP) department and the Office of the Under Secretary of Defense for Acquisition, Technology, and Logistics (OUSD(AT&L)). It services the portion of the community who need access to AKSS resources and information and who have also restricted Internet access or slow connectivity. The AKSS-CD interface is designed to be as close as possible to the AKSS web site to minimize your need to learn a new system. About the AKSS-CD Auto-Run The AKSS-CD Auto-Run is an application that automatically runs when a user inserts the AKSS-CD into the CD drive. The Auto-Run is designed to help users get started with using the AKSS-CD. The Auto-Run lets users install the AKSS-CD onto users’ computers, install the appropriate viewers as necessary, view instructions for using the Auto-Run, and contact information to contact DAU to report problems. What’s New The primary thing that is new about the AKSS-CD is the various installation options. In addition to installing the CD on a local PC hard drive, you can also install to a network drive. Afterwards, individual users need to install the client shortcuts on their desktop. We also now include instructions for installation to a Flash drive (thumb drive, memory stick), which provides users with increased flexibility and portability. From an AKSS perspective, there are many updated documents since that last CD. The most important is the DoD 5000 Defense Acquisition Guidebook which was released in October, 2004. We also have new documents from DCAA and DCMA. Software Tools have been updated. Ethics is new. Ask-A-Professor has been receiving some residual cleanup work, and a higher percentage of questions should have answers. About AKSS The AT&L (Acquisition, Technology & Logistics) Knowledge Sharing System (AKSS) was launched in October 2002 to replace the Defense Acquisition Deskbook (DAD). Like its predecessor, Deskbook, AKSS continues to provide acquisition information for all DoD service components and across all functional disciplines. The content on this CD was prepared in December 2004/January 2005 and contains all reference documents available on the AKSS web site at that time. For the latest AT&L information and references please visit the AKSS web site at http://akss.dau.mil/. Differences Between AKSS and AKSS-CD We have attempted to make the AKSS-CD as similar to the AKSS web site as possible. By making the navigation and searching almost identical, the learning curve for using the CD is almost eliminated. The AKSS-CD contains the mandatory and discretionary policy also available from the website. But much of AKSS website interfaces with external sites, and so some links still visible on the CD will still need Internet connectivity in order to function correctly. For example, AKSS has a section on software tools. There is a description of each tool with a link to the hosting website. The information about the tools is on the CD, but the link won’t work without Internet connectivity. Figure 1 shows the AKSS-CD Home Page, and Figure 2 shows the AKSS web site Home Page. You have the choices of 1) your own PC, 2) a network drive, 3) the client-side of a network drive installation, or 4) a flash drive. Installing to your own PC has the advantage that the information is locally available and you do not need any other equipment to access it; however, this option uses the most memory on your PC. Installing to a network is useful when users’ local drive space is limited. Each person accessing the information on the network can either do a client-side installation which requires only 12KB space or create a shortcut themselves to the AKSS-CD executable on their shared drive. The client installation comprises the creation of three shortcuts: To the program on the desktop To the program from the start menu To the manual from the start menu. Installing to a flash drive has the advantage that it doesn’t use any space residing on your PC or your network, and it is portable. The instructions for installing are very similar for each destination, but the difference will be highlighted at the pertinent step of the screen. Before You Start Previously Installed AKSS-CD If you have previously installed an AKSS-CD, you will need to remove it prior to installing this version. You can also use this procedure for de-installing this version of the AKSS-CD. You may want to do this if you wish to change your installation destination (from local PC to network, for example). Step 1. To Uninstall, click on Start Settings Control Panel Add Remove Programse. Select the AKSS-CD application from the CD. AKSS-CD User Manual Figure 3. Please note that this is not the default. Click Next. Figure 6. Confirm File Deletion Step 4. Click on OK. The message is Figure 6 has been put there for a reason. Click on Finish to close the window. At this point, three things will have happened. 1. AKSS-CD will be removed from your list of programs in the Control Panel’s display of Add/Remove Program. 2. All files will be removed from the drive. 3. The shortcut icon pointing to the AKSS-CD is removed from your desktop. Step 6. You are now ready to proceed with the directions to install the new AKSS-CD. Page 14 of 33 AKSS-CD User Manual Starting the Auto-Run This section will walk you through the getting started and working with the AKSS-CD Auto-Run on your computer. Step 1. Close all other applications. Step 2. Insert the AKSS-CD into your computer’s CD Drive. The AKSS-CD Auto-Run should run automatically, and you will see a screen similar to the one shown below. If Auto-Run does not start automatically you may run it by browsing to the CD and double-clicking on the Auto-Run.exe application. The Auto-Run screen starts by displaying Welcome information. Read the sections below to learn more about navigating in the Auto-Run application. Page 15 of 33 AKSS-CD User Manual Navigation Overview There are a total of seven tabs for you to navigate the AKSS-CD Auto-Run interface: Welcome Includes an overview of content and information the Auto-Run application contains. About this CD This menu provides information about AKSS-CD, the Auto-Run DAU’s commitment to AKSS- CD. Instructions This menu contains information on Installing AKSS-CD, Getting Started, System Requirements, and Troubleshooting. Installation The Installation menu provides access to AKSS-CD installation, and information about uninstalling and troubleshooting AKSS-CD. Viewers Here, you may learn more about and download the viewers used with AKSS-CD. Contact Info Contact Information provides you with all the information you’ll need to contact the AKSS-CD help desk for assistance, comments or concerns. Exit To exit the AKSS-CD Auto-Run you may either use the Exit menu item and clicking on the yellow button for “exit”, or press the “Esc” key at any time. Page 16 of 33 AKSS-CD User Manual Instructions Menu This menu contains the following four subsections: Installing AKSS-CD: An overview of the AKSS-CD installation process. Describes how to Remove a Previously Installed CD. Getting Started: After a user has completed installation of the CD, a handy desktop icon will be available for future launches of the AKSS-CD. System Reqs: Gives an overview of the necessary operating systems and computer resources that must be available in order to have a successful installation and proper user experience with the AKSS-CD. Troubleshooting: Includes some handy tips on ensuring a successful install of the AKSS-CD. Please make sure that you have administrator privileges on the drive to which you are installing the CD. Make sure that your system meets the system requirements. Make sure that all Viewers are installed. Close all other open applications. Figure 9. AKSS-CD Instructions Submenu AKSS-CD User Manual Installation Menu This menu contains the following three subsections: Install AKSS-CD: Has the installation button. When you are ready to install, you need only click on the yellow “install now” button located in this subsection. Uninstall AKSS-CD: Describes how to uninstall this or a previous version of the AKSS-CD. Install Tips: Includes some handy tips on ensuring a successful install of the AKSS-CD. Figure 10. Please note that if you click on the AutoRun during the following Installation process, you will be prompted to enter the first CD again after Step 9. Step 1. Click on the “Install Now” button in Figure 10 above. The AKSS-CD application is installed with the Install Shield Wizard. After an initial splash screen, the Wizard is displayed as shown in Figure 11. Figure 11: Install Shield Wizard, Welcome Screen Step 2. Click on the “Next” button to continue the installation. The SetupType Window will be displayed as shown in Figure 12. Proceed with Steps 3 through 5 depending on your type of installation: a) Network Installation b) PC Installation c) Flash Drive Installation d) Client Installation after a Network Installation Page 19 of 33 AKSS-CD User Manual Network Installation Figure 12a. Click on the ‘Browse’ button to find your network drive path. The Choose Folder popup window will appear as shown in Figure 14a. You can navigate to the desired drive and folder. Or, if the folder does not yet exist, you can type in a path name. In the example, the hierarchical tree was used to navigate to the T: network drive and then the folder, “YourDestinationFolderName,” was typed into the “Path” text entry box. Once the installation has completed, the Complete Window will be displayed as in Figure 17. Click Finish. Figure 24: Install Shield Wizard, Setup Complete Step 9. Once the installation has completed, the Complete Window will be displayed as in Figure It will take some time, but the Install Shield Wizard will terminate. If you have not already shut down the AKSS-CD AutoRun (shown in Figures 8, 9, and 10), you can hit Exit, and close that window. The following new application is installed to your Desktop. Click it anytime to access the AKSS-CD. Figure 25: AKSS-CD Icon Please note that if you click on the AutoRun during the previous Installation process, you will be prompted to enter the first CD again. Page 28 of 33 AKSS-CD User Manual Viewers Menu AKSS-CD provides reference documents and information in the same format provided by the authoring agency. To view these documents you must either have the application they were created with or the browser plug-in for that document type. The latest plug-ins may be downloaded via Viewers menu by clicking on the document types on the left side of the screen. Microsoft Word Microsoft Word documents will open unassisted, provided you have Microsoft Office software application programs on your workstation. Microsoft Excel Documents Microsoft Excel documents will open unassisted, provided you have Microsoft Office installed on your on your workstation. Microsoft PowerPoint Documents Power Point documents will open unassisted, provided you h ave Microsoft Office installed on your on your workstation. PDF Documents PDF documents will open unassisted, provided you have Adobe Acrobat Reader installed on your workstation. If you do not, you will be prompted to select a format in which to open the document. At that time, find and select the Adobe Acrobat Reader in the list. It normally comes as part of most desktop packages. If you are unable to find it in the select a format” menu, you will need to obtain it through your IT department. Macromedia Flash This is a required component. The Flash browser plug-in is part of the technologies used to deliver search functionality on this CD. With Macromedia Flash Player, users can view and interact with content developed in Macromedia Flash. Remember, if you do not have the viewing capability for any of these document types, you can download the viewers directly from the Internet using the AKSS-CD Auto-Run from the Viewers menu item. AutoRun Viewers Window To check the Viewers installed on the user’s Computer, click on Check my Viewers in the Viewers tab of the Auto-Run as in Figure 19. The Auto-Run will launch your browser, and will begin checking whether your computer has the necessary applications to open MS Word, MS Excel, MS PowerPoint, and Adobe Acrobat, and Macromedia Flash. Ethics This contains the Ethics module required to be taken by every DAU personnel. Search Enter keywords or phrases in the search input box and press the Search button. By default, providing multiple keywords will return documents matching any of the words. For example, if you search for “acquisition policy”, you will get documents containing “acquisition”, documents containing “policy”, and documents containing both, which by the way, should be at the top of the list. If you wish to search for “acquisition policy” as a phrase, both words together in that order, enclose your term in double quotes. Quotes in a search term tell the search engine to search for an Exact Match on that term. Otherwise, without quotes, the search engine will search for variations on the term, including similar words.
