DISTINGTON SURGERY JOB DESCRIPTION - Receptionist JOB TITLE: Receptionist REPORTS TO: Reception Manager AREAS OF RESPONSIBILITY: 1. Dealing with Patients a) b) c) d) e) f) g) To be polite and courteous at all times to patients and visitors to the surgery and deal with their requests efficiently both face to face and over the telephone Send patients to doctors/Nurse or any clinics that are ongoing as and when during surgery and ensure patients are informed if their appointment time will be delayed. Manage the telephone and reception screen system ensuring appropriate messages are broadcast. Register new patients/temporary patients as and when necessary. Deal with any requests for visits before and during surgery, record details according to the protocol and pass emergency visits to on call doctor. Run off summary for patients requesting visits. Take messages for District Nurse/ Health Visitor/Doctors & other practice personnel & make telephone calls on behalf of these staff Deal with requests for patient results 2. I.T a) b) c) d) e) f) Ensure EMIS computer system has been backed up on a daily basis To action practice tasks. To send & action e-mail messages as appropriate to staff within the practice and other healthcare professionals Deal with GP Links on a daily basis Fax and photocopy as requested by doctors and hospital carry out patient questionnaires and other tasks associated 3. Administration a) b) c) Follow reception protocols for post, records creation and return and other admin duties as deemed appropriate Change of address on computer and patient’s notes. Print out Surgery lists for doctor’s nurses and clinics for morning and afternoon. d) e) Pack up/ run off summary sheets/ results for deduction requests Record details of patient death on computer Record Clinics eg: Asthma, CHD, Diabetic, Ante – natal on computer. Enter Hospital discharges in to the spreadsheet and stamp and initial. Check Receptionist rotas on a monthly basis Check nurse/ doctor surgeries on computer against issued rota To liase with receptionist during cross over periods to ensure that you are fully aware of any messages and outstanding issues. f) g) h) i) 4. Security a) Ensure window shutter are open/closed and front door open/closed as appropriate. Make sure surgery rooms are tidy and wash cups etc before finishing shift. Make sure alarm is set correctly. b) c) 5. Training a) b) c) Attend any training courses as deemed necessary for your professional development Assist in the training of other staff where appropriate within the reception such as trainees within the practice Keep up to date on practice policies relating to computer access, patient confidentiality, health and safety and areas relating to the role.
