JOB DESCRIPTION Position: Society Coordinator Reports to: Communication & Engagement Manager Created: March, 2012 Revised: August, 2014 Position Summary The Society Coordinator will work under the direction of the Communication & Engagement Manager to ensure that all student societies have access to Association resources and are acting in accordance with its policies. The incumbent will act as the liaison between societies and SMUSA in order to ensure effective communication and that appropriate paper work is completed in a timely manner and maintained for review. The Society Coordinator is responsible for allotting funding to student society events dependent on event merit and contribution to the university community, as determined by the Student Society Policy and the annual budget for such expenses. The incumbent will play a key role at the Association as they will be responsible for tracking society activities, contact information of society executives as well as facilitate successful society events and fundraisers. In short, the Society Coordinator works to create a cohesive and connected student community by way of plentiful and successful society events both on and off campus. Responsibilities 1. Foster a positive and friendly atmosphere among societies and facilitate collaboration between groups on campus. 2. Provide direction to students who are seeking to create a new society or re-ratify an existing society. 3. Maintain updated membership and executive member lists from each society. 4. Maintain and distributing the society newsletter. 5. Coordinate the Society Summit, Society Expo and other society events with the Communication & Engagement Manager and Vice President Events & Programming. 6. Coordinate one Society Night each semester for the benefit of all societies. 7. Assist societies with the completion of funding request forms and the proper preparation of event budgets. Ensure that funding requests are submitted to the Society Coordinator no less than two weeks in advance of the event. 8. Ensure that all post-event reports are submitted no later than one month following the completion of the events, including the budget and all receipts. 9. Ensure that all societies comply with the Student Event Risk Management (SERM) process and that all society event organizers have Primary Event Organizers (PEO) training. 10. Work with societies to book facilities on campus for society events. 11. Inform the Society Committee when societies are not acting responsibly and when disciplinary action may be warranted. Participate in a conflict resolution process as needed with the assistant of SMU’s Conflict Resolution Advisor. 12. Coordinate society information, events, contact lists and forms on the Association’s website. 13. Attend various society events that require support or monitoring. 14. Any other tasks reasonably assigned by the Communication & Engagement Manager or General Manager.
