Captain A Captain can log in to the administration system but can only carry out updates relating to league fixtures. Admin An Admin user can carry out most admin tasks with the exception of starting a new season, an admin user can update member details, but can’t update another admin user’s details or those of the super user. Super User The Super User can update any details and can also grant admin access or take admin access away from any member (by changing the access level to Member, which only allows a login to the main website). There must always be 1 super user The super user can upgrade an admin user to the super user, which would automatically downgrade the current super user to admin status Page 3 of 9 EWLTC Web Administration System Guide Members Maintain Member Details Provide Member Information Provide Financial Summaries Send Mass Emails to All or Groups of Members Send Annual Welcome Email to All Members Member Types Maintain Types of Member and Associated Fee This section also allows membership application forms to be updated in PDF format only (i.e. word documents are not accepted, these can be converted to PDF at http://convert.neevia.com/pdfconvert/ ) Club News Add/Amend Club News Items League Maintain Leagues, Teams, Opponents, Fixtures and Results Items should be approached in the above order at the start of each season. Tournaments Maintain Annual Tournament Result Information, including Tournament Presentation Evening details Events An event is any club event which members are required to sign-up for, creating an event allows members to sign-up for that event online. An event consists of a date and a description, to see who has registered for an event, go to the See Registrations section. Links Maintain links to external websites on the website links page New Season Used to reset details at the start of a new season ** Currently only accessible to the Super User ** Note A number of items in the admin system require image(s) to be uploaded, it is advisable to locate and save the necessary images prior to attempting an update. Images must be in jpg or gif format, and ideally should be close to a 4:3 aspect ratio, eg. sizes 200 x 150, 400 x 300, 1200 x 900 are all 4:3 Page 4 of 9 EWLTC Web Administration System Guide Adding Member Details When adding members the following should be carried out. D.O.B need only be entered for Junior Members When adding a Family, set one of the Adults as type ‘Family’ and the other persons as type ‘FamilyMember’ (This is to ensure the financial data in the system remains accurate as FamilyMember will have the annual fee set as 0) When an email address is entered, the system will automatically email website login details to the member who was added. Publish On Web – Ticking this box will make a members name, telephone no. and email address visible to members who are logged in to the club website. Any member’s login access can be suspended through the Edit Members section. Page 5 of 9 EWLTC Web Administration System Guide Updating the Calendar The calendar makes use of the google calendar tool and is a separate login from the main administration system (see page 2). Adding an item to the calendar Select the required date Click on the appropriate time Enter a title for the event and click Create Event The item will now be added More details can be entered by double clicking on the new event, which will allow you to: Specify the Start/End Time Specify if the event is a repeating one (Weekly, Daily etc.) Repeating events can have an end date or you can leave them open ended When adding a new event, reminder options are automatically set, these should be removed when adding an event. If these are not removed then an email will be sent at 10.30 on Sunday Morning to info@ewltc.co.uk, informing you of Men’s Match Practice, etc. Editing an item in the calendar Simply double click on an event and the details can be altered accordingly. Deleting an item in the calendar Simply double click on an event and you should see a delete button Page 6 of 9 EWLTC Web Administration System Guide General Advice When making alterations to the website contents, either via the admin system or the Google calendar login, the best way of ensuring if the change has been made correctly is to visit the main website and check the changes are as expected You can open two windows in Internet explorer, one for the calendar or admin system and a second to view the actual club website, remember you will have to click the refresh button changes take effect. on the club website or re-enter the page to see the Page 7 of 9 EWLTC Web Administration System Guide How Do I ?
