Purpose of the Job To provide reception and administrative services, acting as a first point of contact for callers and visitors. Answer telephone, take messages, transfer calls, answer queries, and ensure that messages are delivered as soon as possible by the quickest/most reliable method. Keep telephone lists and autodial system up to date. 2. Meet and greet all visitors, ask them to sign in (plus asbestos register where appropriate) issue visitors badges, contact relevant member of staff and provide refreshment if waiting. Replenish supplies of signing in forms and visitor badges as required. 3. Open, date stamp and distribute incoming mail. Prepare outgoing mail for postage and take to letter box. Inform Finance staff when more stamps need to be ordered. Assist with preparation and distribution of correspondence to parents on ‘going home’ days 4. Remove completed Accident Forms from folder and pass to Headteacher for signature. File signed forms in appropriate file (re Data Protection). Prepare adequate supply of numbered blank forms. Archive old forms as prescribed at end of school year. 5. Sign for deliveries, or call appropriate member of staff to receive delivery when required. If time allows, check goods to delivery notes, tick, sign and date delivery note and pass to Finance. Arrange for goods to be taken to or collected by relevant member of staff. 6. Keep supplies of envelopes, copier paper, laminating pouches, and other stationery items available in office and notify Finance when more stock is required. 7. General typing, data input, filing, photocopying, shredding, laminating as required by Senior Management Team and to assist other Administration staff at busy times, and when they request help with particular tasks. 8. Keep main office tidy by ensuring that paperwork, publications, deliveries and items left in office are promptly moved on to appropriate destinations and clutter is not allowed to build up. 9. The requirement to attend Staff Development Days is incorporated into the contracts of all directly employed staff. This includes mandatory training, as detailed below, and core training. Core training includes such courses as Autism Awareness, Behaviour Management, Makaton, First Aid and Manual Handling. If staff are contracted to work 30 hours or more per week they are required to attend all 5 Staff Development Days each year. This is the case whether they are employed in one post or several (for example, 12 hours LSA and 19 hours RCCO = 31 hours total). Part-time staff working less than 30 hours per week are only required to do the number of Staff Development Day hours that match their contracted hours (rounded to the nearest half-day). For example, someone who normally works 20 hours per week is required to attend 20 hours, which equates to 3 days. If a member of staff is in any doubt about their required attendance, they should speak to their line manager. If there is any dispute about the attendance required, the Headteacher will be the final arbiter. Mandatory training ProactSCIP√UK® training and Child Protection training are included as an integral part of Staff Development Days throughout the year. The requirements for this mandatory training are: ProactSCIP√UK® : All staff to attend a course every year. Child Protection: All staff to attend a course every 2 years.
