Position: Front Office - Medical Reception Secretary
Responsible To: Front Office Operations Coordinator
Hours: 38 – 40 hours weekly
Job Summary: Front Office Medical Reception Secretary will be responsible for handling very busy front
end office including telephone lines, completing full registration of patient information, scheduling, and
confirming patient appointments via the IDX Web system. Electronic chart preparation (scanning/preloading clinical data), filing, mailing correspondence, opening the office and servicing patients at the front
desk 2.5 days per week during office hours, and according to Physician’s schedule. Verifying Insurance
eligibility and reconciling all monies collected at the time of service against the daily schedule, as well as
posting in the IDX Web system. Act as a liaison to the Endoscopy Suite for all scheduled procedures,
scheduling additions, and changes.
Educational Requirements:
High School diploma required; College degree desirable; related working experience may substitute for
advanced education and/or experience.
Qualifications and Experience:

At least 2-4 years experience in a medical office

Knowledge of IDX Web Scheduling and Term Applications preferred

Knowledge & at least 1 year experience preferred with an EHR (Electronic Health Record
software)

Knowledge of current Microsoft applications

Working knowledge of Managed Care, Medicare and Medicaid Insurances, with an overall
understanding of how the insurance plans work, including referrals and pre-authorizations

Computer literate to include keyboarding skills

Proven experience handling irate patients, dealing with conflict, and troubleshooting

Pleasant speaking voice and demeanor

Neat, professional appearance

Strong written and verbal communication skills

Highly detail oriented and organized

Teamwork effort, fosters collaborative working environment with patients and co-workers
Responsibilities include, but are not limited to the following:
Collecting messages from answering service/voicemail each morning/afternoon and following up, as well
as triaging messages accordingly ensuring delivery. Responsible for taking phones on/off service at
beginning and end of the work day, and confirming the on call coverage at all times. Answering multitelephone lines and triaging calls/messages to all applicable parties throughout the work day. Scheduling
and confirming appointments for office, and diagnostic procedures via IDX-WEB system, and directing

patients to their appointment destination. Register patients (i.e. demographic/insurance information) into
the IDX Web system. Verifying patient’s insurance eligibility, enter insurance referrals into the IDX Web
referral module, and linking referrals to visits. Mailing or emailing patient diagnostic preparation
instructions for their scheduled office visit and or procedure(s) or directing them to our website for the
instructions. Printing schedules a week in advance and preparing for EHR system (Crown) according to
office protocol, ensuring all electronic charts are complete with necessary scanned and pre-loaded
information.
 Meeting and greeting patients and collecting co-payments/time of service payments at the front
desk; responsible for securing & recording all types of monies collected throughout the day and
issuing patient receipts; posting those receipts via IDX Web.

Processing and mailing all dictation and test results according to a 48-72 hour max turn- around
time, including medical record requests, as well as all other correspondence to patients and
referring physicians.
 Initiate prior-authorization requests for medications and diagnostic testing
 Maintains and copies all office forms at the front desk and the check-out area
 Maintains solid knowledge of all managed care plans; maintains patient and office confidentiality
 Explains financial policy to new patients; communicates effectively to Front Office Operations
Coordinator, co-workers, and Physician.
 Opens and closes the office each day according to protocol
 Attends all regular staff meetings; conforms to all applicable HIPAA and safety guidelines
 Perform any additional task(s) as designated by Front Office Operations Coordinator or Physician

Ensures service excellence by becoming thoroughly familiar with Columbia Doctors “Culture of Service”
and putting it into practice in carrying out job responsibilities.
Working Conditions and Physical Demands:
Office hours are performed in our private office and involve frequent non-clinical contact with patients.
The candidate must be comfortable dealing with patients and requesting money for copayments. The
candidate must also be comfortable collecting money, reconciling against the encounters, as well as being
accountable for monies collected. Position requires multi-tasking especially during office hours, as
interaction with others is constant and interruptive. Position requires prolonged sitting and good eye-hand
coordination. Position also requires viewing computer monitor and typing for long periods of time.
