1. CSU Library has a small EReserve. We began by seeking copyright permission from owners but will from now be relying
on the CAL agreement. Records are kept of material copied - but not of individual usage at present.
Material is accessed from the OPAC but can also be found on the Web page. We are still investigating metadata options.
Exam papers are digitised and made available by another section of the University. There is a pointer to this site from the
Library EReserve. We have tried both Word and PDF formats. This service is incomplete. The University intends to make
Past Exam papers a feature of every Online Supported Subject from 2001.
2. We also use Ariel transmission for Intercampus and Interlibrary Loan. This is the principal current use of digitising
equipment.
3. We have experimented with emailing digital copy to remote students. This is not scalable for general use at present - and
we fear takes a long time downloading at the student end.
4. We are part of a UNILINC proposed digital project - which Chris Sheargold will be able to describe.
5. The Library has digital scanners at two sites.
6. Separately, the University has digital scanning equipment for its Distance Education operation.

JCPML The John Curtin Prime Ministerial Library (JCPML) <http://john.curtin.edu.au/> has digitised the bulk of their
archival collection and made it available on the web (25,000+ digital files). In most cases the conversion has been from text or
image, being scanned into TIFF format (with some additional transcriptions into text documents). The conversion has been
done inhouse and is an ongoing process with new material still being added. They are also in the process of converting audio
tapes into Quicktime files (about 59 hours worth). This work will be completed this year and is being carried out by a unit
within Curtin University. RetrievalWare software is used for presenting and organising the JCPML Electronic Research
Archive and can be seen at http://john.curtin.edu.au/era/index.html
Digital Theses Curtin is a foundation member of the ADT and current digital theses can be seen at
http://lisweb.curtin.edu.au/theses/ These theses are conversions from Word into PDF. A project to retrospectively convert
paper copies of theses by scanning is being scoped out over the next few months. This project uses DC Metadata. Information

Exam Papers We also scans paper copies of past exam papers into PDF (4000+ digital files). Some initial work was outsourced
but in recent years the scanning has been done inhouse.

1. Exam papers, these are supplied to the Library on paper and scanned to produce PDF files, these documents are published
on our webpage and this is now the only means by which recent past exam papers are made available to the students. This task
is done in house and is now a routine operation with a five year history. We are not using any metadata. The contact person is

2. Black and White photographs and other pictorial material from the Evatt Collection. These will be stored on a 'Photoshop'
CD. With the photographs initial transfer to slides is done in-house and further processing is done by a bureau. This is being
done as a project and it is in early stage. The use of metadata will be considered when the project has advanced to an

Digitisation of Course Readings and Supporting Materials:
The Division of Information Services has seconded one of the staff from GFLS (Griffith Flexible Learning Services) to
investigate the implications of the new CAL agreement on behalf of the university. This person will investigate and make
recommendations on policies and practices in relation to the digitisation of course readings and other support materials in the
context of both the CAL agreement and electronic products which have been purchased by the University Library. The
investigation will cover such issues as: what will be copied, under what conditions and by whom; where will e-document files
be stored; how will the file repositories be managed; how will records and statistics be kept: who will be responsible for this
activity; how will e-documents be integrated into teaching and learning product, etc.

The Library receives exam papers from Examinations Section in digital form and loads them onto its Web page. They are
accessible in PDF format. The E-Reserve collection comprises QUT copyright owned material eg lecture notes, powerpoint
presentations etc. The lecturers email them to the Library as attachments,. The Library converts them to PDF,. and gives a file
name. The files (original and PDF) are loaded onto the LIbrary server , a document record created using Access. The
documents are then accessible from the Library's Web page area marked E Reserve. Contact Carolyn Young email:

RMIT exam, course notes and corporate academic material
Most library digitization occurs as part of our E-Reserve project comprising exams, course notes and course related
documents. Documents are either scanned by the library or received in electronic format and loaded on a library server.
Material is accessed via the web catalogue and no metadata is added as yet, although the library is examining establishing a
position to encourage the coordination and use of metadata across the University. (Contact: adrian.gallagher@rmit.edu.au 03

Video and images
The library has contributed to a range of University projects examining the creation and delivery (streaming) of digital video.

The library also contributes to the development of a faculty-based pilot Media Assets Management System (MAMS) aimed at

We have used PDF for exam papers (created from original Word docs), and also for a pilot project digitising items from
special collections (using Ariel to scan the original, then converting Ariel output to PDF).
The exam papers was a special project. Alternative means are being explored. Special collections digitisation is also a special
project, ongoing.
We are still exploring the use of Dublin Core metadata.

Metadata all UNSW library pages have DC metadata embedded as standard practice. Staff creating web pages use a locally
designed template based on DSTC's reggie metadata editor. ADT theses have metadata generated automatically from deposit
submission form.
Guidelines...within copyright. We do not scan academics materials without permission. Permission obtained on thesis before
scanning. For ill reserve hard copies kept as well as scanned version if e version (e journals) is available in Collection we do
not scan

The Library scanned past examination papers as a one off project and converted them into pdf in 1999. They are available on
the Library’s website and are accessible from library workstations only. The conversion was done in-house.
The Library is a partner in the ADT Project. We converted several PhD and Research Masters theses from both paper and
electronic format into pdf using Acrobat distiller software. In some cases, photographs and colour maps had to be scanned
manually.
There are 8 UQ theses on the ADT site at present and there are about 20 others in the pipeline. They should be availableon
both the UQ ADT site and on the national ADT site in a few weeks time. The URL for the UQ ADT site is:

As part of the ADT project, we have sent 5 UQ theses (in paper format) to Melbourne University for conversion. Melbourne
University acquired a Minolta scanner (funded by the project) to assist participating universities with scanning.
Two major slide collections held in Fryer Library have been digitised. These are Alcock Collection and Hume Collection.
Alcock Collection is available on the Web as thumbnail images. Hume Collection will be available soon. 1000 architecture
slides were converted and are available on the Web at:

We will be doing a pilot to digitise 40 soil slides in the near future for the Land and Food Studies Department who own 10,000
soil slides. We are working with the subject experts to develop a metadata schema.
We are working on a project to digitise some archival film footage (16mm film) belonging to the University’s archives in
order to preserve them and to provide better access.
We are also involved in a project to digitise archival audio recordings which are oral history interviews with past professors
of the University. We are using MP3 technology for the conversion.
Finally, the Library is working with DSTC on a project to make over 70 oral history recordings on Women and Labour
(From Boardroom to Lunchroom) available on the Web. This is a project of Dr Jane Hunter at DSTC. This project is using
Dublin Core metadata.

UWS digitises examination papers provided in paper format.
We scan and make these available in PDF format. We are
*attempting* (with little success) to access electronic versions of the papers. The work is undertaken 'in-library'. We hope
(next year?) to take full advantage of Endeavor's multi-media capacities and make available a much greater range of digitised
material. We have no policy, as yet but do have procedures..
