Code Adam Emergency Procedures Page 7 Page 18 Confidentiality Contacting the First Aid Team - x655 For any first aid needs, a CM team member may ask you to call the First Aid Team at extension 655. Please give clear instructions as to the location of the emergency. The First Aid team will either come to that location, or ask you to have classroom team member bring the child to them, depending on the nature of the injury. Calling 911. You must call 911 directly if a child or adult: Is Unresponsive Is Not breathing Has no pulse Is having a seizure After you have called 911, call the First Aid Team at extension 655 so that they can come and assist until the emergency team has arrived. Incident Reports An incident report must be completed any time an injury occurs. Completed reports must be turned in to CM Office (place in red file) and will be kept on file. Blank incident reports are found In the bottom drawer to the left of the front corner cupboard. In Case of Emergency We have specific evacuation routes and staging areas which are displayed on hallway walls. Pease become familiar with the exit route for your location & emergency card found in desk, and use the following guidelines in case of an emergency. Any team member who is authorized to work at a Checkpoint may on occasion see or hear information which is confidential. You may not discuss this information with anyone other than a director, pastor or agelevel coordinator. Under NO circumstances should you discuss or share confidential material while in the presence of unauthorized persons. Only a director or pastor may decide to give out information and to whom it may be disclosed. If you feel you are unable to accept this responsibility of confidentiality, please talk about it with your appropriate director. PROTECTION OF INFORMATION & MATERIALS Because of our commitment to confidentiality we need to restrict access to our Guest, Worker, and Parent information and badges. The following rules must be strictly adhered to: If you are alone at checkpoint and someone needs to be escorted, please call or page CM staff. Sunday AM page a director. Tuesday AM call CM office at extension 278. Wednesday PM call CM office or page director. If you must leave your checkpoint area, please put away ALL items (no materials, paperwork, etc) and lock up the desk. At the end of your shift please be sure that desk drawers and doors are locked and keys are returned to CMC. Fire Alarms will sound (find emergency card in desk) 2nd Grade Checkpoint take elevator key (attached to card) and turn keypad (located to the right of elevator door) to “OFF” - brings the elevator to its standby position on 2nd floor THE ELEVATOR IS THEN ONLY TO BE USED BY FIREMEN Assist teachers in getting children out of building - quickly & quietly * Hold doors * Check classrooms and bathrooms to make sure no one is left inside, unlocking classroom and hallway doors on your way out. * Lock desk and take keys and evacuation card with you To exit building, use doors assigned in evacuation plan on card Go to the designated area that corresponds to your interior location Give your evacuation card & keys to a CM staff member when they come to collect them. Opening and Closing Hallway Page 8 Checkpoint doors should be locked at ALL TIMES 9:15 HOUR SERVICE Parent Paging 8:45 AM pick up keys from CMC and proceed to your assigned checkpoint. PLEASE BE ON TIME 9:00 AM Open classroom hallways. Doors should be locked— open * Before opening a hallway check with Director/Coordinator to be sure staffing is in place. * Students and parents may wait outside the double doors, until staff is ready, if they arrive early. * Any staff, after showing their staff ID, may enter the hallways before 9:00. If you should need to leave your checkpoint area for any reason, be sure the hallway doors are LOCKED and closed. If your checkpoint is open during the second hour, please wait for your replacement to arrive and hand off the keys to them. Please do not leave the keys unattended on or in the desk. If your checkpoint replacement does not arrive, call CMC to find out what to do or if your checkpoint is not open during the second hour, lock your desk and hallway doors and return your keys to CMC. 11:00 HOUR SERVICE Misc. Procedures Page 17 If a classroom teacher/helper asks you to have a parent paged ~ Before calling CMC extension 248, collect the following information to give to the CMC worker before the page will be issued. Family Name to Page Family # or # to page Child’s Class Location of Parent (from sign in sheet) When parent arrives at checkpoint, please ask if they have first reported to CMC in order for their number to be removed from the page. If they have not, call CMC and let them know that the parent has responded to the page and their number can be removed. Possible Assistance for EC Classroom Help with bathroom duty: * No teacher can go into a stall to assist a child unless another worker is within sight of that stall. > If a child requires the teacher to physically assist them in the bathroom, you will be asked to stand in the open door so that you can observe (hear) any interaction between the adult and the child. This procedure is as much for the protection of the worker as the child. > If you are male, you may be asked to step into the men’s room to check on a child. If the child needs assistance in the stall, return and get another male to assist you by standing in the open doorway. Again this protects the worker and the child When in doubt about any situation, call the Director. To page the director, dial CMC at extension 247/248 and ask them to page the EC Director. If the EC Director is not on the premises, another authorized person will be paged to assist you. 10:45 AM Go to your assigned checkpoint and relieve the 9:15 volunteer. PLEASE BE PROMPT Additional serving jobs while at checkpoint If no one is at your checkpoint and there are no keys, go to CMC to get your keys. Learning Center Prep Cutting, Sorting, Assembly of materials for learning centers If you are unable to do this please let CM staff know. 12:30 PM Shut hallway doors and make sure they are locked. Please walk through hallway and check classroom to see if they are empty. Return keys to CMC. DO NOT leave keys on/in the desk. Checkpoints with Unique Responsibilities Page 16 Nursery Checkpoint Check the classrooms to make sure each has the appropriate child/ caregiver ratio. If necessary, ask caregivers to switch rooms and/or move children to allow for the correct ratio. Check to make sure relief staff have arrived by the appropriate time Take attendance on purple card and the quarterly attendance sheets at 10 & 11:30 Help calm crying babies, pushing them in strollers. If child has been crying continuously for 15 mins. A caregiver may ask you to call for a parent. (follow parent paging procedures) At the end of the service, make sure all children have been pick up Turn off lights and lock doors. Gym Side Checkpoint After 11:45 am Sunday mornings 2nd hour staff collects the offering from the Early Childhood envelopes including Pre K and Kindergarten. Use the blue bank bag (found in desk drawer) to collect the money and take to Usher’s closet to deposit. Go to each classroom and remove the clear offering envelope from the plastic file holders outside classroom doors Empty money into bank bag. Replace classroom envelopes clipped to the holder outside the classrooms. Page 9 Checkpoint Procedures Overview Remember, YOU are the physical representation of Christ. Greet Calvary families and guest families as HE would greet them. Arrive on time Wear your Children’s Ministries staff ID badge Smile Treat everyone with respect Greet People warmly Say, “Thank you” after someone shows you their ID card Be sure the photo on the card matches the person who is carrying it Make sure every adult who enters your hallway has one the five (5) types of approved identification Graciously direct anyone without proper ID to CMC, when two people are at checkpoint, walk guests to CMC personally. Patience, Patience, Patience! Escort families to classrooms in your hallway if CMC staff needs you to do this. If you should have to leave your location and there is no one serving with you, LOCK THE DOORS before leaving. Bring a Bible study, crossword puzzle, or a good book to occupy your time while classes are in session Children’s Ministries often has projects you can help with during class time. Hallway doors may be propped open while checkpoint is occupied however be sure the doors are LOCKED. “THE BIG FIVE” Page 10 Page 15 Checkpoints with Unique Responsibilities THE FOLLOWING ARE THE ONLY APPROVED FORMS OF IDENTIFICATION: 1. 2. 3. Children’s Ministries Parent Photo ID This is issued to families that have requested to be entered into our children’s database. Each Parent will have a separate photo ID card Teens that are designated to pick up children will have their individual photo ID Grandparents and other family members who regularly pick up children will have Children’s Ministries photo ID card with the family number and their photo on it. Temporary Parent ID This is a bright blue laminated badge assigned to a parent who has forgotten his/her regular photo ID. Children’s Ministries Staff ID This is printed on white glossy cardstock, it contains the CM logo, photo and the staff person’s name. Calvary Church Staff Picture ID is issued to Church staff person nel and contains the Calvary Church logo, name, and depart ment and photo on the reverse side. ALL MINISTRY STAFF MUST SHOW ID First Aid Team is issued a Children’s Ministries ID with the Red Cross logo on it 4. Temporary Staff ID This is a bright yellow laminated badge assigned to a worker who had forgotten his/her regular photo ID 5. Guest Badge ID This is a badge assigned to a guest family when they register their children at CMC. Parent and child receive a badge with a guest number on it. The numbers on the parent and child badges MUST match. Any additional adult family members without proper identification will have to wait outside the hallway for the parents to drop off their child and return. Children (siblings) may go in Children in grades 2 and lower arriving at the checkpoint without their parents will have to wait at the checkpoint for their parents to arrive before entrance to the hallways/ classrooms. 2nd Grade Subsequent Visits If guest indicates they have been here more than once but is not a registered family—ask for last name of child (ren). Call CMC extension 248 and ask for their registration card to be pulled. While waiting for CMC staff begin the name tags, and guest tags. Ask CMC staff to verify on registration card which classrooms child should be in. Ask CMC staffer to enter today’s date and guest badge number on registration card and the location of parents for each hour. When phone call is complete and everyone has appropriate badges and name tags escort parents and child (ren) to the classrooms. At the classroom follow the instruction for 1st time guests. 2nd Grade Temporary Parent/Worker Badges This checkpoint is also stocked with temporary ID badges. If a parent or worker need a temporary badge at the discretion of the checkpoint worker they can issue a temporary badge. Call CMC at extension 248 and ask the CMC worker to check the roaster/worker list for the parent or worker and add to the list. 6th Grade Checkpoint doors open @ 8:45 am This checkpoint is located in the area occupied by Calvary 56 The checkpoint staff opens door for students who leave the classroom to use the restrooms. As long as there is a checkpoint person present the doors may remain open but locked and doorway is monitored. This 6th grade hallway doors are opened at 8:45 am therefore this checkpoint needs to be manned by that time. 5th Grade Checkpoint doors open at 8:45 am If the 6th grade checkpoint is not staffed then once class has started the 5th grade checkpoint will lock the doors at 5th grade move to the 6th grade location. (20 minutes after class starts) At the 6th grade door, monitor as students leave to use the restrooms. Checkpoints with Unique Responsibilities Page 14 Page 11 2nd Grade Checkpoint The checkpoint staff at this station can register new families. This service is provided as a convenience for new families that have entered the building via the playground or CPS entrance. This is a rare occurrence however checkpoint staff need to be prepared. 2nd grade checkpoint is supplied with Guest registration forms, guest badges, sticky name tags, pens and sharpies in order to complete the registration process. When 1st time guest arrive at 2nd grade checkpoint - greet them warmly. Give them a registration form to complete and briefly explain it to them. They are to fill out side A. While they are filling out the form - pull out a Ziploc bag with guest badges. Give a Parent badge to each of the parents and a child badge for each child. Make a sticky name tag for each child with name, class, and guest number on it Nursery age children - name tag goes on back, other children can be on front. When registration form is returned make sure it is complete. Don’t be afraid to ask for clarification if necessary. Using birth date and class list (located in file folder in desk drawer) find appropriate classroom and note that on registration card as well as name tag Inform parents of CMC on 300 level and explain that on subsequent visits they will need to stop there first before proceeding on to classrooms ( see below for subsequent visits) One checkpoint staff will escort the guest to the classroom and introduce them to the teacher and/or assistant. Nursery and EC children, the parents will need to fill out the sign in sheet. When the last child is taken care of, inquire where the parents will be each hour. Escort them to the sanctuary, Welcome desk, ABF class. Never leave a guest alone to find their way around our building. If parents indicate they are familiar with the building you may let them go it alone. When everyone is escorted to where they need to be, return to your checkpoint Procedures Arrive on Time Remember you need to pick up your keys before you head for your checkpoint assignment. Factor in this time. If you want to get coffee please factor in that time as well so that you still arrive at the checkpoint desk on time. Use the time before opening the hallway doors to go over any notes, hand-outs, or instructions for you in the desk. Pray for those who will be coming through your doors. Begin smiling! Greet all parents and children with a warm smile and a cheerful “Good Morning”. Stand by the door and graciously open it for parents and children as they approach the doorway. Be sure to say “ Thank You” after a parent, worker, or guest has shown you his/her identification. For every adult that enters the hallway you keep secure, you must see one of the five forms of approved identification. 1. Parent Photo ID 2. Temporary Parent ID 3. Children’s Ministries Staff ID 4. Temporary Staff ID 5. Guest ID If an adult does not have the proper identification, please gracefully direct them to CMC, or if there are two people at checkpoint, one of you walk them up to CMC. Nursery and Early Childhood hallways (including 1st & 2nd grades) a parent/guardian with proper identification must accompany their child or children to their appropriate classroom (s) and complete the sign-in sheet. Elementary hallways (grades 3-6) a parent/guardian does not have to but may choose to accompany their 3rd—6th grade child to class. If they choose to go into the Elementary hallways they must have appropriate identification. * Children may enter the age appropriate hallways without having any identification * Elementary children may not into Early Childhood hallways unless they are meeting a parent/worker in that hallway. Ask questions of child as to destination and/or reason for wanting entrance. * Students from Student Ministries must have proper identification to enter the Children’s Ministries hallways when classes are in session. * Students may NOT use hallways as a short cut to Student Ministries areas. Procedures Page 12 Page 13 Procedures Checkpoint Interactions Guests Families Parent with valid ID (Photo or Temporary) - thank them and allow them to enter hallways Parent WITHOUT valid ID - politely prevent them from entering hallway. * Ask if parent is a guest at Calvary or just forgotten ID card. * If parent has forgotten ID graciously direct them to CMC for a temporary ID Parents who are guest - please greet them warmly and express that we are glad to have them visiting with us * Please explain the security we have in our hallways and the necessity to go and register their child (ren) at CMC Guest Parents without Guest Badges * If more than one staffer is at checkpoint, one of you escort them to CMC to begin the registration process. * If you are able to escort the visiting family, find out why they are visiting - visiting the area/family, vacationing, new to the area… * Return to your checkpoint as soon as you have connected the famiily with a CMC staffer. If you are the only one staffing your checkpoint * Look around and find a Calvary Church person who you are familiar with and ask if they can escort them to CMC * Call CMC to send someone to pick them up or bring necessary items to register there. If all else fails give, as precise as possible, directions to CMC Workers Anyone working in the classrooms must show a Children’s Ministries staff ID before entrance to the CM hallways. Workers with valid ID (Photo or Temporary) - thank them and allow them to enter hallways If worker had forgotten staff ID politely ask them to go to CMC and obtain a temporary ID badge before allowing them to enter hallways. Guest with proper ID (Calvary Church guest badge) may be escorted by CMC staff. First time visitors are ALWAYS escorted to classrooms. Guest who have visited 2 or more times may be familiar enough to get to the classrooms on their own, If CMC is busy or understaffed, you may be asked to escort a family from your checkpoint to a classroom in your hallway. Please be open to helping in this way as long as there are two at your checkpoint. * Escort the family to the classroom assigned by CMC. The CMC staffer will introduce you to the visitors so that you in turn can introduce them to the classroom staff. * While walking family to classroom convey to the child and parent about how they will meet new friends, learn about God and have fun too. At the classroom: * For EC - Have Parent fill in sign in sheet, indicating where their location will be while child is in class. Reinforce with them the paging procedure. Then introduce them to the teacher or helper. * For Grades 1-2 - Escort to the Grade level check in desk and introduce the child to the assistant there. Wait with family until the Barnabas Kid has arrived . Let parent know they need to return to pick up the child. If unsure they can ask for direction at any checkpoint. * For Grades 3-6 - Ask parent if they want to accompany child to class. Escort student (and parent, if they choose) to his/her classroom. Introduce child to assistant there. Inquire about a Barnabas Kid to introduce guest child to class. When parent is satisfied that their child is happily situated, escort them back to checkpoint. If necessary offer to escort to sanctuary, Welcome desk for ABF info, or directly to an ABF. Remind parents to deposit their guest badges in one of the available wooden boxes at any checkpoint or CMC when they have retrieved all of their children. If children are unhappy upon arrival at their classroom there are two options: 1. Parent can stay in classroom with child until all are comfortable with the situation 2. Parent can leave and if child remains unhappy for more than 10 minutes the parent will be paged via the box in sanctuary.
