Present: David Baynes, Chairman; John Proctor, Secretary; Anne Hayward, Treasurer; Alan Power, Programme Secretary; Aggie O’Hara, John Owston and Eveleen Rooney. Apologies: Vicky Robertson Items for discussion: The National Committee – The Chairman. Minutes of the last meeting: The minutes of the 12th September 2012 meeting, which had been sent out in advance were corrected, confirmed and signed. ISG (SE) NEWS 3 Matters arising: The composite mailing list; Alan asked who would do it? He said it was on Excel. Anne said she would think about it. Correspondence: None noted. Financial Report: The Treasurer reported £1189 in the current account. However this was not as good as it sounded since CILIP was owed £750 and £132 for courses expenses. Anne was still continuing her efforts to get our banking arrangements sorted out. Some thought it was a pity we were not still with Nat West especially as we were being charged for services. With regard to Westminster, they claimed that they had paid into the old Nat West account now closed. They agreed to scan their accounts to check. The Chairman expressed the Committee’s sympathy for the Treasurer’s woes. Alan said he was sympathetic since he had had similar problems. Visits Programme: Anne spoke of the visit to St George’s Chapel Archive Windsor on 30th October. 33 went including one from Bristol. They were checked out by the police and later split into three groups to be taken round and shown archives of the Order of the Garter. It was all very organized, it seems people will pay if the visit is worthwhile. Laura Steel wrote to say she had looked up the visit and paid but had the wrong date. Alan said his covering letter gave the right one. Anne said we should not refund the £10, which she had asked because four others could not make it either. The Secretary disagreed, he thought the money should be refunded as a matter of goodwill. The Chairman asked if he wished to make a formal proposal and Aggie seconded the motion – “That the £10 should be refunded”. After discussion, the motion was put with three in favour, three against and one abstention. The motion was therefore lost. John Owston spoke of the visit to the London Library – 15 went. Jennifer Bligh (Head of Managerment) showed them round. They saw the stacks and reading room. The Library has its own classification scheme. It went off very well. Among those attending were the Archivist and Librarian of the Athenaeum. The Chairman thanked Anne & John. Next Year’s programme – London Library again on Monday 4th February. British Film Institute on Monday 11th March – places for 20 for the tour. Alan said that he had met the Assistant Curator of the National Trust whilst on a course and as a result had been able to arrange a visit to Ham House. It would be a group visit at the normal charge, but Mark Purcell (the Trust Librarian) would be on hand to devote special time to Trust Libraries. This would be in April or May. Canada Water Library plus Dalston Library on a day in late March with Dalston at 2 p.m. There were places for lunch nearby. Both sites close on the Jubilee Line. Further visits planned – Eveleen was looking into Clapham Library. Alan said he would be considering the House of Commons Library, Dr Williams Library and the Wiener Library at 29 Russell Square (Study of the Holocaust and Genocide). The arrangements for the National Trust visit to Ham House which had to be paid for would be the same as that for St George’s Chapel Archive. ISG (SE) NEWS 4 December half day courses – Tuesday 4th “A Really Useful Half Day”: The course had had to be cancelled since Abbey’s programme was not suitable and too short. The new version may lack information on the original and had been revamped recently. Abbey intended to talk about the new version which did not seem enough. It sent users to different sites but was easy to operate. It did not seem to be worth the time, and Abbey thought an hour would be enough since it had simple signposting and links. After discussion it was suggested that a short afternoon meeting combined with the Annual General Meeting would be the best way forward, perhaps the 2nd week of April using Charter Room East: Programme 1.00 p.m. - Refreshments – Sandwiches + fruit juice 1.30 p.m. – Annual General Meeting and explain the programme 2.00 p.m. – Abbey on www.direct.gov.uk and questions Committee meeting to be in March. 2013 Programme : Eveleen to do the ONS on 5th February 2013 and take the bookings. The charge was to be £25. The maximum number was 26 with 16 using their own laptops. Publicity through the usual channels. Anne would do www.legislation.gov.uk with the same arrangements and charge. The afternoon on the Parliament website on the 5th June the same. A visit to the House of Commons Library later in the month. Meetings, News and “Refer”: John Owston presented a report on the recent National Committee meeting – a copy of which is filed with the minutes. The main item of interest was a suggestion that our Section should throw open our visits to other ISG members. However we already have no restrictions on who may come, operating a “first come” arrangement. The Chairman asked the Secretary to respond in a suitable manner. Visits were publicised through our Bulletin and mailing lists. Peter Chapman asked for advanced notice which could be put into “Refer”. With regard to Refer , under 50% get it online and only 25 buy the hard copy. Alan reported that he had been on an East Anglia Section course on “Information integrity on a decreasing budget”. There was however a lot about volunteers. Any other business: Peter Collins sent a message via Eveleen about courses and how he knew nothing about putting them on. The Chairman suggested that the Secretary might produce a guide and he said he would. There being no further business, the meeting was closed at 4.15 p.m. Websites you may have missed It was suggested by a Committee member that a new feature is introduced to the newsletter and came up with the title suggested above based on a similar feature in the Information Services Group journal “Refer” concerning reference books. ISG (SE) NEWS 5 There is no column this issue but hopefully there will be a column in the next isuue. Vicky Robertson April 2013 Meet the Committee A new column for the newsletter is “Meet the Committee” where you get the opportunity to find out about the ISG London and South East Section Committee members. There is no column this issue unfortunately but hopefully there will be a column in the next issue. Where are they now? It was suggested by a Committee member that we have a column whereby we find out what has happened to ex-members of the ISG London and South East Section Committee. The first person we initially were going to feature was Margaret Mitchell who worked at Kingston Library but unfortunately I have never received any response from her. If anyone from the Information Services Group is still in contact with her, please let me know. There is no column this issue unfortunately but hopefully there will be a column in the next issue. If you would like to find out what happened to an ex-member of the ISG London and South East Section Committee or are an ex-member and want to let us know what you have been up to since leaving the Committee, please e-mail me at v.robertson@ucl.ac.uk ISG (SE) NEWS 6 ISG is now on Twitter – follow the Group at http://twitter.com/ISGCILIP ISG (SE) NEWS 7 ISG (SE) NEWS 8 ISG (SE) NEWS 9
