JAC Position Descriptions for 2016-17 Season POSITION JAC Coordinator Executive JAC Vice Coordinator Executive Secretary-Minutes Executive Treasurer Executive Registrar Executive Attendance/Carnival Recorder DESCRIPTION Oversees the running for the Junior Club Chairs CHSLSC JAC meetings Attends Branch meetings alternating with Vice-President. Represents or nominates representative on CHSLSC Limited Board of Directors. Assists the President Attends Branch meetings per alternating cycle. Fills in and undertakes President duties when President unavailable. ESTIMATED HOURS REQUIRED Attendance required at all meetings EQUIPMENT REQUIRED Attendance required at all committee meetings. Records and distributes minutes/agendas for Club JAC meetings. Collects mail. Replies and sends outgoing correspondence. Check Club emails Newsletter Oversees all monetary records and banking. Regular financial reconciliations and banking. All incoming monies to be reconciled and banked. Provides monthly report to committee at local meetings. Required to attend all committee meetings. Has mail box key Own Computer with internet access Prepare calendar in liaison with JAC Executive, Branch & Senior club. Oversee registration of all Junior members. Encourage parent membership of Cudgen SLSC. Process all members on surfguard individually and transfers for the junior club. Follow up Surf Ed and process by 31 December Prepares all attendance/placing’s lists for carnivals and home beach activities. Collates weekly attendance & carnival recording sheets. . Attendance required at all committee meetings Own Computer with internet access Position takes an average of one to two hours a week. Need to be at most beach activity days and carnivals to collect sheets 2 hours before each carnival. Approx. 6 carnivals per season Computer An understanding of excel Computer Program is helpful Attendance required at all committee meetings. Carnival Entries Compilation of names entering carnivals & submit to appropriate body. Ideally someone who goes to most carnivals. Chief Instructor Appropriately qualified person to conduct all proficiency qualifications & Surf Ed Programs. Water Safety Supervisor Co-ordinates all water events and supervise setting of cans prior to start of events. Bronze medallion holder. Attendance required each Sunday Club Coach Coaches all age groups including training. 6 Hours per week Access to Club computer Ass. Club Coaches Assists coach. Organise water safety roster for board training Wednesday and Friday and Iron Person training on Saturday. 6 hours per week Coaching Coordinator Confirm coaching requirements, ensure risk assessment completed, water safety and attendance sheet coordination, signing out/in club equipment, perform or assign water safety supervisor for training events 4 hours per week Team Manager Non carnival role of age manager coordinator, organize and attends Age Manager meetings. At competitive carnivals this role includes liaison with officials & club members.Liaises and be available for Age Mangers & Club Coach regarding team selections for team events at carnivals. 1 hour before start of carnivals. Be available to attend all official meetings prior to start of carnivals IRB Coordinator Qualified IRB driver. Organise roster of suitable qualified personnel to be driver and crew of IRB for each activity day. Instruct them on setting cans before competition then act as water safety. IRB & cans are then cleaned & stored. Looks after all Junior Club equipment. Checks to identify repairs, particularly boards. Undertakes running repairs or organises professional repairs. Educate nippers and their parents on the care of the boards. Undertakes fundraising activities to assist the junior Club’s monetary needs. Finds sponsors, contact & follows up. Runs raffles, trivia nights etc. Trains & manages the march past team for carnivals Required each activity day Promotes Junior Club with local newspapers, good news stories, carnival & point score results, advertising information etc. Contacts schools & media outlets at season beginning & provides advice on all upcoming events, eg Cudgen Classic. Responsible for all canteen purchases & sales of food and drink for Junior canteen. Organises roster for assistance on weekends & carnivals. Records all purchase and sales information & provides to Treasurer. Maximum of 10 hours per season BBQ Coordinator Organises BBQ roster & purchasing of sausages, bread & sauces etc for weekly BBQ. Attendance required each activity day. Beach set-up work party 6 persons 6 volunteers to set up the beach each week as directed by beach referee. Rotate fortnightly with 3 alternating weekly 1 hour prior to commencement of activity day. Home Beach Coordinator Run activities as normal for all age groups of participants not attending carnivals. Be available to attend Cudgen on carnival days. Approx. 6 days per season Gear Steward Fundraising Approx 4 people. March past Publicity Officer Canteen Coordinator Weekly 1 hour Attendance required every activity day. Surf equipment repair skills Assistant Home Beach Coordinator Assistant Home Beach Coordinator with their duties. Approx. 6 days per season. Grievance Officer Facilitating information in relation to the Surf Lifesaving Australia Grievance Policy and Procedures and the Surf Lifesaving Member Safety and Wellbeing Policy. Liaising with Cudgen Senior SLS Grievance Officer to deal with complaints raised. As required. Child Safety Officer Collecting signed Prohibited Employment Declaration annually from Junior members to be stored at club. Providing Information on processes in relation to Child Safety issues raised in the Club. AGE MANAGERS Co-ordinates & manages weekly activities of age groups. Organises team selections for carnivals in consultation with Team Manager & Coach. Accurately records information at carnivals & beach activities for all individuals. Attends Age Manager meetings. Run relevant age group when age manager is absent in particular on carnival days. Preferably a parent of a child that prefers not to compete at carnivals. Oversees the organisation & running of the Classic which is held last weekend in October. Organises major sponsors. Requires assistances from 4 personnel. Assist the Co-ordinator in all areas of organisation and running the Classic, marketing, registration packs, beach set-up, etc Assistant Age Manager Cudgen Classic Coordinator Cudgen Classic Assistants (4 persons) Attendance required every activity day, and all carnivals.
