YUL Manuscript Cataloging Documentation Development Minutes Mar 10, 2003 Present: Joan Swanekamp, Richard Boursy, Jae Rossman, `Martha Smalley, Karen Spicher, Absent: Toby Appel, Nancy Lyon Minutes recorded by: Karen Spicher 530 Revision Take out two Brbl-specific paragraphs: “WA recon records…” and “Consult the Ms Unit Processing Manual…” Can also use for facsimiles; add examples such as those in the MARC Format or from records for the Franklin Papers. 533 Revision Edit first paragraph: “Used by a repository holding a copy of the material, not the original.” Take out paragraph: “Rarely used since BRBL…” In examples, |b should be “New Haven, CT” and |c should be the name of the repository. Fix 300 in second example. Use ISBD punctuation in each example: 533 |a Microfilm. |b New Haven, CT : |c Beinecke Rare Book and Manuscript Library, |d 1989. |e 9 reels ; 35 mm. Questions to resolve Order of 5XX: We will discuss this at a later point. Does APPM specify an order? Karen will try to find out the origin of Brbl’s order of 5XXs. Brbl has several suppressed made-up records in Orbis that together illustrate use of all the fields. We can point to these in our documentation. 535 Revision Punctuation: “End with a period, unless the last word in the field is an abbreviation, initial, etc.” Add: “Ordinarily begins with “Originals located in…”, because the opac field label is just “Notes”. Edit: “Field contains the name and location…” and “Only used for locations of originals not held locally…” Take out last paragraph: “We will assume…” Add “Originals located in” to first example. Add periods to the end of each example. 524 Revision Take out all Notes except “Do not repeat author if name appears in the title of the collection.” Add: “Use a consistent form that readers should use in citations. Use at least a title and location information. Optionally include a main entry, call number, or other identifying information that is not expected to change.” Add: “Use Chicago Manual of Style for capitalization. Add examples from other repositories. Richard has supplied an example from Music. Questions to resolve We will wait until later to discuss which fields should be defined as required. 561 Everyone uses 561 instead of 541 for source of acquisition and other provenance information, because 541 was not defined in our earlier systems, due to space constraints. However, Voyager does not have this constraint, and the MARC format defines 541 as source of acquisition and 561 as other provenance information. At our next meeting, Mar 24, we will finish 561/541 and continue with 506, 540, and 544.
