How to create a Single Historical Report Card Grade Entry Follow the instructions below to manually create historical grade entries to appear on student report cards. Creating a Single Historical Grade Entry following the instructions below cause the grade to appear on student’s current year report cards for an active section where a current enrollment record exists (store codes Q1, Q2, Q3, Q4) or transcripts for current or prior year course enrollment (store code Y1). Entering grades using Multiple Historical Grade Entry WILL NOT DISPLAY THOSE GRADES ON REPORT CARDS – Multiple entry should be used for Transcript information ONLY. 1. 2. 3. 4. Select the student from the Start Page. Select “Historical Grades” link from the left side menu under “Academics” Select “Single New Entry”. Complete field values as listed below which relate to the single historical grade you are manually entering: School Name School Year Historical Grade Level Store Code Course Number – Section Number Course Name Teacher Name Grade GPA points* Added value Percent Citizenship Earned credit hours Potential credit hours** Your school name is the default. Enter a four-digit number in the "School year" field that indicates the year that the school year began. Use the first of the two calendar years, such as 2012 for the 2012-2013 school year. Enter the current grade level of the student you will be entering the grade for. Enter the store code that your school uses for the term in which the student earned the grade. Y1 is used to store end of year current grades, which will print on end of year report cards and transcripts. (Report Card Quarter grades use Q1, Q2, Q3, Q4) Enter the course number and section number (from your current master schedule). The grade you enter appears on report cards for this student. If you enter a course number and course name but no current section where the student is enrolled, the grade appears only on the student’s transcripts (not on current year report cards). Enter the Course Name as it exists in the CTHSS course catalog. Enter the name of the teacher who taught the class (Last name, First name). Enter the numeric grade the student earned. Enter the GPA points that correspond to the numeric grade the student earned (refer to the chart on Page 2 for valid values). Enter the added value associated to the specific course. Enter: 1 for regular track courses 1.15 for Honors track courses 1.3 for AP track courses Enter the percent grade the student earned (not over 100%) Do not enter Citizenship info Enter the total number of credit hours the student earned for passing the course. No credit is awarded until course completion. Enter the total number of credit hours the student could have earned in the course. Refer to chart below. Note: If awarding Earned Credit greater than zero, the Potential Credit must be the same value. The Potential credit must be posted for the grade to be used in the GPA calculation. The other common reason for earned credit to be 0 and potential credit to be >0, is when the grade the student earned is a failing grade, which would not earn credit. 1 Credit Type Exclude from GPA Exclude from class rank Exclude from honor roll Teacher comment At this point, we are not using this field.
