JOB POSTING Position: Publishing Coordinator Range: $38,000 - $47,500 - $57,000 Department: Ivey Publishing Richard Ivey School of Business Foundation Reports to: Director, Ivey Publishing Ivey Publishing (www.iveycases.com) is a leader in the distribution of business case studies with a global perspective. With over 8,000 products in our collection, Ivey Publishing adds more than 300 classroom-tested cases to its collection each year. Primary Objective of Position: The Publishing Coordinator is responsible for publishing high quality cases, teaching notes, and supplemental materials which will include formatting and editing items according to standard guidelines provided. Provide excellent customer service to authors and case writers. Work with contracted editors in obtaining edited material in a timely and accurate fashion, and complete edits as approved by authors. Oversee permissions requests from other publishers and from authors. Key Results Areas: • • • • • • • • • • • • • • Publish new cases, teaching notes, and supplemental materials as requested by editors and authors, checking for compliance with current Ivey Publishing standard templates and guidelines, for copyright issues, and for reproduction quality. Conduct an initial appraisal of case submissions from authors and determine if they are in an acceptable condition for review. Complete case revisions as requested in a timely and accurate manner. Coordinate the submissions of authors and become the primary contact point for providing feedback as well as accepting and handling questions from authors. Scan and embed graphics as necessary to publish cases, teaching notes and supplemental materials. Ensure that cases and teaching notes bear the applicable standard Ivey copyright statement, and, if applicable, the accepted donor recognition statement and footnotes. Produce the final version of new and revised cases in appropriate formats. Ensure finished products are stored in appropriate directories and folders. Provide training and guidance on the use of the standard template to other staff members. Ensure records of case processing, including changes, are tracked on tracking sheets provided. Add new products to the database as requested by customer service/course materials coordinators. Order masters of cases, teaching notes, videos, etc. from suppliers as needed. Maintain database of new electronic masters created for course materials, and upload in a timely fashion. Work closely with Ivey faculty, their assistants, and case writers to ensure proper releases are obtained, and guidance is provided with regard to copyrighted references in cases, and that cases are registered by faculty in a timely fashion. Required Education, Experience, and Abilities: • • • • • • • • • • • • Undergraduate degree and two to three year’s related experience. Advanced computer skills in Microsoft products. Working knowledge of Adobe Acrobat. Aptitude and desire to learn other computer-related skills and software as required. Skillful in file and directory management. A high degree of attention to quality and detail. Excellent interpersonal skills to deal tactfully and effectively with faculty and staff. Work well under pressure and with high volume of material (many cases are time sensitive). Ability to prioritize work autonomously. Excellent oral and written communication skills to work effectively with non-Ivey authors (answering questions, composing correspondence, speaking with customers via telephone). Excellent knowledge of grammar, spelling and language rules Knowledge of copyright law is desirable.
