Mastering Word
(Project 5M–Scouting Trip continued)
1. Locate and open the document
w05M_Scouting Trip. Display formatting
marks, display the ruler, and be sure your
screen displays both the left and right
document edges. Save the file in your
Word Chapter 5 folder as 5M_Scouting_
Trip_Firstname_Lastname and add the file
name to the footer.
There are numerous acceptable memo formats. This format is an example from The
Gregg Reference Manual, Tenth Edition.
Always consult a trusted reference manual or business communication textbook
when formatting business documents.
2. Use the vertical scroll bar to examine the
document. Notice the potential spelling
and grammar errors that have been
flagged. Also notice that there is a heading—Atlanta Metropolitan Area—at the bottom of the first page that should be placed
at the top of the second page.
3. On the View tab, in the Window group,
click the Split button and drag the split
bar so it is in the middle of your screen.
Use the vertical scroll bars in the top and
bottom windows to display the Subject
line in the top window, and the last line of
the first page—Atlanta Metropolitan Area—
in the bottom window.
4. Position the insertion point at the end of
the Subject line and press J. Notice that
the Atlanta Metropolitan Area heading
moves to the top of the second page.
Scroll within the bottom window if necessary to view the top of page 2. Then, close
the split screen. As you progress in your
study of Microsoft Word, you will discover
other ways to manually end a page and
move text to the next page.
5. View the document in Full Screen
Reading view. Return to Print Layout
view and use the Zoom slider to display
two pages on the screen. Zoom back to a
comfortable document size.
6. In the first line of the memo, the word
Creative may be flagged as a potential
grammar error. If so, use the shortcut
menu to Ignore Once. In the FROM: line,
use the shortcut menu to ignore the
flagged word Ivanko.
7. Open the Spelling and Grammar dialog
box to check the remainder of the potential spelling and grammar errors. Although there are a number of uncommon
words and proper names that are flagged
because they are not in Word’s dictionary,
there are only two additional errors—the
misspelled word focuss and the grammar
error Videos has been. Correct these
errors, and ignore any other names,
words, or phrases that are flagged. Save
your work.
8. Move to the end of the document. Place
the insertion point at the end of the last
paragraph—the one beginning My next
trip—and then press J. From your student files, insert the w05M_Piano image.
9. Display your memo in Print Preview, and
then print or submit electronically as
directed by your instructor. Close the document and Exit Word.

Problem Solving
Project 5O — Press Release
In this project, you will construct a solution by applying any combination of
the skills you practiced from the Objectives in Projects 5A and 5B.
For Project 5O, you will need the following files:
New blank Word document
w05O_Music_Logo
You will save your document as
5O_Press_Release_Firstname_Lastname
In Project 5O, you will write a press release to announce the opening of an
East Coast location for Music School Records. The information for the press
release should be taken from the following information about the company:
Music School Records is located at 2620 Vine Street, Los Angeles, CA
90028, (323) 555-0028. The new office will be located in Manhattan at
250 5th Avenue #1460, New York, NY 10001, (212) 555-9124.
Music School Records is owned by Lucy Burroughs, who founded the
company in 1994. The company was created to launch young musical
artists with undiscovered talent in jazz, classical, and contemporary
music. The creative management team searches internationally for talented young people, and has a reputation for mentoring and developing
the skills of its artists. The company’s music is tailored to an audience
that is young, knowledgeable about music, and demands the highest
quality recordings. Music School Records releases are available in CD
format as well as digital downloads.
For artists who meet the company’s high standards, Music School Records
takes the core components of music and artist and creates a total marketable product. Marketing begins by identifying the unique qualities that
will make a particular artist and their repertoire appealing to a particular
audience. The marketing team then pinpoints the product’s selling features
and presents them to the industry and consumers. This helps differentiate
the product from the competition and portrays the personality of the artist.
A key aspect of music marketing in today’s marketplace is creating a
bond between artists and audiences. Every Music School Records artist
has a Web site, and the artists are encouraged to write their own articles
and use their own voice to create a Web presence that shows who they
are. Newsletters, email lists, blogs, ticket giveaways, downloads of new
releases, and exclusive news items are among the ways that an artist
can interact with their fans.

Problem Solving
(Project 5O–Press Release continued)
To complete this assignment:
• Insert a clip art image as the company logo at the top of the page.
Find one of your own, or use w05O_Music_Logo, which is included in
your student files.
• Add the contact information of the person writing the press release,
which should be in either the upper right or upper left corner of the
release. It should look similar to the address block you typed in
Project 5A, but with the addition of a telephone number. Use the
name of the owner and the address and telephone number from the
previous information.
• Add a For Immediate Release line before the body of the press release,
but lower on the page than the address block. Format the line so it
stands out from the rest of the text.
• Create an interesting title for the press release, and place it below the
For Immediate Release line.
• Use the preceding information to create a two- or three-paragraph
press release, with a space between each paragraph.
• Save the document to your Word Chapter 5 folder as 5O_Press_Release_
Firstname_Lastname and add the file name to the footer.
The press release should include the most important information first,
and should be simple and straightforward. For example, the information
about the new location should come in the first paragraph, and the general information about the company should be presented in the second
paragraph. A quote from the owners may make an interesting highlight
in the third paragraph—you will need to create an appropriate quote.

Project 5Q — Cover Letter
In this project, you will construct a solution by applying any combination of
the skills you practiced from the Objectives in Projects 5A and 5B.
For Project 5Q, you will need the following file:

One of the benefits of completing a higher education is access to better,
higher paying jobs. These jobs are competitive. When you inquire about
an interesting job, a good cover letter may make the difference between
getting an interview or having your application ignored.
In Project 5Q, you will compose a cover letter to be sent with your
resume to a job of your choice. There are many books and Web sites
available to guide you as you create an effective cover letter. Many of
these books and Web sites provide sample cover letters. To find the Web
sites, use Yahoo! or Google or one of the other search engines and type
effective cover letter in the search box. One good site is:
http://jobsearch.about.com/od/coverletters/.
Your cover letter should:
• Refer to an actual job you know (or have read ) about.
• Follow the letter format used in Project 5A.
• Consist of at least three paragraphs:
• An introductory paragraph explaining why you are writing
• One or more paragraphs about why your skills and experience fit
the job
• A concluding paragraph to sum up the letter and to thank the
company for any consideration given to your application
Your letter should not include all of the information you will include in
your resume, but should highlight some of your skills and/or experience
and describe what you have to offer to the company.
Save your document to your Word Chapter 5 folder as 5Q_Cover_Letter_
