ROSTER MANAGEMENT
Project Abstract
The Roster Management Project is separated into two phases:
Phase I of Roster Management replaced the previous DOS-based time reporting system for NMCD
Correctional Officers and Staff with an off-the-shelf COTS solution, InTime. It was built on current
technology, centralized data storage and was implemented in a web enabled environment. In addition,
Phase I leveraged an existing fault tolerant architecture using existing hardware within the Corrections
Department to improve business continuity and improve data security. This phase is complete.
Phase II of Roster Management further improved the time reporting process by creating an interface
from the InTime system to the SHARE PeopleSoft system. This interface eliminated the need for the
existing duplicate data entry process from InTime to SHARE, thereby mitigating the risk of data entry
errors and overtime hours worked in the Human Resources department. This phase is complete.

Project benefits, milestones achieved and/or accomplishments:

Benefits
o Provides a Roster Time Management system supported by ongoing maintenance
agreeement and updates based on current technology.
o Provides centralized control of scheduling of large workforce (100+ employees).
o Enables centralized maintenance of the management data and database.
o Allows Roster Management staff to check schedules and apply for
positions/stations/shifts via the internet.
o Allows compliance and monitoring of complex state/union overtime rules.
o Reduces overtime and duplicative data entry activities by interfacing the InTime
system to the SHARE PeopleSoft system.

Achievements / Deliverables
o Phase 1: InTime Time Management System successfully migrated to production
11/2007
o Phase 2: Worked with DoIT SHARE Time/Labor Team to gather requirements
for TCD Interface, test and migrate to production. Testing occurred over 3 pay
periods in conjunction with the SHARE Time/Labor team in a test SHARE
environment and including holiday processing. Application migrated to
production successfully 10/ 2008.
o NMCD Project team completed Phase II activities in-house, in conjunction with
DoIT SHARE team, saving the project budget $98,124.00.
o Successful implementation is anticipated to save NMCD $148,000 in first year
operation and $50,000 in subsequent years in HR staff overtime.

Phases Certified – Implementation (Emergency Certification and IVV Exception
requested and approved in September, 2007 due to EOL of then existing NMCD Roster
Time Management System).
Impact on DoIT:



System hosted at Corrections.
Six data files sent per week by Corrections HR staff to DFA ftp site to be
collected/processed via normal SHARE batch process.
Manual file handoff process in place with SHARE Time/Labor team in the event DFA ftp
site is down.
