2. Objects of Rotary

The Rotary motto for ex ternal publicity is “We’re for Communities”.

The motto for Rotarians is “Service above Self”

The Objects are to encourage and foster the ideal of service as a basis of worthy enterprise and, in particular, to encourage and foster: the development of acquaintance as an opportunity of service; high ethical standards in business and professions; the recognition of the worthiness of all useful occupations; and the dignifying of each Rotarian's occupation as an opportunity to serve society; the application of the ideal of service in each Rotarian's personal, business and community life; the advancement of international understanding, goodwill and peace through world fellowship, and business and professional persons united in the ideal of service.

Any member of Rotary is entitled to contact any Rotary Club in the world and join them for a meeting as a guest.

The 4-way test of things we think, say or do is it the truth? is it fair to all concerned? will it build goodwill and better friendships? will it be beneficial to all concerned?

This year’s theme, adopted by the President of Rotary International 2013-14, Ron D Burton is:

Almoner

The Almoner is responsible for liaising and communicating with sick members and/or their close family, and where appropriate, informing relevant members of their condition and, in agreement with the President or Council, arranging any necessary support.

Other duties include ensuring that partners of past members have a personal contact within the club and that those contacts regularly communicate with past-member partners. This includes the sending of a Christmas card.

4. This Year’s Charities

In addition to the charities sponsored by the Rotary movement in general, to follow the Rotary motto “We’re for

Communities”, the club will continue to support local charities. These include our two local hospices – St Gemma’s and Wheatfields as well as St George’s Crypt and Caring for Life. We will continue our supportive relationship with St

Peter’s Primary School in Burmantofts and aim to work with other Rotary Clubs in Leeds to support the Trussell Trust in setting up and running Foodbanks in Leeds. (See: http://www.trusselltrust.org/foodbank-projects).

Overseas, our support has been primarily devoted to The Sylvia Wright Trust, working with the sick and the deaf in southern India. We shall explore the possibility of hel ping to set up a ‘Micro Loans’ scheme via the Rotary Clubs in

Gabarone, Botswana through Mrs Sikha Bekker, the Leeds Post Grad student who visited the club on several occasions last year.

The Club also collects for the Marie Curie cancer charity each year.

5. Council and Committees

5.1 Council

The Council consists of the Club Officers, Committee Chairmen and the Club Protection & Health and Safety Officer.

It usually meets 4 to 6 times a year but can be called to meet at short notice to discuss and resolve any significant issues of interest to the club. All Council meetings are open to all club members who may attend as a non-voting member whenever they wish. Some may be invited to do so for specific purposes.

5.2 Operation of Committees

Committees must meet or communicate as required in order to carry out their duties.

The Chair is only expected to carry out those duties agreed by the Committee.

Any decisions made by the Committee are binding on all its members.

Each Committee is required to report on progress made to all club members and to bring forward any issues judged to be of appropriate significance to the club, its members or both.

Committee Chairs are expected to circulate a brief written status report to Council prior to each Council meeting.

Some committee members have a specific role within a committee or are associated with that committee through other specific duties within the club. It therefore follows that some club members are shown as being members of more than one committee. Their desired attendance at committee meetings will be indicated to them by the relevant committee chair. Their specific

– but not unique - roles and/or duties are mentioned in parenthesis after their names.

This committee focuses on those activities which Rotarians and Clubs undertake to improve the quality of life in their community. This often involves assistance to youth, the aged, handicapped and others who look to Rotary as a source of hope for a better life.

Thus the key purposes are to:

Raise funds for local charities through collections & social events

Interact with locally-based charities and organisations as appropriate (eg:

Caring for Life; Wheatfield’s Hospice; St

Gemma’s; St George’s Crypt; Leeds Foodbanks)

To give support to the local community (eg: S t Peter’s School Beavers group & St Peter’s Rotary Recital Shield;

Rotary Young Writers’ Award, Caring for Life gardening, literacy & numeracy; Leeds Foodbanks).

Encourage members to serve others in the community through their jobs, the practice of high ethical standards and supporting environmental projects.

This committee will provide two speakers for meetings in January/February 2014 in liaison with the Speaker Finders

Committee, and help to organise the Trial by Jury event in May.

5.4 Foundation Services Committee

Rotary Foundation is the charity set up specifically to support the efforts of Rotary International to advance world understanding, goodwill and peace, through the improvement of health, the support of education, and the alleviation of poverty.

We will continue our active assistance in the Rotary Schools Technology Tournament.

This is in addition to supporting the Gates Foundation ‘End Polio Now’ campaign through a voluntary addition to the club membership subscription.

Where Rotary Foundation or other grants are available, the committee will apply for such grants for the benefit of the club and the targeted charities

The club does not currently actively support other Rotary Foundation activities which include those listed below, however we are willing to consider responding to specific appeals as circumstances and resources permit.

Health-related projects: eg: Wheelchair foundation, Aquabox

Youth activities (eg: Young Chef, Young Musician, Young Artist, Youth Speaks, Interact Clubs, Kids Out).

Education (eg: Ambassadorial Scholars, Rotary Peace Fellows, Group Study Exchange (GSE) students, University

Teachers, Grants Alumni (ex Ambassadorial etc)

The Communication of the goals of Foundation of both RI and District activities to all club members

This committee will p rovide one speaker for a meeting in January/February 2014 in liaison with the Speaker Finders’

Committee and help organise a social event in January.

5.5 International Service Committee

The role of the committee is to assist Rotarians to advance international understanding, goodwill and peace. This is achieved by enabling them to become acquainted with people of other countries, their cultures, customs, accomplishments, aspirations, and problems, through personal contacts, travel, attendance at conventions, reading, correspondence, cooperation in all club activities and projects that will help people in other lands.

For this year, the primary focus of this committee is to carry out the club’s objectives in supporting specific overseas activities (eg: Sand Dams and Micro Loans schemes in Africa).

Other purposes are to carry out work with RI, RIBI and other suitable organisations on other humanitarian and educational projects, in order to improve food production and educational opportunities worldwide (eg Polio,

Aquabox, Shelter Box, Water Aid, Doctor Bank, Sightsavers International, Vision Aid, Mercy Ships etc); to give help and assistance directly to those individuals and countries where major disasters have happened throughout the

world.

The role of this committee is to devise and implement strategies to recruit and retain club members

To devise strategies for recruiting new (qualifying) members from diverse backgrounds

To encourage club members in recruitment

To appoint mentors for new members and to monitor their progress and the monitoring process

To devise strategies to assist in retaining current members

To oversee the general experience of all members within the Rotary framework (this includes the lunchtime meeting/ speakers as well as the overall structure for social and related events)

Develop and sponsor new clubs if feasible

To keep contact with the partners of past members via the Almoner

This committee will provide a speaker for each of the two Membership Recruitment meetings, and help organise a social event in November.

The purpose of this Committee is to support and oversee all internal & external communications and public relations. Internal publicity includes notices of events, notification of changes / updates in the weekly and social programmes and the

Handbook when information has been provided.

The Committee is responsible for:

Working with other club members to ensure that updated information is available in a timely manner for all members, including the red/blue books, the club notice board, emails, and handbooks

Working with event organisers to ensure that appropriate notices and updates are made available to all club members in a timely manner with in formation provided

The website, Facebook or any other social media, ensuring they are accurate and up-to-date with the information provided

Ensuring that event organisers have made arrangements for an event report, and photos where appropriate, to be made available to the Committee for publicity

Ensuring that suitable publicity material is made available to all new and potential new members and including display

This Committee’s focus relates to those activities which the club undertakes to improve the quality of the social life of members and to contribute to raising funds for our charities through social and other events and to support the

Membership Committee in recruitment and retention of members.

Thus the key purposes are to:

Support the club’s efforts in raising funds locally for charities

Interact with other Rotary clubs and societies

Give support t o members’ social activities.

Assist other committees in their functions and fund raising events.

Ensure that the Communications Committee is kept informed of forthcoming events.

This committee will provide a speaker for a meeting in January/February 201 4 in liaison with the Speaker Finders’

Committee, organise the Yeadon G&S outing in February, a social event in March and the Trial by Jury performance on 16 May.

5.10 Paul Harris Fellow Recognition Group

The Rotary Movement was conceived by Paul Harris an American lawyer, and the first meeting took place in Chicago

1905. Today, Fellowships in his name are awarded to those who have supported the aims of Rotary. The Club awards Fe llowships to persons, “whether Rotarians or not, who have demonstrated commitment over and above the call of duty, to the goals and purposes of Rotary Foundation”.

The Recognition Group is appointed by Council to identify suitable candidates for Paul Harris Fellowships. It consists of longer serving Members who are already Paul Harris Fellows. They meet at least annually, to identify suitable

Fellows and then discretely take soundings amongst Club Members and others if appropriate, with knowledge of the candidate(s). They then make recommendations to Council via the President.

5.11 Intrepid Walking Group

Headingley Rotarians have been exploring the Dales for some years treading well-known paths and on occasion new previously unknown routes.

The group walks most Fridays, leaving Leeds about 9.30am, walks about 4-6 miles, and finishes with a pub lunch at

1pm, back in Leeds by 3pm approx.

6. Event Organisation

Club members organising events are reminded to ensure that the agreed procedures are followed. These exist to cover our legal liabilities and to maximise the benefit to the whole club. They include communication with the

President, Club Protection Officer and Treasurer beforehand. The Social and Communications Committees must also be kept informed of forthcoming events.

Event organisers must also arrange for the completion of an event account summary to be given to the Treasurer and a report for Flywheel and/or the website. A brief written procedure and Event Account Summary format are available from the Club Secretary and on the Members Area of the club website.

8.1 Duty Descriptions

Officers of the day - please arrive by 12.00 noon.

Steward

Collect store cupboard key from Hall Office and open cupboard in Fenton Room

Put up Rotary welcome signs outside Old Hall entrance and archway

Set up flags near the top table

Hang up notice board

Get lectern box from the Fenton Room annex room and place on the piano

Remove blue/red books, bell and place on top table

Put visitors' book and attendance book on the cashier's table

Check the amount of float for drinks

At the end of the meeting complete the form in the cash box, ensuring that all stock is accounted for and all cash income is recorded. (If there is a shortfall, this will be charged to the Club later).

Return the items to the lectern box and return to the annex

Return the items to the store, lock the cupboard and return the key to the office

Host

Greet all visitors and the speaker and introduce them to the President and other members as appropriate.

Ensure that visitors sign t he Visitor’s Book, and that the President has their names so they can be welcomed formally.

Ensure that speakers have all the facilities required for their talk

Ensure that any dietary requirements have been sorted out (vegetarian meals should have been requested beforehand)

Sit on the top table next to the speaker, be prepared to start questions if necessary and to give the vote of thanks

Collect the attendance register and Visitor’s Book from the lectern box

The collection of meal money and pre-meeting fellowship will take place in the Byford Room (opposite the Fenton

Room) when available , to avoid congestion

Check whether each member will be present the following week

Collect meal money from all except speaker. (If it is an internal speaker, payment is left to their discretion). The club covers the cost of potential members on one occasion only ( either at a Recruitment Lunch or at other times.

Council Meeting 22/10/2013). Other guests are expected to be paid for.

Check that the total collected is correct and take cash to the Office. Ensure that the receipt records both paid-for and free meals and is an accurate record of the number present. Give the receipt to the Treasurer, along with the excess cash collected (50ps)

9. Urgent Message Communication

If the need for an urgent message arises, eg death of a member or their partner, the President, or if the

President is unavailable, an Officer, must be informed first. The President (or Officer) will normally send an email giving details when appropriate, however when this is not appropriate, the phone will be used.

The President (or Officer) rings those in the first row (Griggs, Beddows, Reid), who then phone the 3 people in columns B, C, & D to the right of their names in column A. Thus the 6 people in the top part of column A will have contacted all those in the lower part of column A. They in turn phone the 3 people in columns B, C, & D to the right of their names in the lower part of column A.

It is preferable not to leave ‘sad’ details on an answer-phone or by email but to ask them to ring back.
