Thank you for being here!
You probably know the PTA puts on some fun student events throughout the year, including Harvest Dance,
Science Fair, movie nights, running club, and many more. Did you know PTA also supports every student and
staff by funding:




Mini-grants - In 2014 over $5600 was used to support literacy, handwriting, and student enrichment
experiences. One example is the 4th grade field trip to Tillicum Village, where students have an
opportunity to immerse themselves in our state’s history, culture, and coastal heritage.
Classroom Supplies - Teachers and staff members use these funds to purchase items they need for
their class – such as books, supplies, special materials, and more.
Professional Development - We provide funding for substitute teachers so that staff can attend
professional development opportunities, and learn new strategies for teaching our children.
Emergency Supplies - We supplement the purchase of classroom emergency preparedness supplies, to
ensure that our students are safe in the event of an emergency.
Here are examples of how Phantom Lake teachers have benefitted from funds raised through the generosity
of our community:
This year, my class, and all third graders, have benefitted greatly from generous PTA Grants. As a third
grade team, we had heard about a wonderful opportunity to tour Elliot Bay on an Argosy Cruise. We
thought, “This will tie in PERFECTLY with our social studies curriculum about global trade and the
economy!” The only problem was, it was pretty expensive. Because the PTA had the funds available to
help us out, our kids got a once in a lifetime experience at minimal cost to families. This is something
that would not have been possible otherwise. Kids need real life experiences from school and that’s just
one of many things that the PTA has helped us do this year. - Mrs. McGaffey (3rd grade, 2013-14)
I truly appreciate the PTA support I have received over the years! First and foremost, I use my PTA
teacher fund to supply my classroom with needed items every summer. I supplement our fifth grade
literature circle books yearly with this classroom fund as well. My classes have benefitted from PTA
funding for field trips and assemblies. And, I greatly appreciate PTA’s generous allotment for Safety
Patrol. I use the $750 yearly to update patrol supplies (helmets, vests, flags, cones, etc.) and to pay for
supplies for the patrol parties. I have also used PTA grant money for field trips, and for taking needed
time to plan with a new colleague - Mrs. Velling (5th grade, 2013-14)
Money raised tonight allows the PTA to continue the support and work to grow opportunities available for all
students to receive the best educational experience possible! We appreciate you being here!

EVENT DETAILS
REGISTRATION
Registration is super simple! You provide your basic contact information and we provide a bid number. Your
bid number is used for all bidding you wish to do throughout the night for silent and live items. Your bid
number will be used at the end of the night to calculate payment at checkout. Even if you do not think you will
bid, it’s great to get a number just in case. We have a lot of great deals and affordable ways to participate.
Your bid number makes it fast and easy!
CASHIER TABLE
Our cashiers are here to help! We are able to accept cash, checks (payable to Phantom Lake PTA), and credit
cards (Visa or MasterCard).
At the cashier table you can:
- Buy 50/50 Raffle Tickets ($10 each)
- Buy beer/wine tickets ($5 each)
- 5x7 event photo ($5 each)
- Buy wine toss tickets ($10 each)
- Pay for any auction purchases you won including Heads/Tails, Dessert Dash, Apple Cup Clash, Silent
Auction, and Live Auction items
DINNER & NON-ALCOHOLIC BEVERAGES
Thank you to Satavy Ear of Pink Delish Catering for tonight’s amazing food service. Use your blue wristband for
access to the dinner buffet (found in your registration envelope). Help yourself to the non-alcoholic beverages
available including coffee, tea, soda, water. Tonight’s menu features:

blue wristband (required for each person in photo), take unlimited photos all night! $5 per wristband,

50/50 RAFFLE DRAWING RULES
- Must be 18 years or older to purchase
- Must be present to win
- 50/50 Raffle: Only $10 each and you will have a chance to win half the pot in an auction gift card! So if
we sell $1000 worth of tickets, you could win $500 auction gift card!
- 50/50 Auction Gift Card must be used in full for purchases on 11/15/2014. Not redeemable for cash
HEADS OR TAILS: This is the best deal of the night! For only $10 you have a chance to win a great prize!
- Everyone who wants to participate will raise their bidder’s paddle and be charged $10. Only those who
pay may participate.
- You will designate “heads” by putting hands on your head, or “tails” by putting hands on hips
- Auctioneer will flip a coin for head’s or tails. If you guessed right, you stay in for next round. We keep
going until we have a winner who gets a fabulous prize!
APPLE CUP CLASH – HUSKIES VS COUGARS: Make a donation (of any amount) in the bucket of your favorite team.
Whichever “team” has the most donations will be announced the winner! The winning team’s flag will be on
display during morning broadcast for all of next week leading up to the big game!
2ND GRADE SNOW DAY (ITEM #3012): Make a donation (of any amount) so that 2nd grade will have a special snow
day this winter. Anyone can donate. Find the donation form on silent auction tables. If donations reach $300,
all 2nd graders will have a very special day!
WINE TOSS: For $10 you get 2 tries to ring a bottle of wine! If you ring a bottle, you get to take it right then and
there! Requires (2) tickets

AUCTION RULES
1. Each person will receive a bid number at registration. To bid in the silent auction, write your bid
number on the silent bid form. To bid in the live auction, Heads/Tails, and other live events, hold
your bid paddle high and wait for auctioneer acknowledgement.
2. Bidders must be 18 years old and over.
3. Silent auction items:
a. The opening bid and minimum raise has been predetermined and listed on each bid sheet. To
bid on an item, write your bid number in the space provided next to the amount you wish to
bid. Please write legibly and double check you write your information accurate.
b. Minimum bids are listed on the bid sheets, but bids do not have to be bid in sequence – you can
jump forward to a higher bid.
c. Win It Now option: A maximum guaranteed bid is stated on most bid sheets. By signing your bid
number in this box, the bidding closes and the item is yours (after checkout). Note some items
have open bidding with no max bidding amount.
d. When silent auction bidding is closed, all bidding ceases. The closing bid circled by an Auction
Official constitutes the winning bid. In the event of a dispute, the Auction Chair shall act as final
authority.
e. Each new bid must equal or exceed the required increments as shown on the bid sheet. If any
entry is not legible, the next legible entry will be used.
4. When placing a bid, doing so constitutes a legal contract to purchase that silent auction item at the
price you stated if your bid is the winning bid. The last (highest) valid and legible bid entered prior to
closing will be the winning bid.
5. The Phantom Lake PTA Auction Committee has attempted to describe and catalog all items correctly,
but all items are offered “as is, where is.” The Phantom Lake PTA neither warrants nor represents, and
in no event shall be responsible for, the correctness of descriptions, genuineness, authorship,
provenance, or condition of items. No statement made in this catalog or made orally at the auction or
elsewhere shall be deemed such as a warranty or representation, or assumption of liability. The values
listed are only estimates and are not warranted for tax purposes or fair market value. Items have not
been appraised unless so noted.
6. Please read all conditions for the gift certificates and services carefully. Except where the donor has
specified an expiration date, the purchases items must be used by a mutually agreed upon date. It is
the responsibility of the purchaser to make arrangements for use and/or delivery of the item or service
they purchase. Gift certificates are not redeemable for cash and often cannot be combined with other
discounts.
7. The Auction Committee reserves the right to withdraw any item at any time without notice before the
actual sale.
8. Each bidder agrees to hold harmless from any liability the Phantom Lake PTA, Phantom Lake
Elementary School, their elected and appointed officials, members and employees, and/or volunteers
associated with the auction.
9. Payment in full is mandatory the night of the auction. It is the responsibility of the purchaser to pay for
and take his/her winning items by the end of the auction.

10. All sales are final, no exchanges or refunds will be made.
11. Displays and presentation are for illustrative purposes only and may not be the actual auction item.
12. Fixed-bid, multiple winners: You will see some of the bid forms are not like the rest! These items are
for special events, where there is a fixed price, and each person that “bids” is a winner for that price! If
you want more than one spot for the event, you simply write your information on multiple rows and
you will pay for each spot.
CHECKOUT PROCESS
You may check out at the cashier at any time. Please note that if you checkout before all auction items are
complete and still have outstanding bids, you will need to checkout again before leaving the event. Checkout
will take place at the cashier table and we can accept cash, checks (payable to Phantom Lake PTA) or credit
cards (Visa/MasterCard).
Checkout will take place by your bid number. Please provide cashier with your bid number at checkout.
GENERAL DONATIONS
Cash, checks and credit cards are accepted and donations can be made at any time during the event from 5pm
to 10pm. All donations are 100% tax deductible too! Donations can be made at cashier table near main
entrance.
