RULES REGARDING PROCTORING OF
MAN 4504 and QMB 3250 EXAMS
In order to maintain security during examinations and to responsibly serve the needs and rights of
the students, it is extremely important that every proctor for MAN 4504 and QMB 3250
examinations attend the “pre-exam” meeting with the head assistant (HA), help and attend during
the prior-to-exam setup time, during the examination itself, and after the exam is over.
As you know, the exams are assembly exams, often in very large rooms. It is extremely
important that all proctors attend each exam to help to set up, monitor, collect answer sheets, and
survey the room after the exam. If a large room is deficient in the number of proctors, it becomes
PHYSICALLY IMPOSSIBLE to accomplish these tasks.
REMEMBER: These classes often have on the order of 600-700 students or more, which is more
than the entire population of some towns in Alachua County! It becomes obvious that to serve
the needs of this large of a group of people, including at exam times, we need large-size people
power!
The rules to accomplish appropriate proctoring are given below:
1) All proctors must attend every examination and help out until the very end of the test
administration time. It is not acceptable not to attend or to leave early or to arrive late.
This puts too much of the burden on those proctors who are attending as they are
supposed to, and they can be overwhelmed with students, answer sheets, etc.
2) To enforce item #1, henceforth the head assistant (HA) will note which proctors attend
each exam and which do not. Those not attending without a prior notification and
approval not to attend from the HA will receive a warning from the Instructor. Prior
notification means at least 5 days in advance. If proctors do not follow this rule, there is
not enough time to obtain substitute proctors. If a proctor repeats this nonattendance a
second time without prior approval, the HA will inform the instructor and the instructor
will inform the ISOM Department Chair. “Attendance” is defined here as being present
and on duty throughout the entire examination time.
3) All proctors who collect answer sheets shall remain as close as possible to the collection
box. In particular, let the students come to you. Do not stray near the back or the middle
of the room to reduce the walk the students need to take to turn in their answer sheets.
This makes it more difficult for us to account for answer sheets.
4) When a student hands a proctor an answer sheet, after checking for name and UF
Identification number, the proctor should immediately put the answer sheet into the box.
If this is occasionally not possible, then the proctor needs to keep each answer sheet IN
HIS OR HER HAND AT ALL TIMES until putting it in the box.
5) Never lay an answer sheet down on a table, chair, desk, or whatever.
6) CHECK THE EXAMINATION room before leaving carefully for any possible stray
answer sheets lying around filled out or not.
7) The Instructors may visit each exam site to monitor and help with the exam and security.
8) Proctors should not engage in discussions or other actions during the exam that could
distract students taking the exam.
9) Proctors should not help students with content of exam or meaning of exam questions.
10) Proctors should not loan or give calculators to students taking the exam.
11) Proctors should inform students of any misspelled words or typographical errors
discovered on the exam.
We must all realize the importance of not losing any student’s examination sheet. This is not
acceptable on the part of the University, and you as proctors represent the University.
